direct line reporting relationship to the SU´s Manager of Programming

The duties of the Operations Manager - SU Venues are diverse and  
/ C2 R* Z3 K$ `/ `  eextensive, and are targeted at the all round smooth operation and  ' m' ~: }! z1 \2 y/ B
financial and operational success of the Horowitz Theatre as well as  2 _# S+ ^3 R: m5 G. c
the logistical organization and smooth rental of the additional  : m  P, }1 {: u3 }. q
venues within the realm of the Students´ Union.  In the light of that  
* o! C+ A2 D+ c& obreadth and complexity, it is not possible to fully define or  
0 D# _8 q7 s6 }, Pdescribe all roles and responsibilities in a document of this kind.   % g5 ^; F% ^. i$ X; V
However, the main roles and responsibilities of the Operations  * }9 C7 ~3 B8 C& _

a.   To ensure, at all times, that the venues listed below meet the  
3 d. x# X6 Y( w% E8 iappropriate standards, requirements and needs, and contributes in a  , M7 h# t7 S; R# q8 Z
positive way to the smooth operation and success of the individual

·     Myer Horowitz Theatre

1 q. y. h- `$ S8 D4 X5 Z- X1 }b.   This includes, but is not limited to, the following:3 J/ t9 l( z3 _$ n: s
·     To plan the capital and supply expenditures to meet the  / q, l2 U7 @& j- a- Z, g! _8 P
production and facility requirements.
. A5 m0 v" }: F  m5 S( X0 L·     To ensure the day-to-day compliance of the venues with existing  4 u& s3 N# u! i/ D" b; N
safety regulations and building policies.

2.        Marketing and Promotion
" N; t; X! Z) ^1 C0 c+ a
1 Q4 i7 _% u0 wa.   To develop and implement a marketing plan for the venues that  
3 t( T* n7 @, F4 V  kfocuses upon advertising and promoting the venue to faculty,  
! ~% Z! t6 Z6 F' ?+ Bstudents, and internal and external clients on an on-going basis.  
% H, z1 e& f3 W9 n0 tThis strategy will include implementing and/or delegating the following:
/ C6 z5 q. F/ q& m  r5 P# V9 B7 q: |·     To develop and maintain promotional materials, the Horowitz  
& a' b5 b% ?& r' s+ qTheatre and SU Venues home page, newspaper and other advertising; to  
8 ?8 J1 V) N, t; _% vtake advantage of other internal and external advertising  % N1 t; B: ?, @* a
opportunities; and to develop press releases and other promotional  * L# a. t- D  q
literature on an ongoing basis.
% J2 W! e; I$ V1 T·     To coordinate tours of the venues for potential renters.
* X; g! H7 e+ D  H·     To promote upcoming events in the Horowitz Theatre through the  
1 ?3 `& c+ N/ t7 l0 E0 R/ Muse of the Horowitz Theatre Home Page and the SU Events Calendar.
  `# r* j/ Y" a) C! e. H1 w7 ]·     To develop new external clients for the venues.

9 W3 M3 M  v, @6 J3.        Staff and Supervisory Roles and Responsibilities6 R* V6 Y7 ?7 O- q5 Y

8 a* A! `) a7 W3 C" Ga.   To ensure, at all times, that the venues are adequately and cost- . \. c* G/ b/ L" e$ ]8 B; n
effectively staffed, and that the staff utilized by or within the  
/ K( r' f; E6 o" avenues meet the appropriate standards, requirements and needs, and  ) m( J3 Z* P# H3 y, ~
contribute in a positive way to the smooth operation and success of  
9 w( R0 d  A* s# I# Jthe renter´s events. This includes, but is not necessarily limited  . b/ r  @2 Z  w# U0 ]5 q- B
to, the following:
, Q6 g. h# Q) `' `·     To be responsible, under the direction of the Manager of Venues  
0 j' D' z8 E+ P, a. M* vand Programming, for all staff issues including hiring, disciplining,  
* m8 _, @2 V8 [9 T3 g/ _2 r+ Jevaluating and terminating, as necessary.1 A! H0 W  k! g" m3 L: b3 [, \
To ensure that the Horowitz Theatre is adequately supervised at    R& N: z5 M( k) `: Z6 C
all times, this includes the development and implementation of such  
5 f# ^% V( H( D8 E. I% a; aschedules and rosters as may be necessary to ensure the effective and  
4 m7 K' n: {* s" S/ I" p5 f! L! ocost-effective supervision of the venues at all times during which it  
0 e: l: U5 q% [# a  uis in operation or needs to be in operation.
* b  j4 C3 W/ o" g2 e6 u·     To work with the Technical Director, when necessary, to ensure  
9 m! p) m, ^  Mthat an adequate and appropriate level of part-time staff exists to  " Z: g5 E3 `" n' a
facilitate the smooth operation of the venues and to ensure all  
1 y5 f; x& t: o* vrenters needs are met.
/ c2 U; M& k, H" y·     To work with the Technical Director to ensure that the skills  
; M. n2 N: M: W5 w) Z- c" Pand attitudes of all subordinate staff are appropriate in light of  
' x9 u4 k; f& m) D0 A6 Xthe roles they must perform. This includes providing adequate and  
1 K% D6 O# n# c  Meffective training (and re-training) in all applicable and  ) G4 H$ N# t+ x2 ?4 y2 z
appropriate areas, and ensuring that the Policy and Procedures manual  ' t# C9 ~& @2 F
is kep up-to-date at all times.: J, i$ u) |% r' |
·     To ensure all staff are trained in and committed to providing  
! k# W/ h- B% q+ kexcellent customer service to all renters.5 m) j  q1 i7 c3 t
·     To work with the Technical Director to arrange staff  ' N: v; }; X6 Y8 B8 @9 J: _
scheduling.  To handle payroll related matters, under the guidance  7 W" h' H! W4 b0 u) O
and direction of the Manager of Venues and Programming, concerning  
7 V  c( ?* [' K6 f: e1 @. cthe staff of the venues.
5 F: M$ D2 q7 V" h( h2 R3 Y·     Working with the Manager of Facilities and Operations to ensure  
' F5 e1 F; R/ a! k7 I& b' o3 mthe appropriate setup/tear down of each venue.: H6 O1 d& _$ R7 V- t$ R' x
·     Working with the Manager of Programming and Venues to ensure  
$ r# ^- Y! z0 z2 F, O7 Vthat additional requests such as licensed receptions are arranged.( M+ W- f6 _2 N3 w% N! I6 ?4 s/ N

