The duties of the Operations Manager - SU Venues are diverse and  
$ j4 ?! {1 h) [6 Cextensive, and are targeted at the all round smooth operation and  , w+ a7 Z# I9 o- p6 L* o
financial and operational success of the Horowitz Theatre as well as  
1 I, k" `% E% P0 c! k% d$ }3 D0 Tthe logistical organization and smooth rental of the additional  
+ q; _2 P2 Z' H; Jvenues within the realm of the Students´ Union.  In the light of that  8 w* |2 J. k7 d- S) Z$ x
breadth and complexity, it is not possible to fully define or  
# w9 s: i9 z' S% Gdescribe all roles and responsibilities in a document of this kind.

7 Z" D) I& Q1 ^% H) M# X% J- Happropriate standards, requirements and needs, and contributes in a  - h1 R% D) @/ C
positive way to the smooth operation and success of the individual  ) S, \0 }8 O, ?" p! ?3 }& B

·     Myer Horowitz Theatre( g4 G. f; ~# D6 k* t6 W
·     Dinwoodie Lounge1 d1 R2 }' ~+ I& t+ Y4 P0 Z
·     SUB Stage

·     To plan the capital and supply expenditures to meet the  3 y$ p0 M5 d% B. U5 M7 t

·     To ensure the day-to-day compliance of the venues with existing  - \: B1 V4 J  E4 z
safety regulations and building policies.

6 w6 N) n6 C& h( A0 d2.        Marketing and Promotion
1 s5 s: Y1 |3 J  l3 B7 X: J# \% a) u/ a& V. I0 Z* F
a.   To develop and implement a marketing plan for the venues that  
. o& r; ~0 E+ g9 n0 Dfocuses upon advertising and promoting the venue to faculty,  
  `. J5 e: _* M6 F7 x, w& T$ fstudents, and internal and external clients on an on-going basis.  
5 e' b0 q7 G- M/ l, N2 l( W! BThis strategy will include implementing and/or delegating the following:- i/ ~* \: K& y1 u5 i3 j
·     To develop and maintain promotional materials, the Horowitz  2 g6 J  L& F) y7 S" ?* Y
Theatre and SU Venues home page, newspaper and other advertising; to  / D6 L  P) {( Q; |! E: T1 |. q/ S
take advantage of other internal and external advertising  5 Y# Z' D: k, h3 Q
opportunities; and to develop press releases and other promotional  " Q4 {3 L5 X; f7 R
literature on an ongoing basis.- B7 a4 k3 P% _# R! }# P8 I
·     To coordinate tours of the venues for potential renters.3 t) S9 s7 C( \* @5 Q
·     To promote upcoming events in the Horowitz Theatre through the  ; C  K$ S! q1 ^6 h8 H  q
use of the Horowitz Theatre Home Page and the SU Events Calendar.
8 S" M, ]: \1 W0 b% y# e·     To develop new external clients for the venues.+ P$ v1 o# q0 G7 N5 W

2 K' t) H# P* Q+ _
" w3 G! Q* t0 }( h3.        Staff and Supervisory Roles and Responsibilities6 H; L3 }& q% ]! I2 X2 t

( ^- O" ~* E5 a# T2 d! i0 l+ N& Ia.   To ensure, at all times, that the venues are adequately and cost-
9 L# k* R0 N7 E- n: Yeffectively staffed, and that the staff utilized by or within the  # Y% S/ {+ I7 ~. X: L# U
venues meet the appropriate standards, requirements and needs, and  
9 {1 L* G& C" @' k1 Econtribute in a positive way to the smooth operation and success of  8 ^( Y  T% k) z6 h. \
the renter´s events. This includes, but is not necessarily limited  
: D* Q' R0 Z% f  ?) oto, the following:
4 Z, a& R/ D( M·     To be responsible, under the direction of the Manager of Venues  % u$ I( t& {/ E
and Programming, for all staff issues including hiring, disciplining,  
1 ^2 z& |- U( H# {+ bevaluating and terminating, as necessary.
7 y6 G( x* x( @; i8 T4 F% ] To ensure that the Horowitz Theatre is adequately supervised at  
, g& t+ J% F# g5 j* E3 e, ]  N- fall times, this includes the development and implementation of such  5 L# s3 h5 U% p4 m5 Y
schedules and rosters as may be necessary to ensure the effective and  
% T, c! ]& @: c! Q2 }, Rcost-effective supervision of the venues at all times during which it  & d4 g1 ?) p& d- {' S# A
is in operation or needs to be in operation.$ H  g, z& y: {
·     To work with the Technical Director, when necessary, to ensure  
6 P% ?; c, Z7 P& f! Cthat an adequate and appropriate level of part-time staff exists to  
6 X# G. W% P1 x5 Z- v* M" V/ ^# {5 U+ ?facilitate the smooth operation of the venues and to ensure all  + V/ d: h3 i  y
renters needs are met.
1 [8 |: m4 q" t9 o8 p·     To work with the Technical Director to ensure that the skills  ! n4 r/ P+ I0 j* l. b
and attitudes of all subordinate staff are appropriate in light of  4 u0 e, U2 o9 D9 i
the roles they must perform. This includes providing adequate and  
0 _* w4 y( U  ~' d8 M, H; c/ heffective training (and re-training) in all applicable and  ) u- b# k6 z- ?
appropriate areas, and ensuring that the Policy and Procedures manual  
+ t: z( h" p" W" y' w' Lis kep up-to-date at all times.
7 j7 E4 R  a+ w. M  g·     To ensure all staff are trained in and committed to providing  
6 o8 R. ]' C9 K5 W5 Pexcellent customer service to all renters./ b5 [4 b" P  T. R% g6 R+ D9 H4 m, [
·     To work with the Technical Director to arrange staff  * Q1 M9 S; T( O( O  A
scheduling.  To handle payroll related matters, under the guidance  
7 F3 U5 W  _  ~' u: i8 M' G6 l( `and direction of the Manager of Venues and Programming, concerning  ) w, Q/ J: j  Y
the staff of the venues.. v8 ^/ h1 b" C# }* j
·     Working with the Manager of Facilities and Operations to ensure  
! s* c- b0 N& }4 Y. {6 \the appropriate setup/tear down of each venue.
- f) R$ ^$ I8 E$ D·     Working with the Manager of Programming and Venues to ensure  
# b+ u' W  d* u* v/ B' w$ c0 athat additional requests such as licensed receptions are arranged.4 q( V" l& L0 x, x4 ]0 _9 }0 h

