Position Title: Receptionist/Immigrant Services Worker

1 ~+ f: y! c( T3 h' z; v' DPosition Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker. $ Y5 L+ [! Key Responsibilities:
n" w, L+ o, A1 J• Answer incoming calls and route calls to appropriate person. S) G5 g( t0 V I
• Take and deliver messages to the staff of ASSIST2 T+ g0 R% ^5 j! w' ?9 q! V
• Welcome clients and direct them appropriately; q+ y5 Q" r0 m* z: _& i; L9 X6 l
• Order and maintain office supplies for the front counter
. _) C" m& J+ c7 h) f" v9 H• Oversee the front counter when other front counter staff are on holiday or in trainings
# s- h; {8 C; g! N1 e7 w• Perform general clerical functions such as photocopying and faxing documents4 @" C$ e* M. T" g1 T
• Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker+ Q2 m' {# `- [% t5 c$ K
• Maintain and update the information boards with upcoming events
; y6 q) l3 ~6 t) \+ s4 J• Assist the ISP team in reminding clients to appointments of workshops or other events, y, ]* S8 ?8 {6 |
• Keep the reception area tidy and clean
, z/ }* r* y( x- }# N• Attend meeting and training to stay current on immigrant settlement matters

) p) _8 `7 H; ~4 W8 ~( a, _. N• Excellent communication (verbal and listening) on phone and in person
; y. d3 h; d* C0 ? \• Fluent in Mandarin and Cantonese as an asset1 P8 J- _; l* \8 L z
• Good English writing and oral communication skills0 i+ g! O, u, n# l: G
• Ability to work with newcomers and general clients
: {" R! Z$ x3 |5 E5 e$ O# J• Microsoft Office operation skills- Excel, Word, Outlook A3 O8 x- ~5 E' A! F" T
• Ability to address multi-task and set priority appropriately / o. u' K! R1 ~+ ?
• Sensitive to the needs of immigrants with multicultural backgrounds

Qualifications:
2 b3 @- k+ E5 ?; f4 M; Z1 N• 2-4 years of office and clerical experience ) Z2 d: f2 W! x9 |2 e8 m
• Receptionist or customer service experience in a fast paced environment
/ Q6 ]. t d K8 M% s9 |• Demonstrate workplace maturity and professionalism* `' t. r7 y4 t$ `( [6 x
• Ability to work well under minimal supervision/ y7 E3 |) q- P# ?# F# l# z t