4.          Overall Financial Performance- w/ m2 R" n9 V! t* {

% r$ [( p% v3 V0 X( j/ z9 sa. To ensure, at all times, that the Financial and Administrative  
. A9 V; L( W  z, y: N; msystems and processes utilized by or within the venues meet the  
- `! N) _7 q# }5 n, y, I7 _/ l$ Yappropriate standards, requirements and needs, and contribute in a  
, [) ?4 P6 `+ W  @3 V! D( O) @positive way to the smooth operation and success of the venues. This  
8 S& L. T! E7 R4 |includes, but is not necessarily limited to, the following:
4 w* F" I, O1 ]' ~1 U, L" O1 P" } To provide input and expertise in the formulation of appropriate  8 M+ B# B8 A4 y* Q3 b8 y6 @( h2 e
operating budgets covering the venues to the SU´s Manager of  , k3 D  d( m. @+ d) ?' v
Programming and Venues and to discuss and refine those budgets  ! v& \  v( C7 }& U
Manager of Programming and Venues, and Manager of Finance &  
. Y4 }$ }* z( X6 w" i9 m: P0 NAdministration prior to their submission for final approval.
5 F7 h3 F% F8 w: ^·  To manage the venues in a manner which adequately and effectively  
* Q+ [7 Q$ k7 Ureflects the budgets approved for the venues and/or which reflects  
3 k  w/ Z* O* u/ ~the best interests of the venues and the Students´ Union.
. |9 J& s& i* p( N- L1 ^4 u·  To function as the key player in the submission of financial and  
' n, r* x/ F% d5 _& xadministrative documentation covering the venues to be used in the  
" d$ w3 A- f/ D% z8 o3 U2 S3 Y$ g, I3 Ecompilation of monthly and annual financial statements, and such  
7 `7 h& t3 g& fother reports as may be necessary.  p5 u/ I) k+ V! w, ]) R2 d
·  To discuss those financial statements and other reports, together  
2 ~9 R! W6 J0 iwith all financial and administrative procedures, with the SU´s  ) f4 H* c, @. p% z2 H
Manager of Programming and Venues and Manager of Finance &  2 L! y. y: r+ y+ f6 ~0 R
Administration with a view to determining and implementing action  
& m# N9 d& C, [) E' ]6 naimed at improving the financial and/or functional effectiveness of  6 [4 B6 [' a1 c8 T/ h) N% [8 s
the Horowitz Theatre.% R8 I4 E+ ?0 c$ a0 C) W8 L; _- t5 q
·  To ensure the existence of adequate, effective and accurate job  . `/ t- H* {/ I8 c: z$ _6 P
costing systems to be used in connection with the determination and  
! r% ~3 p# c3 q) f, R% o+ F, Msetting of appropriate prices for rental and staffing rates for  
8 {( L2 S* w( wevents held in the Horowitz Theatre.
' v9 Y' l% ]- e5 Z·  To develop accurate documentation to be used in connection with  1 u- H, ]& ?) {% U+ Z
the billing clients, and to forward such documentation in a timely  
! o7 U7 Y$ W3 v+ `2 ]4 \) ]3 Tmanner to the Accounting Department.% V: L: K3 u; A2 w$ \$ |9 ^
·  To recognize, address and handle all matters relating to financial  6 O& _9 }  c( x  r
and administrative procedures and systems in a manner which reflects  
4 N+ Y" G! Y# N3 Lthe requirements of the SU´s Manager of Programming and Venues and  
1 q3 O( V. a* n! y+ GManager of Finance and Administration, and in a manner which  0 e: C; r  m! x* o$ m
contributes positively to the smooth operation and success of the  " o* l4 D+ n. _+ p+ A3 \5 O

