Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.; K; p) n' e2 h1 w! + T0 r; f/ G9 _; g, fCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

* J6 t* v. J' s; y• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual." A3 w! o: Z& i$ R1 M; [0 Z5 M+ H8 m

• Manage office technology software licensing and hardware maintenance.

• Support effective internal communication by recording and distributing all meeting minutes.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.3 W6 \, G1 z" t9 N$ I

6 q  l2 z" ?; T& E6 ]9 J• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.2 [$ V" l  Z. N

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

8 L& k! Y2 w( \  n• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

3 U( N5 O0 A; b: d• Provide logistical support for key fundraising events such as silent auctions

6 X, U) R& D  U. S/ F7 Y5 H• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.+ f$ k2 Q) p( D0 E- P  W7 y* o0 M

7 `0 Z) u9 [. s. @6 `5 S# l( _7 d• Coordinate volunteers for some fundraising events such as Casino and annual sales events.4 T8 g! ?7 I7 y2 [4 x' m6 i

• Support logistical work required for CFCA’s Annual General Meeting

* X: m: T* }, ?/ N$ O• Assist in administrative tasks related to donor recognition and event reconciliation as required.

% I% D/ g6 M( [: `3 gSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.2 ^4 ?4 Z& x! z

Spanish language abilities are an asset.
