The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. • Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
& O. y! s; L. a& k• Assist in development and implementation of policies and procedures for volunteer services.
: G: I$ H& R+ e9 M+ k+ O• Maintain the volunteer files and update the database using Raisers Edge
: k0 t5 B. @4 k• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.& K* F; [1 D2 |$ L) |6 q! K
• Develop and implement a comprehensive volunteer recognition program.5 s' w% K$ D" c' v3 J& ]% m
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.5 s' m t, {$ |8 O
• Identify and implement best practices in regards to volunteer development.
: \' q' Y! T2 H7 F% g• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
7 c$ B" C1 k5 B' k3 t• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO8 Q! p1 e$ E8 p# i ~+ P+ }
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up9 _! M, a) j$ s. Q
& U h" f8 n# l5 P$ @ADMINISTRATION
5 L: m6 R) m, J• Develop and maintain job descriptions for each volunteer position
7 i3 n4 a: C. j% a# s% `% `$ N• Maintain secure volunteers files in accordance with privacy legislation
- _! i7 h. z$ g0 F6 L• Provide feedback on volunteers’ performance, as appropriate
7 w) |3 B" O0 ?+ J5 ]& r) [• Ensure Human Resource policies and procedures are adhered to within the department2 `2 w( d1 w& ?5 J: @
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
1 g f& {8 @0 q. I" ?2 i! r: Q! `• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency4 i; E3 O" @9 l
• Develop resource and orientation materials for Volunteer Services
/ q8 z+ a& N9 I" H• Maintain monthly and yearly volunteer statistics for reporting purposes

• Ensure the program operates within approved budget and be familiar with potential variances
& t6 E1 ` `, b z6 Z$ h• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

8 z" Q7 w% q' _3 T) i2 ]# L3 u, k& V3 xINTERNAL/EXTERNAL RELATIONS
) z5 p4 h. Q- \; O• Act as liaison to the Y-Knit group of volunteers, T) X4 E. H K( n. k* g8 g' p- h
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
5 o* |8 e* g! f& f• Follow up with correspondence to outside agency volunteers as appropriate 0 N3 c" s1 T/ `8 U4 x8 q! r; W: ^
• Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:* Z1 \' c f, k1 h9 }. L. m
* C8 b& I+ g3 y* D& B: P• Minimum 2 years experience in Volunteer Coordination" h+ r2 h9 p" g5 b$ s# X$ A
• Excellent organizational skills and multi-tasking ability
5 ^# o( @, F3 e) O. ], D• Demonstrated superior volunteer supervision skills
# U" e0 \( z$ _2 j• Collaborative working style and excellent interpersonal skills
: P8 |! l0 L% Q• Ability to work to meet deadlines and to work under pressure
6 s) S: { _+ K7 ^% a% }9 a3 }, J$ f• Ability to work in a team-based environment, with cross-functional work teams on projects

• Knowledge of Raisers Edge software would be beneficial