4.          Overall Financial Performance. y3 D3 Y1 Z" N, b9 g

0 k8 Y# o* [# [$ a3 q: va. To ensure, at all times, that the Financial and Administrative  7 W2 [, f% {% v0 I( k2 x4 ?
systems and processes utilized by or within the venues meet the  # L; l4 c" w3 Q: ?6 N
appropriate standards, requirements and needs, and contribute in a  + w2 Z% O: P- z" B
positive way to the smooth operation and success of the venues. This  6 J7 V$ R9 P# E
includes, but is not necessarily limited to, the following:
% h6 V+ |4 Z& F8 z, X' ^9 ~ To provide input and expertise in the formulation of appropriate  - |  E  V1 ^. ?$ K2 ~, ]; @; J
operating budgets covering the venues to the SU´s Manager of  $ Y& L1 p6 C/ y/ G3 f
Programming and Venues and to discuss and refine those budgets  
$ h0 S/ D5 e/ \Manager of Programming and Venues, and Manager of Finance &  
% L; @/ X( m' O5 \. h% ^! L: KAdministration prior to their submission for final approval./ ?9 g7 @5 R* P9 z3 z
·  To manage the venues in a manner which adequately and effectively  
' h; a, A2 F9 areflects the budgets approved for the venues and/or which reflects  
- u) N- h+ n" j& A& B. u* ithe best interests of the venues and the Students´ Union.
, p/ L7 K6 F" F7 m& X·  To function as the key player in the submission of financial and  
' t7 r7 V2 {) n( P% Tadministrative documentation covering the venues to be used in the  
* n  x" W0 U. u1 w! H* Pcompilation of monthly and annual financial statements, and such  
8 R7 ?$ D& X7 L: Eother reports as may be necessary.- j+ t" z, o" \. L
·  To discuss those financial statements and other reports, together  ; e3 `4 o6 ~& v+ `: c  m9 C
with all financial and administrative procedures, with the SU´s  ! l3 |+ n. o+ @4 S5 }! m7 m
Manager of Programming and Venues and Manager of Finance &  . b+ ?/ [) I+ h
Administration with a view to determining and implementing action  
( H8 ~! Z2 Y/ }% s2 Yaimed at improving the financial and/or functional effectiveness of

·  To ensure the existence of adequate, effective and accurate job  3 J) c6 P, j5 y+ b& P+ B
costing systems to be used in connection with the determination and  
) }# O% y( B& A1 u  y6 U1 Gsetting of appropriate prices for rental and staffing rates for  / j+ K0 x- N6 e7 q
events held in the Horowitz Theatre.
, d! H4 Q6 |! [( g8 f% a·  To develop accurate documentation to be used in connection with  
. B( \, q8 n) q: o9 Lthe billing clients, and to forward such documentation in a timely  
# }! Q# V$ x3 S+ o/ J& Z/ B/ k! H8 dmanner to the Accounting Department.
# @0 R" g3 Y. g* N' w·  To recognize, address and handle all matters relating to financial  + b) E. N% m" u% E
and administrative procedures and systems in a manner which reflects  # o5 ?6 x" i6 T! u8 X% Q% ^
the requirements of the SU´s Manager of Programming and Venues and  
, r( u+ q2 v' ?. q6 ?; A' i; H. uManager of Finance and Administration, and in a manner which  8 J# l7 {6 w' ]! U& v+ j8 X
contributes positively to the smooth operation and success of the  
; l7 B1 o. u' j$ ^0 ]venues.

