+ b* y$ y0 W  o: k+ q2 V: i2 xThe duties of the Operations Manager - SU Venues are diverse and  
0 z/ U, I. M$ D0 m3 r% uextensive, and are targeted at the all round smooth operation and  
5 B- F4 x' a9 {7 Ufinancial and operational success of the Horowitz Theatre as well as  
- F* a7 o; s( \- `+ T1 d. o9 Dthe logistical organization and smooth rental of the additional  
# q& G/ X, ]  N" o# Zvenues within the realm of the Students´ Union.  In the light of that  
% ~+ f, ]" J/ k8 E: P; F+ zbreadth and complexity, it is not possible to fully define or  - g: L6 f4 B% |
describe all roles and responsibilities in a document of this kind.   1 D6 W9 K# O) w+ c5 W2 D
However, the main roles and responsibilities of the Operations

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  7 L( Y- f9 j' z
appropriate standards, requirements and needs, and contributes in a  
) A+ |" a/ b. b7 \/ [positive way to the smooth operation and success of the individual

·     Myer Horowitz Theatre( N% h. y) W: W( _( Q
·     Dinwoodie Lounge

b.   This includes, but is not limited to, the following:
5 o: l  ^2 s+ }4 y& @·     To plan the capital and supply expenditures to meet the

safety regulations and building policies.

3 }$ t$ W7 ^0 A7 L6 }1 e. Ha.   To develop and implement a marketing plan for the venues that  ; j' c6 Q3 a5 E3 c* p
focuses upon advertising and promoting the venue to faculty,  
1 y0 ~! T+ j) m+ W/ Y( qstudents, and internal and external clients on an on-going basis.  
4 ^, l4 g8 a0 |This strategy will include implementing and/or delegating the following:4 r4 {4 s% l# G$ L
·     To develop and maintain promotional materials, the Horowitz  & U* [  x' B$ T# i- V
Theatre and SU Venues home page, newspaper and other advertising; to  $ i: t& n7 ]: V& O/ y
take advantage of other internal and external advertising  . J# d( t1 A1 p& T$ }
opportunities; and to develop press releases and other promotional  
5 H+ |* z4 S8 b& l6 A5 cliterature on an ongoing basis.3 [, g) P; Y3 @+ t, i2 y
·     To coordinate tours of the venues for potential renters.
" U5 O  S8 L4 K1 U, E6 T·     To promote upcoming events in the Horowitz Theatre through the  . j4 }9 s2 M: F2 P" j. T( D+ k
use of the Horowitz Theatre Home Page and the SU Events Calendar./ g+ A" _- {! H
·     To develop new external clients for the venues.. s2 j7 O2 r! A( B5 O0 {

% H& D# ~- d7 V* `3 ?3.        Staff and Supervisory Roles and Responsibilities% M5 T0 r9 S9 Q$ A, I1 X. A
* w. R/ X6 U8 R; C% z* s# g8 Z
a.   To ensure, at all times, that the venues are adequately and cost-
/ P, N$ z' n2 C4 y" s  Y) eeffectively staffed, and that the staff utilized by or within the  
4 _( c  f- t; p- |" Fvenues meet the appropriate standards, requirements and needs, and  9 t. H9 s* ~5 r4 p2 K' p
contribute in a positive way to the smooth operation and success of  9 `" p- e# E6 b# t1 C& o* V2 o
the renter´s events. This includes, but is not necessarily limited  
. ^' S! p) c1 r8 z" zto, the following:, i, T0 s9 V  E7 M) N
·     To be responsible, under the direction of the Manager of Venues  + j! G) C! t' m
and Programming, for all staff issues including hiring, disciplining,  ) X1 k1 E4 f. K3 ^* W# K
evaluating and terminating, as necessary.( V/ \* R2 @" i0 E4 g0 q
To ensure that the Horowitz Theatre is adequately supervised at  
' V$ z6 \1 y# P1 ~all times, this includes the development and implementation of such  
, x! [! a0 X& c2 B; ]( g" S% P2 Fschedules and rosters as may be necessary to ensure the effective and  
! m5 A* _# n/ W' f- g$ Dcost-effective supervision of the venues at all times during which it  0 w8 [$ R  F. Q0 @- m, V
is in operation or needs to be in operation.
4 B" x% [0 c3 w% o" f* Q·     To work with the Technical Director, when necessary, to ensure  
: N* e9 ]! }+ t) z5 O0 Nthat an adequate and appropriate level of part-time staff exists to  
& Q8 j/ z, D& k6 m  efacilitate the smooth operation of the venues and to ensure all  + Z) M1 W, a$ N$ u; ^" y8 M3 y; n
renters needs are met.: m4 [& d4 J+ c) e; j4 p; x8 ?' r# a5 o
·     To work with the Technical Director to ensure that the skills  
* ]! @0 Q" w( H/ Mand attitudes of all subordinate staff are appropriate in light of  
0 K9 }; s. A3 |$ C$ a5 ~" J( Ythe roles they must perform. This includes providing adequate and  1 |2 H8 M2 G6 l
effective training (and re-training) in all applicable and  
  i5 M, v" L; ?5 ]0 }2 uappropriate areas, and ensuring that the Policy and Procedures manual  
. B" \. V1 X. ]: j. |! Fis kep up-to-date at all times.
0 q& q: i- @# S0 e4 F. `·     To ensure all staff are trained in and committed to providing  
% N: R" o5 N) @, V/ Wexcellent customer service to all renters.& ?* m+ }# {3 ]
·     To work with the Technical Director to arrange staff  1 G1 Y( V- W& ~4 ~
scheduling.  To handle payroll related matters, under the guidance  
# u/ h0 z/ A% H; ]& {. Nand direction of the Manager of Venues and Programming, concerning  
. @( P/ n: Y% A4 |8 G: F9 f6 q8 o7 Qthe staff of the venues.
% V3 |: e. p8 z% i0 C·     Working with the Manager of Facilities and Operations to ensure  % h$ v4 }- ?. R  [3 l  Z9 [+ _3 U
the appropriate setup/tear down of each venue.. w1 L$ ?9 L/ R3 P; o$ v9 l
·     Working with the Manager of Programming and Venues to ensure  ) f6 ^" m8 B# Q3 Z- v/ \
that additional requests such as licensed receptions are arranged.

