extensive, and are targeted at the all round smooth operation and

3 M p( f& N' }( Rthe logistical organization and smooth rental of the additional

breadth and complexity, it is not possible to fully define or

students, and internal and external clients on an on-going basis.

+ B A6 H% C; w2 q A: R· To develop and maintain promotional materials, the Horowitz

take advantage of other internal and external advertising

· To coordinate tours of the venues for potential renters.

3. Staff and Supervisory Roles and Responsibilities* |; @+ `6 {4 N1 T

a. To ensure, at all times, that the venues are adequately and cost- 5 [$ q$ l6 N# q( s, }
effectively staffed, and that the staff utilized by or within the
2 U' N- d( }& t$ P T& l' \* Kvenues meet the appropriate standards, requirements and needs, and + [5 X5 S ~5 O5 G
contribute in a positive way to the smooth operation and success of : u9 b6 t) Y, k, S$ v7 N
the renter´s events. This includes, but is not necessarily limited

· To be responsible, under the direction of the Manager of Venues
8 }: E3 t3 v* u d! U, y" l( q7 Tand Programming, for all staff issues including hiring, disciplining,
/ B. D2 `1 S4 v+ r' p) eevaluating and terminating, as necessary., q" o' w! {0 D. a
To ensure that the Horowitz Theatre is adequately supervised at
9 c8 X' T* N8 m: E- n% Fall times, this includes the development and implementation of such - C9 }; w+ Z" F( w3 C3 F
schedules and rosters as may be necessary to ensure the effective and # z% [0 ~7 ~: U. e1 O) B8 ^ J
cost-effective supervision of the venues at all times during which it ! J, |) `1 z& l7 E- b+ d
is in operation or needs to be in operation.
7 u: K# t6 e; i. P5 V6 P4 n+ _· To work with the Technical Director, when necessary, to ensure 4 m0 r: F: ]+ t; }& M& [* r Y% |7 h( I
that an adequate and appropriate level of part-time staff exists to
6 K* h- }/ V; e6 ?$ E) `0 ]" gfacilitate the smooth operation of the venues and to ensure all 2 ?& X, Z/ Q6 O3 q' `! h3 h/ t; t
renters needs are met.
2 Q/ ]% Z c. i· To work with the Technical Director to ensure that the skills
( [) e/ D7 u4 R2 T" _) I3 band attitudes of all subordinate staff are appropriate in light of ' Z; ~2 T5 ]* g# B8 w/ }, k
the roles they must perform. This includes providing adequate and % N7 o. Q* x2 Q! R2 O
effective training (and re-training) in all applicable and
/ w d$ b, K# O$ {; Oappropriate areas, and ensuring that the Policy and Procedures manual 7 [# B- ?9 H5 `8 B- {4 V
is kep up-to-date at all times.0 w& q/ J$ @! O) y; s t
· To ensure all staff are trained in and committed to providing

· To work with the Technical Director to arrange staff 7 |7 O3 `& L$ V( Q p
scheduling. To handle payroll related matters, under the guidance * _; p( k. }/ x
and direction of the Manager of Venues and Programming, concerning * S0 i7 t9 l$ p* f

· Working with the Manager of Facilities and Operations to ensure 9 y1 R" c% M4 n3 E% {# b( N
the appropriate setup/tear down of each venue.

appropriate standards, requirements and needs, and contribute in a
2 K+ N2 f, f ]) xpositive way to the smooth operation and success of the venues. This 3 G- s- I% F1 d" Z3 N1 q
includes, but is not necessarily limited to, the following:

Manager of Programming and Venues, and Manager of Finance &
& \2 }# D1 [+ \' m6 Y( ?Administration prior to their submission for final approval.4 J$ H# T# c% k1 i3 R
· To manage the venues in a manner which adequately and effectively

the best interests of the venues and the Students´ Union.

administrative documentation covering the venues to be used in the

other reports as may be necessary.

