Job Description

Position Title:  Receptionist/Immigrant Services Worker8 T, Q6 I3 w& ]1 d. e
Hours of Work: Part-time (21 hours per week), [2 K6 }  J" A* a. v0 `6 ]5 q
Anticipated Start Date: The candidate is required to work immediately

Position Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker. ) J& B4 v3 k0 l& H7 o! Q: D2 p* N

•        Answer incoming calls and route calls to appropriate person6 @. d% a) z2 g! e# g
•        Take and deliver messages to the staff of ASSIST
0 D5 a' v/ t9 O; q3 U; ~/ v•        Welcome clients and direct them appropriately
$ D9 Q0 Z# L  ^: \9 I  U•        Order and maintain office supplies for the front counter' s0 M7 G4 o( h
•        Perform general clerical functions such as photocopying and faxing documents1 d" z1 [1 X; E" T% P/ S
•        Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker6 Y2 z. s" p) F
•        Maintain and update the information boards with upcoming events2 N# }$ X- p# K1 H1 ^( _
•        Assist the ISP team in reminding clients to appointments of workshops or other events
8 R, C: Q) j5 X1 T7 f•        Keep the reception area tidy and clean
# `9 d: O2 C* K3 n3 f2 p•        Attend meeting and training to stay current on immigrant settlement matters- y1 k  n& e+ w' i( f
•        Maintain front counter service files" \; z- T+ l" g9 v& @0 v- T6 n
•        Perform general office duties as assigned

6 f! R, x$ }, q9 A. PKnowledge, Skills and Abilities Required:
8 L9 y' F' p9 j•        Excellent communication (verbal and listening) on phone and in person+ O( _' S; c' O" N2 X0 S- y0 D8 I& C
•        Fluent in Mandarin and Cantonese as an asset6 o, h9 b" s/ _
•        Good English writing and oral communication skills1 i  s) F) P6 o+ j
•        Ability to work with newcomers and general clients
& i3 f* X) Q* g; }•        Microsoft Office operation skills- Excel, Word, Outlook
0 N; z' R9 D% Q* b7 O( H9 M•        Ability to address multi-task and set priority appropriately - E4 e5 b8 G) K- _. S
•        Sensitive to the needs of immigrants with multicultural backgrounds  z; o; |6 C. [+ Y! Q# [; I# W
•        Ability to work effectively in a fast paced office environment
* D  B5 u. M$ _/ F% m3 E•        Knowledge of immigrant services
+ ]) Q) {; Q+ G" V$ I3 W, t8 B! X' X) ]
Qualifications:# e( {' `- F& A* g+ A, n, Q
•        2-4 years of office and clerical experience 4 f( _& u4 A; p, B, O2 K; {6 F% h6 Z
•        Receptionist or customer service experience in a fast paced environment
' k2 R6 T' w/ W) y4 R( ?•        Demonstrate workplace maturity and professionalism+ Z5 M3 j0 p& W+ w
•        Ability to work well under minimal supervision' L6 O; q. f; p
