The Operations Manager - Venues and Programming will operate with a  7 r" K4 ~) M* k1 B- ^
direct line reporting relationship to the SU´s Manager of Programming

The duties of the Operations Manager - SU Venues are diverse and  
) N9 P' y5 y; nextensive, and are targeted at the all round smooth operation and  8 n. P. x$ J; D  y4 k  [. V
financial and operational success of the Horowitz Theatre as well as  ' E, P6 e: `: {5 z. {
the logistical organization and smooth rental of the additional  : ?4 j  q' ]0 k0 q, ^7 c$ D
venues within the realm of the Students´ Union.  In the light of that  ) r$ L5 V  P) [; Z8 H6 _, t
breadth and complexity, it is not possible to fully define or  % s9 r! l& b' z- a6 Z) _
describe all roles and responsibilities in a document of this kind.   
! P: a9 h7 [6 t# ]2 ^+ xHowever, the main roles and responsibilities of the Operations  ( y% R- q3 a6 }- q* v
Manager are as follows:

  t8 B! x' C4 g! H* V% }a.   To ensure, at all times, that the venues listed below meet the  ' R: u$ x' _& z6 t! f' I5 m
appropriate standards, requirements and needs, and contributes in a  
0 [) p: O: H8 x! C9 w6 kpositive way to the smooth operation and success of the individual  ) i) K: I; i5 s+ S" ~' h
renter.
& l" m6 m7 n0 i; m4 \7 ?' w·     Myer Horowitz Theatre" Z9 l0 n) O  [$ `% R( [
·     Dinwoodie Lounge+ c; Z) o: q9 d  K+ G( g1 J
·     SUB Stage( _/ L" i: I3 U, x4 I/ o3 q

b.   This includes, but is not limited to, the following:9 P5 l* Q/ C! V# a  f1 B8 h2 ~# ~
·     To plan the capital and supply expenditures to meet the  # s) [5 V' c5 s" K8 i0 W; b
production and facility requirements.
" ~  A: O: z; j( L$ v2 c* d$ h·     To ensure the day-to-day compliance of the venues with existing  # t" }4 y: Q3 ~* U# Y0 U% _
safety regulations and building policies.
) V2 M& i" I( D) Z6 W2 i' BTo ensure that the maximum potential of renters is met.+ m* R) }, A+ a" o4 X# p& f' y