a. To ensure, at all times, that the Financial and Administrative  0 ]* s6 C8 `: J" F  x
systems and processes utilized by or within the venues meet the  
  H1 b/ N* `. q% H# L; F  ~, |appropriate standards, requirements and needs, and contribute in a  
3 ~) g0 {% Z" T9 s; O. f  x2 Rpositive way to the smooth operation and success of the venues. This  
6 E9 W9 N0 Q2 M, @) c9 c6 Mincludes, but is not necessarily limited to, the following:2 \5 \4 `( q) m) b
To provide input and expertise in the formulation of appropriate  
. Q6 [1 j' ^8 m, @, F$ moperating budgets covering the venues to the SU´s Manager of  - J$ o/ b. y- I# H
Programming and Venues and to discuss and refine those budgets  9 a! ^' x, D0 X8 L& n
Manager of Programming and Venues, and Manager of Finance &  - N) t9 w; J0 l6 W1 K3 g7 K4 L
Administration prior to their submission for final approval.5 b$ S$ f  r- I8 D- g/ x9 N5 k
·  To manage the venues in a manner which adequately and effectively  ; r' ^+ ?! f3 U, H5 a( V
reflects the budgets approved for the venues and/or which reflects  / W* z* t8 C5 P6 R2 M! M
the best interests of the venues and the Students´ Union.. T& v8 H: {& o" W+ k5 t& Y
·  To function as the key player in the submission of financial and  
8 \, P; j1 y% sadministrative documentation covering the venues to be used in the  
8 c0 s& C7 C$ `2 M4 P4 {compilation of monthly and annual financial statements, and such  
2 d% A3 d) h  h* y3 Bother reports as may be necessary.- V. _) ^% [4 t6 Z
·  To discuss those financial statements and other reports, together  3 p6 ^1 {0 P4 ]
with all financial and administrative procedures, with the SU´s  & K7 C8 t' \; P% L$ @+ D
Manager of Programming and Venues and Manager of Finance &  : S4 n1 g9 A0 Y; l3 w, h7 O
Administration with a view to determining and implementing action  
6 j7 m( B5 @9 h3 u& waimed at improving the financial and/or functional effectiveness of  
5 @  {$ r% L( K1 D6 f4 l& Gthe Horowitz Theatre.
: S+ Y; r4 b0 I% J  F% m2 y·  To ensure the existence of adequate, effective and accurate job  
6 i. G+ [3 F; S7 [7 T! Xcosting systems to be used in connection with the determination and  % O# A" Z; w! d$ a. t( G
setting of appropriate prices for rental and staffing rates for  
0 M* [% ^" a2 s* Q2 Nevents held in the Horowitz Theatre.2 Q3 f$ r6 O2 L  L  L- J
·  To develop accurate documentation to be used in connection with  
' f6 e8 a$ _2 U0 j  |8 bthe billing clients, and to forward such documentation in a timely  ! f! a& ^; k; j3 [" A5 ^( s
manner to the Accounting Department.( k$ f0 A9 P. x/ v) l% n
·  To recognize, address and handle all matters relating to financial  0 Q" @; i- \+ {& v# P
and administrative procedures and systems in a manner which reflects  
4 f+ d2 H" H4 ]the requirements of the SU´s Manager of Programming and Venues and  
# ]9 J$ Z3 v5 ^5 _  h1 }5 RManager of Finance and Administration, and in a manner which  5 t3 b8 D1 o6 V9 y# u+ W
contributes positively to the smooth operation and success of the  * f9 x* K' u+ L% r
venues.9 O' o* Z# K/ H! V. |* ]9 r5 V

