financial and operational success of the Horowitz Theatre as well as
. X+ z" F7 P0 K) o+ r( ?! Z- Pthe logistical organization and smooth rental of the additional
+ o1 s6 J T8 C+ \venues within the realm of the Students´ Union. In the light of that

describe all roles and responsibilities in a document of this kind.

2. Marketing and Promotion1 _8 _0 K9 A& {

a. To develop and implement a marketing plan for the venues that 1 a, R5 t# n! Z2 ]& x' _2 d
focuses upon advertising and promoting the venue to faculty,
5 e6 Z0 \* ?$ e6 wstudents, and internal and external clients on an on-going basis.
+ h: [; V+ i( eThis strategy will include implementing and/or delegating the following:/ K" J1 N1 Q: \7 }
· To develop and maintain promotional materials, the Horowitz 3 b4 {0 C" v1 R% |1 ?4 S. d( j
Theatre and SU Venues home page, newspaper and other advertising; to 7 L8 ]3 o; m. w5 N. f* @! B1 V% d
take advantage of other internal and external advertising
3 `7 K. T4 f, P1 [1 K1 l/ ^7 C9 }5 uopportunities; and to develop press releases and other promotional

· To coordinate tours of the venues for potential renters.
6 [" a' D* V5 m3 N- R· To promote upcoming events in the Horowitz Theatre through the
- P; @1 s6 V, e. P' P! duse of the Horowitz Theatre Home Page and the SU Events Calendar.

6 S3 q( M4 l# i" N+ C2 H/ {: g3 d5 K3. Staff and Supervisory Roles and Responsibilities
( G$ a) A7 [# [" H4 r/ K5 h3 F5 p# ~. v
a. To ensure, at all times, that the venues are adequately and cost- & |7 m8 R$ a- ^9 l! f- R
effectively staffed, and that the staff utilized by or within the ! u( o( Z7 p) l- S% f2 q! U6 t
venues meet the appropriate standards, requirements and needs, and : q7 [6 e: X6 [# G/ p
contribute in a positive way to the smooth operation and success of
- U5 L2 I. i. j6 V+ Jthe renter´s events. This includes, but is not necessarily limited
- f O1 V l$ [2 g lto, the following:8 x/ ~+ X) h0 P! i3 O
· To be responsible, under the direction of the Manager of Venues 3 Y# o9 M" y3 ^2 B4 k, V% o
and Programming, for all staff issues including hiring, disciplining,
0 \: n: H1 V( @$ yevaluating and terminating, as necessary.. P! K6 v) L8 n7 @* _
To ensure that the Horowitz Theatre is adequately supervised at
% g9 z4 ?' s+ T* F1 ^) j8 c* G; rall times, this includes the development and implementation of such
1 q$ Z8 u) q' Gschedules and rosters as may be necessary to ensure the effective and
$ w0 n' _* X2 ]6 f0 B% [cost-effective supervision of the venues at all times during which it
/ \1 Z9 ]5 d* [is in operation or needs to be in operation.
- E: Y4 q, P F8 S8 G4 y· To work with the Technical Director, when necessary, to ensure
0 F& o7 f# c3 J( m! b. f2 `that an adequate and appropriate level of part-time staff exists to % [7 t% j7 R5 y# V( z( g; g8 X/ y# p
facilitate the smooth operation of the venues and to ensure all : o/ p! u2 T8 Y
renters needs are met.
! B$ C! k7 p/ k$ |9 R! z· To work with the Technical Director to ensure that the skills . C% h0 e V7 O' H: Y K
and attitudes of all subordinate staff are appropriate in light of
2 L# B( i( M, O. C3 Ithe roles they must perform. This includes providing adequate and # q2 O+ c( j/ ]
effective training (and re-training) in all applicable and 3 @# d- ]# m5 w7 }
appropriate areas, and ensuring that the Policy and Procedures manual % `: b b- ]; ] z" g5 D8 B" U3 [
is kep up-to-date at all times." \6 V( O$ C4 S# N
· To ensure all staff are trained in and committed to providing
2 D5 A* x$ {: r& u" Yexcellent customer service to all renters.
! h6 X F: T! K* k· To work with the Technical Director to arrange staff + w3 S! g# q3 I& V) I- H1 j: W
scheduling. To handle payroll related matters, under the guidance
$ }$ l5 @$ B5 X& ^: f: _and direction of the Manager of Venues and Programming, concerning
# Z/ j! S) t; [7 D( T9 ]& ~8 Cthe staff of the venues.
% N& A; h7 m* K" s8 @( w# g/ A· Working with the Manager of Facilities and Operations to ensure
9 Z8 y5 L" m4 ^ ?1 H/ xthe appropriate setup/tear down of each venue.- I* X' t, s! b7 Y
· Working with the Manager of Programming and Venues to ensure 3 ` C/ G, R( o$ Q1 K3 ?# l' ] u7 I8 N1 n
that additional requests such as licensed receptions are arranged., j/ Y y. {2 k; p6 d! W# ~/ |

4. Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative ) J9 q- b) I2 Z* U! M
systems and processes utilized by or within the venues meet the 1 Z( x- i3 {0 b4 G" H! @% ~+ ?# f7 }) i
appropriate standards, requirements and needs, and contribute in a $ x/ |) i O6 o9 Z" |
positive way to the smooth operation and success of the venues. This ; t7 I0 A0 M0 _: [
includes, but is not necessarily limited to, the following:8 t. o U$ I2 u& R( Q
To provide input and expertise in the formulation of appropriate # {4 ^1 I# I) Q5 |" X: ~
operating budgets covering the venues to the SU´s Manager of
r0 s: V' X! K+ M2 lProgramming and Venues and to discuss and refine those budgets
; i, k+ q0 B+ s) R% g6 ?Manager of Programming and Venues, and Manager of Finance &
! f! E) Z* C8 ]; l* dAdministration prior to their submission for final approval.5 y. @! x8 Q5 b T
· To manage the venues in a manner which adequately and effectively ' k& N) D: e' s5 l `& a
reflects the budgets approved for the venues and/or which reflects ) n( J7 ]6 T7 B- \# p; @* _
the best interests of the venues and the Students´ Union.
6 C" a2 o8 A) Y4 f4 V· To function as the key player in the submission of financial and + T4 W- t) Z7 Q" Z1 X
administrative documentation covering the venues to be used in the ) @6 U! \9 K! g5 `" Z$ F
compilation of monthly and annual financial statements, and such 8 n/ _% D. L. P
other reports as may be necessary.

. Z* _; ]" W, s; bwith all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action
# T. }5 Q) j2 d, `6 Vaimed at improving the financial and/or functional effectiveness of $ Z, O/ S( m$ Z+ L. a8 c y+ E

· To ensure the existence of adequate, effective and accurate job % |% h; W, r, w4 _! d0 {
costing systems to be used in connection with the determination and " w7 \& H: E: M' `7 Y
setting of appropriate prices for rental and staffing rates for + ^" d X+ i& w9 v" t& w! B
events held in the Horowitz Theatre.
B8 e8 I7 w. b· To develop accurate documentation to be used in connection with
2 L$ K1 [3 l3 V2 s9 j3 othe billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial
+ u8 B! E% Z3 B' j, [7 w$ J' {: W9 E" }and administrative procedures and systems in a manner which reflects , q8 C9 @. d& K
the requirements of the SU´s Manager of Programming and Venues and 3 ~" j# d8 e9 G _! L
Manager of Finance and Administration, and in a manner which

a. To ensure, at all times, that the systems and processes used in ! F! L/ ?8 i, l7 C
renting the venues meet the appropriate standards, requirements and & D6 ?( p9 y* Y& j
needs, and contribute to the smooth operation and success of the - Z A9 Z9 V4 g, K" j
venues. This includes, but is not limited to, the following:, K! P) ?( i% ]7 T/ P

