Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

1 d. h8 n/ s4 b, h: d• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.* L. p1 {4 k0 p& @* Q; ^5 V

, }0 e. l9 A8 V9 a0 u' c" [7 J• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

7 M: Z9 a. k- k; u* z& i/ t• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.1 }5 |7 b2 U8 E) U# ^6 ]2 c

6 n- u8 P5 Y7 q* b/ P• Support effective internal communication by recording and distributing all meeting minutes.1 P- V$ F# k9 t/ Z1 C* K3 V

• Meet weekly with Program Managers to define priorities.1 r% Z" i7 j# U& J5 W( D" s8 J

& k' J6 ~9 ]; f1 X8 _• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

# k- l9 ]: A9 j• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.$ m" D! V* [  d1 q7 O. Q9 [7 h/ Z3 V

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.  e5 ]0 ?5 T: a

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.$ j+ e: a8 l7 z" y

9 C' D, X5 B, y% {$ o) ^& W4 W• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.$ p4 @4 e* \1 z5 g

• Provide administrative support for public engagement events and mail outs.

6 b0 A) p9 g6 Y0 ~+ ~• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

; }- z( Z- c$ O2 w5 D8 j• Provide logistical support for key fundraising events such as silent auctions  a. }3 V- @# g. R1 c8 E2 N

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.# _! o/ Z0 M+ C4 s+ Y+ O

! a/ p9 H7 I, F• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting# j* I, p& m" V' C' H4 @

+ t" ~5 u8 V/ z( ^3 d7 d: O* V• Assist in administrative tasks related to donor recognition and event reconciliation as required.

, s: {* E- b+ @( ?; X2 i* k- bSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Term:

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