' w7 y; b  `1 r5.          Overall Roles and Responsibilities
% d& r; Y* B; k6 _# f. ia.   To ensure, at all times, that the systems and processes used in  
' {# Q+ r  U7 j2 w5 urenting the venues meet the appropriate standards, requirements and  - _6 P* f! V4 C. O  f( K  d  U
needs, and contribute to the smooth operation and success of the  + ?1 a* u. W) l
venues. This includes, but is not limited to, the following:/ H, R5 X5 H% i$ L& b5 R
( a; j( ?0 l: l
·  To recognize, develop and set in place such rental procedures as  9 N3 d2 ?$ |2 |8 `4 n7 n
may be necessary to ensure the smooth operation of the venues, this  # G6 h6 v4 l  q4 k4 o9 k4 g' ~( {
is to include but not necessarily be limited to systems and processes  ) S: `, v' s1 _8 d* }  z1 M
in the areas of contracts, inventory management, contract evaluation,  
& P0 o& C+ ?+ G* X1 l. H& I+ Apricing, costing, equipment usage, rental/contract invoicing,  ' \2 C- z  R% |0 L) G+ }. l& c
together with such other systems and procedures as may be necessary  1 @4 M8 P' U+ n# h8 a4 Z! A; b2 ?
to ensure the smooth, secure, efficient, cost-effective and  
! U( D- p8 r7 U2 efunctionally-effective operation of the Horowitz Theatre.4 J/ F6 B% c3 G# q% i
·  To recognize, develop and set in place such operational procedures  ! s1 s! M( l% p3 {
as may be necessary to ensure the smooth, efficient and cost-
" Y0 {' Y. J6 h4 N3 B; O; Keffective operation of the venues.
3 y6 Q( [" f8 {7 J% s·  To negotiate rental lease agreements (contracts) relating to  . A1 m% L4 ~% H' [6 c
dates, rates, staff and miscellaneous charges.
% U' U: e: ~3 H* g0 J+ T·  To ensure that adequate inventory is available at all times and  + _% c; y- W2 W( X4 i  K" Y
that such inventory is stored and issued in effective and secure ways.: `1 ~* t1 y, E
·  To consult with renters as to facility issues in producing their  
3 S) h1 m- E- b8 ~* v& ?particular event in the venues.
1 W0 |7 j( H$ _: X0 q! ^+ r8 g* q·  To provide the venues on-site staff with such documentation and  6 T' m  C( w1 D. r# W: ?" r0 l
supporting information as it may need to effectively fulfill the  3 W! L- i- [$ y% k3 U
roles they are to perform to ensure the success of the renter´s event.8 c, T0 Q% m% N
·  To produce quotes in respect to staffing costs for a particular  
8 s2 S1 c9 K6 }  N; g& r, zrental with consultation with the Technical Director.
0 [3 y6 v3 f' s7 W+ R7 ~% |·  To ensure that all queries raised with the venues whether from the  3 b+ x* L$ r  H. ?' x/ r
SU or renters, are promptly and effectively handled and adequately  
/ _% B& f% a; i9 B0 N+ kanswered, and to ensure that such action as may be necessary in  ( t* h, Y2 Q0 [; Y* f  x- K8 @4 j
follow-up to such queries is taken in a timely manner.; Q, b+ h/ E2 R# G/ A# k
To ensure that the venues and its capabilities are adequately,  
; A" \# B6 ~) ?7 Seffectively and cost-effectively advertised and promoted, and that  
  q" t; C5 j" @0 u" N" Z% H, Othe cost of such endeavors does not exceed the budgetary provision  1 M9 `' d) C9 |
made for them unless prior approval is given by the Manager of  : W- }1 X+ s2 |- `7 G" c, x: _+ U
Programming and Venues.+ t+ \& d) Z1 I9 d2 q/ Z& m# n
·  To act as an informed and knowledgeable resource in the case of  
6 x* D- D0 `2 ^0 D4 R  v) zsignificant challenges and/or problems surrounding the tasks of  % ]  X/ F$ a# ~; A) Y- S% z) X1 k" u
marketing, administration, operations, and any such other matters as  2 g- s8 p/ G- ^6 `4 {! M0 g6 q
may provide such challenges and/or problems.
5 L( t' {& k  H5 J1 H( ?  A* \·  To attend such meetings as may be required to support the smooth  & H' p/ N2 k: Z" Z, o2 M" v2 r5 A
operation of the venues or the Students´ Union as a whole.
3 o; O0 A$ k/ i+ s( _( n·  To perform other job-related duties as may be required by the  ' Y+ }) ^# p. N2 }
Manager of Programming and Venues in order to ensure the smooth and  , J* s* B. ~% s2 @2 P

·  To recognize, address and handle all matters relating to overall  
3 T8 S0 C' |7 T$ t! Hoperations in a manner which reflects the requirements of the SU´s

2)             Supervisory experience.
