ROLES AND RESPONSIBILITIES

extensive, and are targeted at the all round smooth operation and  : \, D' P2 |: M8 K4 m; X0 M
financial and operational success of the Horowitz Theatre as well as    b6 \7 H4 f4 ?! O1 V% w
the logistical organization and smooth rental of the additional  ! J4 A* f* z: j2 A' v: e5 R
venues within the realm of the Students´ Union.  In the light of that  
  l$ X4 u* A% Y6 o& ibreadth and complexity, it is not possible to fully define or  
# c& v% M3 N4 y: R& T0 edescribe all roles and responsibilities in a document of this kind.   ) d. M9 Z3 T, ~* z3 W
However, the main roles and responsibilities of the Operations

a.   To ensure, at all times, that the venues listed below meet the  ' P3 u: l# D6 E6 [
appropriate standards, requirements and needs, and contributes in a  
1 `9 ]! V& }2 Lpositive way to the smooth operation and success of the individual  
# i0 f; b) C! ^3 Hrenter.

·     Dinwoodie Lounge

b.   This includes, but is not limited to, the following:4 q3 ~- c; D8 R
·     To plan the capital and supply expenditures to meet the  
- x/ n$ W; m; n4 Dproduction and facility requirements.6 u2 L: ?3 Y0 p* d
·     To ensure the day-to-day compliance of the venues with existing  8 _5 _4 t  O% n$ a5 W
safety regulations and building policies.) N4 B* P' v3 e! r% ?( ]
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion7 g" W. Y! @. ]! l

5 w* n7 o* ^7 ]4 t; ]! S/ l* Ra.   To develop and implement a marketing plan for the venues that  
0 F; b8 v% U" |) _focuses upon advertising and promoting the venue to faculty,  
/ K2 b, t2 J% M- }! `students, and internal and external clients on an on-going basis.  9 w0 t3 ^! J, h3 c0 X
This strategy will include implementing and/or delegating the following:1 `  M: {% ~6 r5 W' C
·     To develop and maintain promotional materials, the Horowitz  
. ?+ g9 e, l5 T, t8 s- XTheatre and SU Venues home page, newspaper and other advertising; to  
) {8 y4 ?' U) x) V, X" Ptake advantage of other internal and external advertising  5 i& @0 }1 `2 @$ w% ?/ A
opportunities; and to develop press releases and other promotional  9 \5 u4 ~( I; X* J6 ]3 D
literature on an ongoing basis.6 g) o8 K9 j$ ~8 U# S
·     To coordinate tours of the venues for potential renters.3 X7 f+ |6 I2 k, ~  Z  [8 I& q
·     To promote upcoming events in the Horowitz Theatre through the  0 R: D5 u2 [# V' Y
use of the Horowitz Theatre Home Page and the SU Events Calendar.
. k' B# Z1 F( |+ |3 P0 m·     To develop new external clients for the venues.

