financial and operational success of the Horowitz Theatre as well as
! d% z0 c8 Z9 zthe logistical organization and smooth rental of the additional

breadth and complexity, it is not possible to fully define or

a. To ensure, at all times, that the venues listed below meet the

positive way to the smooth operation and success of the individual

production and facility requirements.

safety regulations and building policies.

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that
# r2 U& z) \, h- p9 _focuses upon advertising and promoting the venue to faculty,
/ b5 D# H" ]: h% s$ u0 k% ]* fstudents, and internal and external clients on an on-going basis.
z( O7 H5 y* f a( w: RThis strategy will include implementing and/or delegating the following:& e( ?( F; g' W
· To develop and maintain promotional materials, the Horowitz
5 ]+ H$ a; o# U0 i! E$ k ITheatre and SU Venues home page, newspaper and other advertising; to ; _: O. O+ ]; r- g% z" I) U* _- ~
take advantage of other internal and external advertising
9 D) d' c# P" U( n7 Oopportunities; and to develop press releases and other promotional * D/ ]( f z9 [# ~4 V
literature on an ongoing basis.
9 w; T+ y1 ^1 Q2 Y: ~: s( H· To coordinate tours of the venues for potential renters.7 \. V) B! N& a( u
· To promote upcoming events in the Horowitz Theatre through the
' w8 r1 B+ ?# _# k" uuse of the Horowitz Theatre Home Page and the SU Events Calendar.% h6 D O. h& l6 q# d; d/ E. Z1 v5 l
· To develop new external clients for the venues.* @2 e* N" y3 y2 J" v% }

a. To ensure, at all times, that the venues are adequately and cost-
: M* J9 D! V3 c# I: Q& qeffectively staffed, and that the staff utilized by or within the
- ]$ b% Q2 ~+ d- F) zvenues meet the appropriate standards, requirements and needs, and
: e8 e# m z6 N8 Mcontribute in a positive way to the smooth operation and success of
: C9 U, `7 t, f! D/ Y( zthe renter´s events. This includes, but is not necessarily limited 1 i! _; P% C+ T7 D" @ i; S6 g. Q
to, the following:8 m0 p. J" W# O3 D( W& T
· To be responsible, under the direction of the Manager of Venues / G( N1 U& p4 |, Y
and Programming, for all staff issues including hiring, disciplining, / N: T3 \6 F m; l* K! d. p" | ]
evaluating and terminating, as necessary.
& b3 _- y( Z. E2 O: X6 i To ensure that the Horowitz Theatre is adequately supervised at 8 g' \( |7 j; @" s" _8 c& @
all times, this includes the development and implementation of such + h& G/ z1 r2 G! e1 C- l5 e7 G+ n
schedules and rosters as may be necessary to ensure the effective and 4 x0 O7 p8 ?& Q. {
cost-effective supervision of the venues at all times during which it
$ e( o; I: l7 F. v$ Vis in operation or needs to be in operation.
6 _& A. l+ a n3 k0 S· To work with the Technical Director, when necessary, to ensure
) C2 P- \7 d9 n# r8 J* s9 |that an adequate and appropriate level of part-time staff exists to
! R( e" R+ V2 V j. Yfacilitate the smooth operation of the venues and to ensure all 6 [. T: U- q/ h# S0 T$ p
renters needs are met.
8 f* R0 H9 @/ L: d+ j8 S$ c· To work with the Technical Director to ensure that the skills : Q; W. C" _) J E
and attitudes of all subordinate staff are appropriate in light of ( R3 b3 e; Y) N; c: D
the roles they must perform. This includes providing adequate and 4 V! E3 u% A, e& p7 `
effective training (and re-training) in all applicable and
# ~8 v* s: M' i$ A) p5 P9 pappropriate areas, and ensuring that the Policy and Procedures manual & h- z1 s6 D+ q& M
is kep up-to-date at all times.7 T, @- q6 z/ X5 o) m! W' b% A
· To ensure all staff are trained in and committed to providing
9 C1 D/ d+ w& ~0 r7 Uexcellent customer service to all renters.
# n6 d. ?) L L: I2 H7 I· To work with the Technical Director to arrange staff 0 k8 S, E2 @0 C! d3 n
scheduling. To handle payroll related matters, under the guidance 6 Z* s, [% J( o5 F2 `% v4 B
and direction of the Manager of Venues and Programming, concerning
# ~. k. l3 G, R5 O2 Mthe staff of the venues.. a8 g" ~5 y( B
· Working with the Manager of Facilities and Operations to ensure 5 {+ q1 D: H: L( S
the appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.