aimed at improving the financial and/or functional effectiveness of

· To ensure the existence of adequate, effective and accurate job / ^2 s n# s \/ B1 p
costing systems to be used in connection with the determination and ( w" E1 c9 o2 T
setting of appropriate prices for rental and staffing rates for 4 h$ ~5 ?* Z0 }: Q9 o8 w0 t# h5 n& x
events held in the Horowitz Theatre.( M# ^5 ~: s: B+ Z; i
· To develop accurate documentation to be used in connection with

0 w" @9 M, w2 D9 ^8 e9 g! ~6 prenting the venues meet the appropriate standards, requirements and 5 E q2 @ I* U
needs, and contribute to the smooth operation and success of the
+ U8 g x0 T( }: Wvenues. This includes, but is not limited to, the following:

: d* J+ f) I& a" G+ a& W; s+ l4 l· To recognize, develop and set in place such rental procedures as
1 W+ T( {' j& H, k7 `' s# S/ L% Qmay be necessary to ensure the smooth operation of the venues, this
: q4 c/ l; m7 a$ }( dis to include but not necessarily be limited to systems and processes
5 M0 X3 x' y* z" k" rin the areas of contracts, inventory management, contract evaluation, ! t5 z8 v1 S$ i$ \% ^0 t4 w
pricing, costing, equipment usage, rental/contract invoicing,
: F- m5 o1 e- w) \together with such other systems and procedures as may be necessary
; ~; ]) a; i! ?0 z/ D- \to ensure the smooth, secure, efficient, cost-effective and ( w/ f0 v; U$ `) C2 U
functionally-effective operation of the Horowitz Theatre./ w) a$ I% J& [/ D# i: {8 }& j% z
· To recognize, develop and set in place such operational procedures
0 f/ c0 S/ x' Y1 }4 D3 eas may be necessary to ensure the smooth, efficient and cost-

· To negotiate rental lease agreements (contracts) relating to
- [# s5 |' n8 h7 M$ edates, rates, staff and miscellaneous charges.& i8 K7 o; t% c% q1 g7 C1 Z2 ^6 k
· To ensure that adequate inventory is available at all times and
) l$ S, @8 p2 t" a9 {* x: {: lthat such inventory is stored and issued in effective and secure ways.1 X" j6 G. M# N( Y4 @
· To consult with renters as to facility issues in producing their 6 }+ j9 o% A1 ]# d
particular event in the venues.& f* t6 c. e& C; y
· To provide the venues on-site staff with such documentation and 4 J/ \- h7 a$ k
supporting information as it may need to effectively fulfill the
, E @! @8 K( T' C' e2 v8 ^roles they are to perform to ensure the success of the renter´s event.
5 X! U8 z; Q8 q7 v· To produce quotes in respect to staffing costs for a particular . j b% X5 L8 _* `2 v2 o
rental with consultation with the Technical Director.$ j8 k, l; K4 S/ ^; X* e
· To ensure that all queries raised with the venues whether from the ' u9 F- m0 ~/ B- q2 g/ B# o1 ]( ]
SU or renters, are promptly and effectively handled and adequately - D- @1 W+ }8 v; E
answered, and to ensure that such action as may be necessary in 2 M, ~) A# X' x. Y3 @
follow-up to such queries is taken in a timely manner.' r) P( u3 t: b1 O) l6 ~1 O1 p
To ensure that the venues and its capabilities are adequately, * G7 K1 ~- c! {. F+ k1 y
effectively and cost-effectively advertised and promoted, and that
1 n5 Z% h. j# m+ | p, p' C, zthe cost of such endeavors does not exceed the budgetary provision 3 N `: r! {6 `7 ~3 q
made for them unless prior approval is given by the Manager of $ M$ ~6 L" p7 c4 p F

· To act as an informed and knowledgeable resource in the case of / I" A3 E0 ^6 H! m# i
significant challenges and/or problems surrounding the tasks of ) k. h" Z" a4 A$ g5 D) c1 x' O- P+ }" m
marketing, administration, operations, and any such other matters as
! a2 L5 M& F' emay provide such challenges and/or problems.