2 }2 n- O' S$ x: l- R( N
3.        Staff and Supervisory Roles and Responsibilities
: K# d' }% I4 a. ~6 ]# T
- O7 k8 q2 R4 E  d' O- _a.   To ensure, at all times, that the venues are adequately and cost- ) V- ?" |- ]/ x
effectively staffed, and that the staff utilized by or within the  
' f$ `% g$ }+ W( Evenues meet the appropriate standards, requirements and needs, and  ) Y- w; s0 D. ~
contribute in a positive way to the smooth operation and success of  
6 ]6 ]5 g/ X& L' jthe renter´s events. This includes, but is not necessarily limited  
: `. I3 q8 Z* mto, the following:
4 }: ], `4 l1 l9 }% h& ~5 ^" R0 U·     To be responsible, under the direction of the Manager of Venues  ; s1 ~4 k& f& h
and Programming, for all staff issues including hiring, disciplining,  # ]) c& s1 D2 ~/ W9 j+ m
evaluating and terminating, as necessary.
7 T+ l0 l6 e( c8 }, w To ensure that the Horowitz Theatre is adequately supervised at  
& q2 M8 r9 C1 I+ ?all times, this includes the development and implementation of such  ; k8 P7 C% o, D* ?& D8 c
schedules and rosters as may be necessary to ensure the effective and  
3 \& ]& ], b: |; _7 dcost-effective supervision of the venues at all times during which it  
6 v3 z  D  a# N4 ], C' _is in operation or needs to be in operation.8 k2 O. O; E4 J4 F
·     To work with the Technical Director, when necessary, to ensure  . N1 ]5 r8 P1 O
that an adequate and appropriate level of part-time staff exists to  
* V. u! w4 K% ]) ?, [! g7 ffacilitate the smooth operation of the venues and to ensure all  
! e) @! t: @/ i' |; Rrenters needs are met.2 S0 @* Z& `2 b) h- J+ l* Q7 Z
·     To work with the Technical Director to ensure that the skills  
. _4 |6 q7 E7 ?9 A+ band attitudes of all subordinate staff are appropriate in light of  
! Q) f- w# Y$ Q5 O; V! Gthe roles they must perform. This includes providing adequate and  1 u/ h  `; ^0 O! I1 \# W% L
effective training (and re-training) in all applicable and  
+ D# V5 K8 `, Sappropriate areas, and ensuring that the Policy and Procedures manual  ( t# r/ i. z  u# s- s
is kep up-to-date at all times.1 c1 o0 L. |9 u( g& u, O
·     To ensure all staff are trained in and committed to providing  
2 ?; p; W7 D* Q; }6 _% F0 fexcellent customer service to all renters.
9 u0 v" \) q" P$ A( Q4 n4 i& c5 k1 O·     To work with the Technical Director to arrange staff  4 m( P" o( }- u( @' ]% ]# c
scheduling.  To handle payroll related matters, under the guidance  
& D3 H2 z" J' k7 o) O! M6 V$ Nand direction of the Manager of Venues and Programming, concerning  % i6 U! L& L$ k: W# r  x7 Y0 S! T# l
the staff of the venues.
& S( z2 L. |0 g7 G7 H·     Working with the Manager of Facilities and Operations to ensure  3 H7 U1 y% x. q9 M1 c, E& }' X; b
the appropriate setup/tear down of each venue.2 k% `4 _4 z, }) H
·     Working with the Manager of Programming and Venues to ensure  ' E1 _+ ?  F4 e3 Y
that additional requests such as licensed receptions are arranged.6 u4 T+ Q8 \' j3 }& H! Q0 E! t+ H