4 \1 c) w4 [* ?# t' I+ X; ?5.          Overall Roles and Responsibilities' k$ V& n) V  z) ^+ A3 v  K
a.   To ensure, at all times, that the systems and processes used in  
+ M, O; a% P1 A* [1 srenting the venues meet the appropriate standards, requirements and  
0 c" K2 j# d4 @. U$ y' uneeds, and contribute to the smooth operation and success of the  9 Y" A! O1 [0 u
venues. This includes, but is not limited to, the following:! K0 }: T3 c+ X( s7 A2 Z

( c; r5 {" E' p7 S/ V·  To recognize, develop and set in place such rental procedures as  
7 e; J% R0 \" c" Q2 d$ F! pmay be necessary to ensure the smooth operation of the venues, this  
( n7 t; o( I( c) T- u( nis to include but not necessarily be limited to systems and processes  1 C7 T' @% x7 g* _: V) D
in the areas of contracts, inventory management, contract evaluation,  
/ ]: }" V0 S! R9 s. Y2 `pricing, costing, equipment usage, rental/contract invoicing,  
2 j3 v5 Y; u1 D0 ^) Ktogether with such other systems and procedures as may be necessary  
; B3 m# N; n5 Pto ensure the smooth, secure, efficient, cost-effective and  # O7 f! o/ I5 N2 x& o3 a; ?( o
functionally-effective operation of the Horowitz Theatre.8 B/ V; J# |3 L' q0 {
·  To recognize, develop and set in place such operational procedures  . p! D/ G) \, _
as may be necessary to ensure the smooth, efficient and cost-
& t9 K" E# ?$ q# h- v2 `effective operation of the venues.
& s, }) T  P* O·  To negotiate rental lease agreements (contracts) relating to  1 x' F/ t7 P# f% }
dates, rates, staff and miscellaneous charges.
9 H/ E& [5 c7 E1 |; N3 [·  To ensure that adequate inventory is available at all times and  
! D" Q) p/ w( N$ {; ^5 Rthat such inventory is stored and issued in effective and secure ways.
* A; ~6 B  y5 r/ ~, [) M·  To consult with renters as to facility issues in producing their  
& J" \4 b  k' q7 |2 gparticular event in the venues.
* P2 T: E2 V# ^0 s·  To provide the venues on-site staff with such documentation and  ' C  a1 k& L8 k9 X: X# {/ C& ?
supporting information as it may need to effectively fulfill the  
- o. {  p9 t+ `4 p0 `roles they are to perform to ensure the success of the renter´s event.
/ z0 ^; B! ?/ p6 h·  To produce quotes in respect to staffing costs for a particular  , f; n, |) R- d* u; v4 V
rental with consultation with the Technical Director.* ~4 N, s/ z$ u6 y4 f! o
·  To ensure that all queries raised with the venues whether from the  ( ]- c# c; s, x( H" O6 V5 h
SU or renters, are promptly and effectively handled and adequately    \( P( j( |1 t4 R
answered, and to ensure that such action as may be necessary in  
! j8 V$ E# l" afollow-up to such queries is taken in a timely manner.
4 m( B9 ^& {' e6 j& I To ensure that the venues and its capabilities are adequately,  ; |; F. l/ W3 }' G
effectively and cost-effectively advertised and promoted, and that  - s  W( ?8 b) w3 |1 b
the cost of such endeavors does not exceed the budgetary provision    q4 \+ {# R2 Q; _! }5 r
made for them unless prior approval is given by the Manager of  - M7 s) P/ o) B8 t7 x& T
Programming and Venues.
6 T6 R5 \% E5 n" V3 K: O$ N5 ?·  To act as an informed and knowledgeable resource in the case of  
( `( `& ~; V( s/ ~significant challenges and/or problems surrounding the tasks of  
, q8 I+ B) i/ C; D( {2 [5 N5 bmarketing, administration, operations, and any such other matters as  
6 p, a8 X5 N- [1 a2 L. t. n, S2 emay provide such challenges and/or problems.
2 g. r4 z  i( A* G! A/ [·  To attend such meetings as may be required to support the smooth  
, K, p9 K% A) s/ h0 }  N8 Koperation of the venues or the Students´ Union as a whole., {% v9 ]2 y9 O2 p. n" Q
·  To perform other job-related duties as may be required by the  1 C3 ~5 f4 c: I' C( w8 h
Manager of Programming and Venues in order to ensure the smooth and  * S3 R; w( O& u
secure operation of the venues./ b; I/ w/ n! O
·  To recognize, address and handle all matters relating to overall

1)             Minimum two years related post secondary education, or  
1 [& _- D9 F- M6 w. R& a) ban acceptable combination of education and experience.
