CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

4 e: K6 z# A/ }3 C7 o9 A5 P: D• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.- _/ Q7 K: [- k" K

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

1 n# f- z) V9 B. d$ H; \' V• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.  B! I, |- @7 `2 @+ S6 J

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.3 c5 A$ e# z4 G- n* \  |) R; c

  h9 ~% Q. {; [: A6 M* f. x* s• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.2 t: |4 }  E& D* ^, `

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA., t8 l. W' u$ |/ Q4 B% f3 @/ d

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.0 [2 W3 F- ?$ e4 C

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.1 J$ S5 I; `( D

• Provide administrative support for public engagement events and mail outs.+ v" ]7 T9 M# U' c, I

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions0 p% `0 i/ J7 }* {

% L% o3 O2 p2 A( f" O6 U/ A5 a: ~• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.. n# C. y0 _* \9 |4 q

• Assist in administrative tasks related to donor recognition and event reconciliation as required.
& j) j! E+ Z( D% A9 n" f) H- _0 p: h! u
Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
