2 V7 {& y% S' JChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.; g$ y2 q8 a% f9 V: a' {0 Y) X

• Complete data entry in various programs.8 T  x! q8 M- d

  E3 @% k# g) g; J• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.; H5 v( j# _, J4 E: k

' ^9 [& C+ X; S/ l7 V$ x• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.6 a. N$ U  }! r4 D3 {' t. O

• Support effective internal communication by recording and distributing all meeting minutes.3 {- v+ P6 x" _

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.2 U5 u5 f* w1 {3 B% Y5 D

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.

/ w0 U! H6 d6 d0 W) w- ?: b8 k1 K• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Support management of online publicity and communication tools.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.* S1 x5 R( ~4 Q, p) h2 A/ ?$ I% d

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.9 X& Q' |) `: w+ u  C

Fund Development

• Provide logistical support for key fundraising events such as silent auctions

/ O- s( E: c- b7 i• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.. N% |5 H" h, L$ m6 p- h

, z) D6 X5 `: n  V# o• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
% }! \* @; g  X. p7 x3 R
  e- |, R: C" j& k& U- @1 H; I• Support logistical work required for CFCA’s Annual General Meeting

- x2 M. M" F* x0 \# W) L, L* Y• Assist in administrative tasks related to donor recognition and event reconciliation as required.

/ W$ }" \2 D' @: @4 m2 Y7 g7 N; ASkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
