Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.. CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

- T+ }5 F$ @' E• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

9 H7 w; d6 K& k9 C$ E( L0 X• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.9 w8 K9 n+ i: i; ~5 f

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.- c5 v8 T7 Z+ w+ S* K2 `

• Manage office technology software licensing and hardware maintenance.; Q& x  f% z  V: N5 w) |- j8 E

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.- n/ g# a' x+ Z+ V* T# r

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Manage database and support distribution of print publications.4 v8 Q: U0 x3 q

6 C8 S) t- s6 u/ N, k0 V• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

  e) X; b9 r) `1 a0 w$ x' m• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

: W/ E6 l+ e3 s2 G8 C• Coordinate volunteers for some fundraising events such as Casino and annual sales events.! |3 n; u1 D3 p# A4 m* c* G

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.2 N( K. s0 A5 z1 w8 q# e
