. ?( M( e4 z) M8 eChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.& r0 v0 v. Y6 Y2 |9 K

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.1 B$ U3 I; S+ f$ k* S! K4 k- E

$ T# t4 ^& |$ D) J5 j$ D• Complete data entry in various programs.4 {# w. j! a3 v( d( Y

3 U% w( {* V- @/ ^• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.  q% H/ R$ ~5 g$ J+ b

; `- g: u0 f" c" V% C2 y• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes./ O# S4 d( }$ j6 j3 X7 \. g

- }" }" s7 `: Y• Meet weekly with Program Managers to define priorities.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:$ o: N  U* f7 l- Z

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

9 ^; T+ g: K( n4 n8 f• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.* ]. i; e. I7 N3 B$ x! Y; F

6 W- f, f9 J& }7 M• Support the management of requests for CFCA information and resources at public events.

" \$ ]! J+ s4 e- i, M• Provide administrative support for public engagement events and mail outs.3 D: Z* c, O: W- U

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.( q+ Q, l9 ^1 y9 V0 R/ Q$ c

; ^4 i# O$ N, R" w5 h, U  |! G( T• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting( P8 V/ j! W4 `4 R4 o6 J

1 U, R; ?6 |/ {0 c6 L• Assist in administrative tasks related to donor recognition and event reconciliation as required.

" m3 K, }) q5 e# X/ R# _Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