3 q+ E3 _: I" @% _- d6 i3 E" K5.          Overall Roles and Responsibilities9 C6 S# W% w- |! M
a.   To ensure, at all times, that the systems and processes used in  
+ ]7 `3 u# ~) l( u9 i% Orenting the venues meet the appropriate standards, requirements and  
' p0 a* F3 d' b3 T+ J7 ]! rneeds, and contribute to the smooth operation and success of the  + e! l1 X" Z3 r9 ~: o
venues. This includes, but is not limited to, the following:7 _+ p" ~6 I" `# k, Q' k7 z5 t

3 q/ ]) k- M7 ]5 w·  To recognize, develop and set in place such rental procedures as  
9 [& K/ l: O2 i) r; ^may be necessary to ensure the smooth operation of the venues, this  0 p3 q& L; L4 }3 [, n- X) @: l
is to include but not necessarily be limited to systems and processes  
* ^: `+ L* I3 B& Ein the areas of contracts, inventory management, contract evaluation,  
+ K: y* ^- M* xpricing, costing, equipment usage, rental/contract invoicing,  - N9 l, _* K8 i& c4 c+ P
together with such other systems and procedures as may be necessary  " r! ~3 q+ u( H
to ensure the smooth, secure, efficient, cost-effective and  
4 H$ q) V* ^0 b2 M# Q7 L8 M" Pfunctionally-effective operation of the Horowitz Theatre.
2 v% ]$ U, f. g·  To recognize, develop and set in place such operational procedures  
6 V1 H* T8 e' I- w. jas may be necessary to ensure the smooth, efficient and cost-
9 b; `, P& Q2 S  \3 I  q; Teffective operation of the venues.
3 b/ R! ^: @: G' C  G& ?·  To negotiate rental lease agreements (contracts) relating to  
# H0 Z- B! P; V( z) h1 q7 K/ `& P/ Vdates, rates, staff and miscellaneous charges.1 |( U3 ]3 b( P
·  To ensure that adequate inventory is available at all times and  : V) G- S! e$ e# t* z  t2 u
that such inventory is stored and issued in effective and secure ways.! l( i- u) a& T- C" }5 p
·  To consult with renters as to facility issues in producing their  
; A8 _8 X9 @# W, I- wparticular event in the venues." a/ J$ n2 l# m
·  To provide the venues on-site staff with such documentation and  . I7 N* Q" L+ d$ R' N, j5 O+ E$ z
supporting information as it may need to effectively fulfill the  4 f: E+ c# z7 B2 _5 R0 ^
roles they are to perform to ensure the success of the renter´s event.$ X  q6 `4 w1 \6 b
·  To produce quotes in respect to staffing costs for a particular  
( U8 v% z0 @1 @4 S* _. b0 ~rental with consultation with the Technical Director.' x4 t2 O2 z( _8 H' l2 ~1 F) i
·  To ensure that all queries raised with the venues whether from the  
5 l! w3 z2 I2 I, _/ _1 l: sSU or renters, are promptly and effectively handled and adequately  
5 K1 }8 u. K3 R: P! o) Qanswered, and to ensure that such action as may be necessary in  8 E6 t( w* \. G& \8 n4 {
follow-up to such queries is taken in a timely manner.  O7 L- p2 E4 z( }! }; j, ^$ Q
To ensure that the venues and its capabilities are adequately,  - P& t# t) l; l( q/ r/ f+ i3 x! U( u$ d
effectively and cost-effectively advertised and promoted, and that  - {8 l: n9 |' \+ l+ Q
the cost of such endeavors does not exceed the budgetary provision  * z) R( t% z+ Z% I: x4 N
made for them unless prior approval is given by the Manager of  
. C0 ?6 j" N& j. ~Programming and Venues.5 x* Y9 _3 A) v0 W% H
·  To act as an informed and knowledgeable resource in the case of  . n& q* R  R3 R8 u/ W- I
significant challenges and/or problems surrounding the tasks of  
# @2 S* v+ T" K# R4 F+ {- w. Smarketing, administration, operations, and any such other matters as  
% j& i% u; s& K$ r; v7 R( fmay provide such challenges and/or problems.
6 |' r, a, K7 w4 q7 W·  To attend such meetings as may be required to support the smooth  
0 D. B" G' L, j3 K: toperation of the venues or the Students´ Union as a whole.
( x, F/ G; @0 O4 o·  To perform other job-related duties as may be required by the  0 v; K, f) K+ e
Manager of Programming and Venues in order to ensure the smooth and  
. I1 z: m  h5 xsecure operation of the venues.

operations in a manner which reflects the requirements of the SU´s  2 k* T6 ~9 ?% K2 J

1)             Minimum two years related post secondary education, or  
8 p2 a" d  W$ ~3 @# k# F/ _. J1 can acceptable combination of education and experience.& b. }' X8 `" _, K5 U
2)             Supervisory experience.
, G5 U" Z0 n$ j; o) t3)             Ability to create new initiatives with little or no