1 _4 O5 k- D2 S2 d; ea. To ensure, at all times, that the Financial and Administrative
6 d3 W( Y# \& E% Tsystems and processes utilized by or within the venues meet the ) o+ R' f5 c& |) m4 T
appropriate standards, requirements and needs, and contribute in a 0 [/ X6 @* N/ U5 [1 s' K5 P
positive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate
) ]$ g& b$ X# J4 `3 r uoperating budgets covering the venues to the SU´s Manager of
$ q9 d7 T% F* y4 G: Z" EProgramming and Venues and to discuss and refine those budgets
6 H1 }" F9 m4 J M5 zManager of Programming and Venues, and Manager of Finance & 3 M& x6 g" N, Y+ {: a$ X' ~
Administration prior to their submission for final approval.
/ k2 A- [ m! A+ G+ r+ r9 @· To manage the venues in a manner which adequately and effectively 9 l( R. S+ e' x8 m* \) q
reflects the budgets approved for the venues and/or which reflects " F& F( s8 n" U0 e
the best interests of the venues and the Students´ Union.3 a( J' I, u* s6 o, _" y& h
· To function as the key player in the submission of financial and 2 ^' q( w+ {) B) d4 {5 e6 [; Y( k
administrative documentation covering the venues to be used in the ' ]. R+ H* C9 B, |* W" }
compilation of monthly and annual financial statements, and such

· To discuss those financial statements and other reports, together

costing systems to be used in connection with the determination and ' Y, z6 Q4 L! r8 t6 I
setting of appropriate prices for rental and staffing rates for
4 ^$ f. e1 K, a& Kevents held in the Horowitz Theatre.* m# Q* p- u! z+ ^% z( p4 q
· To develop accurate documentation to be used in connection with 6 L# c q+ d8 P& T
the billing clients, and to forward such documentation in a timely
9 w* g8 a$ V) t8 L! {5 wmanner to the Accounting Department.# K2 w9 H' H U d: [% O' g0 C$ _
· To recognize, address and handle all matters relating to financial

5. Overall Roles and Responsibilities
0 t2 v g" i6 L: @6 Z3 Da. To ensure, at all times, that the systems and processes used in
O8 p& N! @: H u# i8 @% Crenting the venues meet the appropriate standards, requirements and * w* ]2 H5 |! B6 t! h5 a! w9 Q: {
needs, and contribute to the smooth operation and success of the 2 O$ N/ k) V @% P& m0 L
venues. This includes, but is not limited to, the following:0 u i" ?$ {& @$ j% C

· To recognize, develop and set in place such rental procedures as
: k W( A) j4 ? p( _1 ^may be necessary to ensure the smooth operation of the venues, this : r q/ x( m8 @" g; `
is to include but not necessarily be limited to systems and processes 8 P9 p1 o4 c8 W2 G1 O+ ^4 _1 @
in the areas of contracts, inventory management, contract evaluation,
* C, \1 G( ~& i* r! `pricing, costing, equipment usage, rental/contract invoicing,
$ S" b, D7 ^, H& c! j; Itogether with such other systems and procedures as may be necessary 8 K7 p2 S8 a8 F* e: W/ T. |3 ^
to ensure the smooth, secure, efficient, cost-effective and
4 T' I9 P3 x( C$ }7 g* ]. F* lfunctionally-effective operation of the Horowitz Theatre.8 ?5 E; D6 `2 k/ X, o6 Q
· To recognize, develop and set in place such operational procedures
2 X1 s" J% D& ]/ }2 g* Y4 has may be necessary to ensure the smooth, efficient and cost- ) L0 |, P$ m) U! c# ?3 h
effective operation of the venues.
* c1 q. i* |4 [' u8 h· To negotiate rental lease agreements (contracts) relating to ( R& w, d/ z3 K8 S- c( e
dates, rates, staff and miscellaneous charges.
& ], u# T1 |( r9 i, h0 t· To ensure that adequate inventory is available at all times and
1 A2 @3 u; I- Y. T6 T4 uthat such inventory is stored and issued in effective and secure ways.
0 b {) Y( z& ?' k+ A# @& V" y9 }· To consult with renters as to facility issues in producing their

. X8 V2 f q L4 ?5 ^4 t% l· To provide the venues on-site staff with such documentation and
. [# _* f* h: J& Ssupporting information as it may need to effectively fulfill the
3 f7 Z* x. t4 a" s/ S: N+ \$ M. lroles they are to perform to ensure the success of the renter´s event.
% N4 z9 t: \1 V7 J· To produce quotes in respect to staffing costs for a particular 7 D7 i( e* M0 K4 _
rental with consultation with the Technical Director.& d( z& c: [0 M3 E
· To ensure that all queries raised with the venues whether from the ) \8 [4 Z0 H' V# C/ z
SU or renters, are promptly and effectively handled and adequately
2 B& |& R0 h5 ~" f) Tanswered, and to ensure that such action as may be necessary in
% F# f. L( s7 a9 `7 Z0 q3 P; O6 t5 ]follow-up to such queries is taken in a timely manner. I1 C: ?& U% ^7 d. l
To ensure that the venues and its capabilities are adequately, N. z3 w: P, J! b5 s7 ^
effectively and cost-effectively advertised and promoted, and that . w( v. \& Q3 |' r( v
the cost of such endeavors does not exceed the budgetary provision 6 n' G3 G: F4 E) @9 h! L& h
made for them unless prior approval is given by the Manager of
* o' R) U# A3 Y2 G4 | z3 NProgramming and Venues.* @5 D5 e# B9 f
· To act as an informed and knowledgeable resource in the case of
- W1 @+ ?- o' ?1 s+ Asignificant challenges and/or problems surrounding the tasks of ) g& t! ^8 B0 k; k# T1 X
marketing, administration, operations, and any such other matters as 3 ~: }; _4 k B1 H6 L9 X8 F
may provide such challenges and/or problems.