· To recognize, develop and set in place such rental procedures as ; y: B( ?6 o) u
may be necessary to ensure the smooth operation of the venues, this " _6 M+ m! z2 M% [4 \$ G: ]; P& v
is to include but not necessarily be limited to systems and processes # L' V! I/ ?8 e" K
in the areas of contracts, inventory management, contract evaluation,
$ j I3 n6 U$ Y+ y1 P1 tpricing, costing, equipment usage, rental/contract invoicing,
* O5 i5 {1 Y. H3 h4 W" ]together with such other systems and procedures as may be necessary ; U8 f" R4 u/ k7 b6 w- ^
to ensure the smooth, secure, efficient, cost-effective and & ]2 t5 h" @2 v* K8 a
functionally-effective operation of the Horowitz Theatre.3 X% e& k. l. W$ `, w; H
· To recognize, develop and set in place such operational procedures
* V: L# i4 Q, R' P" h' Sas may be necessary to ensure the smooth, efficient and cost-
' u% T2 a% q* @2 Geffective operation of the venues.
0 S7 G; o2 z; J$ I) t# B6 w2 D· To negotiate rental lease agreements (contracts) relating to ' A( E! ~5 L8 J9 v$ z
dates, rates, staff and miscellaneous charges./ M/ ]' L- ]8 I4 V
· To ensure that adequate inventory is available at all times and - y3 P: T: o' [5 x& O6 a
that such inventory is stored and issued in effective and secure ways.! S) U T" X5 g9 c" f. S
· To consult with renters as to facility issues in producing their 8 c4 }3 Z' m7 K* ~5 F5 t
particular event in the venues.
- {" w( L! W1 j* D3 U& F· To provide the venues on-site staff with such documentation and 4 S9 m/ P# Z% {$ I
supporting information as it may need to effectively fulfill the
1 A5 u8 S' Q( g, ?roles they are to perform to ensure the success of the renter´s event.$ a M* w( C/ i
· To produce quotes in respect to staffing costs for a particular / A5 r& i0 N b- D8 Y' e
rental with consultation with the Technical Director.
" V) ^! F) J7 b6 L% y. J- j· To ensure that all queries raised with the venues whether from the ; Y) s, E! J2 A. u% |1 M5 D/ u+ Z
SU or renters, are promptly and effectively handled and adequately 7 b! w1 Q8 V6 x0 k5 Z
answered, and to ensure that such action as may be necessary in 8 e8 N+ c. ~6 l/ p; f' P
follow-up to such queries is taken in a timely manner.' q0 X. n( k7 \. ]! U S8 K! u- H% Y
To ensure that the venues and its capabilities are adequately,
( R" L+ p- P0 ~$ r: [8 P4 \effectively and cost-effectively advertised and promoted, and that 8 W" k+ ^. h! B8 H& U
the cost of such endeavors does not exceed the budgetary provision - l/ g. H. _; }
made for them unless prior approval is given by the Manager of
6 l9 J% F! e1 n5 @Programming and Venues. ?$ n* T! K1 L) `
· To act as an informed and knowledgeable resource in the case of . G! o7 u, t9 K7 v9 s/ U8 c$ L6 T
significant challenges and/or problems surrounding the tasks of 7 t: y1 b% z0 Z0 ]0 f
marketing, administration, operations, and any such other matters as
' r3 a+ O2 R# wmay provide such challenges and/or problems.
, _: F- K( Z! {# r% x· To attend such meetings as may be required to support the smooth
) a1 Q' q) {+ ?8 K3 p3 \operation of the venues or the Students´ Union as a whole., u1 p/ r8 N9 P8 w1 }. A
· To perform other job-related duties as may be required by the

QUALIFICATIONS:

an acceptable combination of education and experience.3 ?2 ?! _! ^$ H: ?5 T5 S. s
2) Supervisory experience.