4.          Overall Financial Performance7 _# ^( g2 L* j) K6 v3 [2 e

: M1 U0 `$ }5 ?1 Wa. To ensure, at all times, that the Financial and Administrative  
! ?$ n4 E8 {/ O/ f" a  t6 Bsystems and processes utilized by or within the venues meet the  + q3 F$ k: W* b# T, \
appropriate standards, requirements and needs, and contribute in a  
& C  N6 d# i" T2 b0 e* r6 wpositive way to the smooth operation and success of the venues. This  
  c( h9 D) _/ d; c1 A7 W: N: qincludes, but is not necessarily limited to, the following:5 c( P/ w; ^  N( h' T; j8 b
To provide input and expertise in the formulation of appropriate  
2 x3 p/ V; w+ H- p6 Z5 Poperating budgets covering the venues to the SU´s Manager of  $ Q* h# O4 @  w8 u6 a
Programming and Venues and to discuss and refine those budgets  
* \, }6 M! g+ l) j& v1 eManager of Programming and Venues, and Manager of Finance &  
0 \* m! n) H* w5 b. ?, b" NAdministration prior to their submission for final approval.5 B9 z3 k+ _+ U/ R. J( v+ Z* X! }
·  To manage the venues in a manner which adequately and effectively  
8 Z  }" d5 v  o7 y4 ~8 [4 p5 ?3 Ireflects the budgets approved for the venues and/or which reflects  % R* K! R% n9 k: F3 ]+ ?
the best interests of the venues and the Students´ Union.; w8 _' X# d6 u8 }+ x
·  To function as the key player in the submission of financial and  ( Z  x- m* l' C  D
administrative documentation covering the venues to be used in the  
- M7 n- P6 U" n' L4 Ccompilation of monthly and annual financial statements, and such  
7 c$ N: W/ _$ U! p. R* F+ F* \other reports as may be necessary.; Q" ^, r1 d9 B) P
·  To discuss those financial statements and other reports, together  
3 |: ?, M. ?' v/ x5 ^with all financial and administrative procedures, with the SU´s  
+ ~& u: K3 ~, e8 TManager of Programming and Venues and Manager of Finance &  
" Y2 l. h* u* m4 q# LAdministration with a view to determining and implementing action  . X2 a( {* r: f9 d* H
aimed at improving the financial and/or functional effectiveness of  
/ J$ X3 A( t7 C1 p5 |! X6 Ithe Horowitz Theatre.
$ m% w) B+ c; \/ H·  To ensure the existence of adequate, effective and accurate job  
1 y, J% d/ P0 F# x) ^; ocosting systems to be used in connection with the determination and  ; B6 S1 Y- n% O9 J
setting of appropriate prices for rental and staffing rates for  : G: o7 n* Q+ R( T" D
events held in the Horowitz Theatre.. z1 p0 E$ _6 t! u
·  To develop accurate documentation to be used in connection with  
0 [; t  `& R6 ~0 g* L' cthe billing clients, and to forward such documentation in a timely  
& z, \" O" O6 l- X+ Omanner to the Accounting Department.
9 M2 t8 d8 y6 ^4 L+ p( V·  To recognize, address and handle all matters relating to financial  1 i  p0 k! Z6 E" u& |( o7 B
and administrative procedures and systems in a manner which reflects  
0 j$ ]( l$ I9 t' s& qthe requirements of the SU´s Manager of Programming and Venues and  
6 v) D/ J* s* H0 B" `$ R6 VManager of Finance and Administration, and in a manner which  ) ?) H8 [1 X$ g- s+ y: Q
contributes positively to the smooth operation and success of the  
4 c! e+ f# i# j1 `venues.1 j3 }5 i: I& g( r

