The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.* L9 O( i3 H' G, ?. {, v% E& a

This is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:; X6 _; f& Z. z

( G1 ?7 ?% H3 zOPERATIONS- z" {" B2 j( j" p3 e5 _4 U0 W' B
•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events./ p  q5 J2 P) V& @, j$ _
•        Assist in development and implementation of policies and procedures for volunteer services.
( [5 Q6 j0 H5 k; q•        Maintain the volunteer files and update the database using Raisers Edge1 k. R9 q0 Q7 s$ o3 z
•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
: _  m5 _  P7 ]! A+ D8 Y) y3 R•        Develop and implement a comprehensive volunteer recognition program.
4 V3 u2 {# y' |. j. G6 a* M•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.3 U0 V6 I% H  C9 G4 }8 m  \! R
•        Identify and implement best practices in regards to volunteer development.
/ `( m9 L% G+ P& |% g# q' y+ z•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities* Y0 T) w# x5 ~' J
•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required# C. n5 @. v8 _8 @. l8 i

/ e* x4 Q) I. l, g•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO# W& U: t; d/ E* e
•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

& K1 U) {' ^; `ADMINISTRATION' D5 e0 l7 F9 K/ m4 T
•        Develop and maintain job descriptions for each volunteer position
) |- R: ^$ F, D% H  H8 F•        Maintain secure volunteers files in accordance with privacy legislation
1 {0 l4 A  q- _0 C! B; X) K' X. [•        Provide feedback on volunteers’ performance, as appropriate& o' ], a: H+ ?6 G& j$ U  Y' o6 k, d
•        Ensure Human Resource policies and procedures are adhered to within the department
/ W- b( A' a" T4 N1 N7 H- ^/ f•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
0 T: l3 b4 J9 y& f- v•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
, u& a7 R- B' F+ \- Q6 U- {- S•        Develop resource and orientation materials for Volunteer Services
9 ]; q' ]* w! C0 N3 r•        Maintain monthly and yearly volunteer statistics for reporting purposes1 ^( x4 ^/ D0 M# c) H% z: g
•        Prepare a regular monthly program report' Q2 @- T; e( ?

FINANCE: p  H2 n* x! z6 K" d! H" a2 M/ A6 w) }
•        Ensure the program operates within approved budget and be familiar with potential variances/ ?3 a! @2 Y4 T' t7 s
•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

( d6 k0 I  ]1 H! w3 _: Y2 hINTERNAL/EXTERNAL RELATIONS* M* g# H. S# l# n9 F
•        Act as liaison to the Y-Knit group of volunteers# j- k" j: X2 _: h7 j) ^
•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
+ S* }8 V  O4 A, ^; |. s•        Follow up with correspondence to outside agency volunteers as appropriate
6 ^  {- j% H8 R' G•        Attend external functions such as volunteer fairs, trade shows, and special events as required

% o* b; [- k2 Y# [Qualifications:1 _) ^  P* Z) P' x

3 ?, o; X6 j4 v$ _•        Minimum 2 years experience in Volunteer Coordination  S5 g0 k! |! W3 L3 L5 I/ V1 O8 \
•        Excellent organizational skills and multi-tasking ability% r8 R& i; N- d' Y" J0 k, a% i& R
•        Demonstrated superior volunteer supervision skills. J' ~% O  W! d; U, J
•        Collaborative working style and excellent interpersonal skills 8 K# b. F4 O8 M& v5 h+ U/ n' |; a+ Q4 o
•        Ability to work to meet deadlines and to work under pressure
4 |7 z& k9 U+ \$ J; q3 f7 L: A•        Ability to work in a team-based environment, with cross-functional work teams on projects : {2 _. _0 Z2 A4 |  ]' j" D! d/ j
•        Sound judgment and ability to maintain confidentiality
* w* m0 S! ^) Q1 \; H$ G# R( @•        Knowledge of Raisers Edge software would be beneficial