  ~( M  l* `/ M1 p# N, z) L5.          Overall Roles and Responsibilities, Z) h4 t8 ?# Q
a.   To ensure, at all times, that the systems and processes used in  . {9 ?% Q4 Q6 d. z; E4 U" L
renting the venues meet the appropriate standards, requirements and  7 z  l* a& W: f3 o) ?9 b; w
needs, and contribute to the smooth operation and success of the  
- `8 B2 a# E# L- Z2 C) O1 jvenues. This includes, but is not limited to, the following:( G4 q+ E4 w0 M9 z2 T8 U  p
& T: X3 [& n* ^& @; t* Z- C( `
·  To recognize, develop and set in place such rental procedures as  / o0 g: L& m( S3 t5 s0 k
may be necessary to ensure the smooth operation of the venues, this  8 u- _# L1 V9 ]* c" L  f) h
is to include but not necessarily be limited to systems and processes    Z. M; l. G# W+ s$ q' u
in the areas of contracts, inventory management, contract evaluation,  # Z3 Y0 |  R% x- S, s5 {% S  O
pricing, costing, equipment usage, rental/contract invoicing,  
" \- Y9 Q6 S: P- Wtogether with such other systems and procedures as may be necessary  ! P/ c' N: [6 o% M  C* h( U9 f$ ?! a
to ensure the smooth, secure, efficient, cost-effective and  ) t1 q  I2 Y) c8 a0 k% l
functionally-effective operation of the Horowitz Theatre.& x+ b  L! s. {1 u+ i
·  To recognize, develop and set in place such operational procedures  
# R9 ~7 [8 P' a: qas may be necessary to ensure the smooth, efficient and cost- . k$ x- y$ }, _3 {( }* V
effective operation of the venues.* D1 u) F; ^0 a: N8 m  j/ ]
·  To negotiate rental lease agreements (contracts) relating to  
6 e' H- l. c6 I) i% X( r- adates, rates, staff and miscellaneous charges.
" R8 X* E0 a' m% F* g·  To ensure that adequate inventory is available at all times and  
% N! z  O/ M3 r: f, d: c* m0 U3 u9 I: Ethat such inventory is stored and issued in effective and secure ways.# z7 l" p$ E9 \2 W. `' U8 f
·  To consult with renters as to facility issues in producing their  7 P8 [7 Z7 \% c( `3 @
particular event in the venues.
3 F+ S4 |5 k! S+ Y2 b( ~0 }4 z6 W·  To provide the venues on-site staff with such documentation and  2 G% M- k2 x( ?- }: X3 |5 Y
supporting information as it may need to effectively fulfill the  
% \1 y4 R' Q) g# M3 y4 Aroles they are to perform to ensure the success of the renter´s event.
9 j* v: v0 p, Z: b' F; o, |2 W8 r·  To produce quotes in respect to staffing costs for a particular  * i9 l* N) o6 H
rental with consultation with the Technical Director.7 Z0 Y- l5 b: W" D
·  To ensure that all queries raised with the venues whether from the  1 ?& c) }. O- b* j/ v
SU or renters, are promptly and effectively handled and adequately  9 ], K1 g3 t2 w7 J
answered, and to ensure that such action as may be necessary in  : S. a2 g, p0 E
follow-up to such queries is taken in a timely manner.
/ |- z2 K& |* O5 E+ W  H To ensure that the venues and its capabilities are adequately,  7 m( ]2 U2 M1 l8 b6 N
effectively and cost-effectively advertised and promoted, and that  
* |' R) h# j# M/ Jthe cost of such endeavors does not exceed the budgetary provision  2 ~* j" P4 p. _* c3 |" A' s
made for them unless prior approval is given by the Manager of  + Y. B( _; y+ O0 U* v/ }
Programming and Venues.
, g& F0 P' J" D: C- L! `! U; V8 Z·  To act as an informed and knowledgeable resource in the case of  
& `$ [" [; G' }) J7 r$ wsignificant challenges and/or problems surrounding the tasks of  
. @/ B- ]- K* e* Q8 R  `$ [marketing, administration, operations, and any such other matters as  ' F. p9 b$ l6 ]
may provide such challenges and/or problems.2 p7 M! X! M% W* H4 k. E: t% p$ J
·  To attend such meetings as may be required to support the smooth  8 V2 c. u# m$ m( b0 G0 d  z; G
operation of the venues or the Students´ Union as a whole.
- h. o& A9 \/ y" Q* T·  To perform other job-related duties as may be required by the  1 R8 b7 h+ t8 s( g# `
Manager of Programming and Venues in order to ensure the smooth and  & D. w/ i8 z' U. N+ h) X2 M
secure operation of the venues.9 {( s0 u6 l+ R, N! A
·  To recognize, address and handle all matters relating to overall  : a  O+ _: S1 u0 N, T
operations in a manner which reflects the requirements of the SU´s  
- e, G! Z6 P, h" m6 L+ MManager of Programming and Venues, and Manager of Finance and  
. B. x# ~4 B* I! h2 l/ Y- hAdministration, and in a manner which contributes positively to the

QUALIFICATIONS:
2 i* R$ _- {7 H; K- O, z7 p5 R- Q1)             Minimum two years related post secondary education, or  : R7 W/ W  f* r* g
an acceptable combination of education and experience.% Z( z& d3 f. p5 d7 A! n
2)             Supervisory experience.7 R0 k8 S) z! E