2.        Marketing and Promotion
5 q" k( n9 k; T, P" @+ B- N. x& o$ f) O* D# {
a.   To develop and implement a marketing plan for the venues that  
# R; B) ]9 q9 c1 C! r# ?focuses upon advertising and promoting the venue to faculty,  ' O( L5 @5 ^2 f. R6 p, Q/ H
students, and internal and external clients on an on-going basis.  
* k1 `. p& G+ }& J' ]4 hThis strategy will include implementing and/or delegating the following:
7 B( W6 H  N" A/ o' K* \·     To develop and maintain promotional materials, the Horowitz  
. ?3 G$ n8 K  X8 S4 B2 E. v9 i; q- zTheatre and SU Venues home page, newspaper and other advertising; to  3 c* d& @6 O# e
take advantage of other internal and external advertising  - e" W0 C6 y8 B
opportunities; and to develop press releases and other promotional  
! t6 e( ^3 d+ t1 o6 d! m! u/ j& e6 fliterature on an ongoing basis.
/ A, U8 E) P/ d·     To coordinate tours of the venues for potential renters.% w  x; \' f. ~3 Z6 U$ Z3 e1 d
·     To promote upcoming events in the Horowitz Theatre through the  
) n: U1 O! e9 p0 M; nuse of the Horowitz Theatre Home Page and the SU Events Calendar.
( P( O. Z; h/ H·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities
7 P! m' W( t5 S; [2 M: D8 K
: U; @$ x5 V5 K5 p" B4 l8 `; z1 va.   To ensure, at all times, that the venues are adequately and cost- * E1 ^* B* v, E4 |! q" w0 K: y
effectively staffed, and that the staff utilized by or within the  
' j7 \$ C; s% b. f$ G  {0 zvenues meet the appropriate standards, requirements and needs, and  
% Y/ g4 k6 w% {. m* A6 y  pcontribute in a positive way to the smooth operation and success of  
# T* y, h" S: h2 Vthe renter´s events. This includes, but is not necessarily limited  ! W! ]" L2 L; C6 w
to, the following:
9 d% ~: T4 ^1 X" l4 h·     To be responsible, under the direction of the Manager of Venues  
6 ]4 y3 N: `5 P4 o: M# @3 t* |and Programming, for all staff issues including hiring, disciplining,  
( y! T8 W3 h, _9 eevaluating and terminating, as necessary.( X, l3 L! e7 |; _
To ensure that the Horowitz Theatre is adequately supervised at  - t: J  _4 J% }
all times, this includes the development and implementation of such  
# |8 g3 c, a- Qschedules and rosters as may be necessary to ensure the effective and  
% p4 E" }& V! F2 gcost-effective supervision of the venues at all times during which it  9 L4 N, M4 }: S' |
is in operation or needs to be in operation.
) e2 M& C3 S/ Y; E·     To work with the Technical Director, when necessary, to ensure  
5 o. k2 V- t/ o( Gthat an adequate and appropriate level of part-time staff exists to  
* b) A! y5 x$ i* z& E/ _facilitate the smooth operation of the venues and to ensure all  
( O* v5 k6 f+ Crenters needs are met.
8 ~& A$ p( V% q% E( O7 b6 D( @" m·     To work with the Technical Director to ensure that the skills  
: C" W, G' W0 [and attitudes of all subordinate staff are appropriate in light of  : z6 x9 V* j( |& ]/ Z& d+ y
the roles they must perform. This includes providing adequate and  4 j1 i2 H1 X" X6 e3 n% b
effective training (and re-training) in all applicable and  
; t/ t# ^. q1 Y5 E5 wappropriate areas, and ensuring that the Policy and Procedures manual  
; v; u) S: D' r3 U+ z% Ais kep up-to-date at all times.3 ?/ W: ~" Z4 b0 ^6 {" \* w, V* f# [
·     To ensure all staff are trained in and committed to providing  - x/ s$ l! T( _
excellent customer service to all renters.
9 d3 e' U4 a. g5 b·     To work with the Technical Director to arrange staff  5 Q) K0 N9 Z; o) F
scheduling.  To handle payroll related matters, under the guidance  
2 q, @& u3 j+ l" s+ o+ q  Band direction of the Manager of Venues and Programming, concerning  
/ v/ I& A+ k; O7 z4 r# d. P7 ^the staff of the venues.
0 Z4 ~: T( ~/ e' ]·     Working with the Manager of Facilities and Operations to ensure  0 R0 W& l# ~" @# Z; B
the appropriate setup/tear down of each venue.
: ]* g$ y3 }: W' C. b7 j& x! j# f·     Working with the Manager of Programming and Venues to ensure  ! F" l+ W6 G' S2 v; r# Y
that additional requests such as licensed receptions are arranged.  v3 p0 @* e/ q( e5 k, a1 a

4.          Overall Financial Performance, Q( m0 n" ?5 |; r% R
9 @% c( j4 h, [3 N3 S
a. To ensure, at all times, that the Financial and Administrative  
; ~* _" F3 b0 R' C; Z  hsystems and processes utilized by or within the venues meet the  
/ a& c7 I& P( ?& R7 G. l- yappropriate standards, requirements and needs, and contribute in a  
! @) }5 C( I) a) [" s$ W& a1 Q( ]positive way to the smooth operation and success of the venues. This  
& [! J: n5 v' R, b% dincludes, but is not necessarily limited to, the following:
+ n6 P9 b) E" F9 X& L" R To provide input and expertise in the formulation of appropriate  8 F* e% x! s$ P3 }# _# h
operating budgets covering the venues to the SU´s Manager of  
+ ]$ \) U) T3 J* |: \8 S; x% {Programming and Venues and to discuss and refine those budgets  ; }+ a8 G: Z7 ~3 u
Manager of Programming and Venues, and Manager of Finance &  
7 L1 P# A1 g4 Z3 X/ y+ \  kAdministration prior to their submission for final approval.0 k0 z/ k2 H5 K! N! Y! s" R
·  To manage the venues in a manner which adequately and effectively  
  q7 o+ J+ A/ X( Ureflects the budgets approved for the venues and/or which reflects  : i% i0 V; I( a4 H, H; p
the best interests of the venues and the Students´ Union.
' E' ?; n+ \3 U·  To function as the key player in the submission of financial and  
2 l6 E: T: a# \! ]! Z% Qadministrative documentation covering the venues to be used in the  
5 w* S+ o& C/ Xcompilation of monthly and annual financial statements, and such  " z3 \1 ]2 X2 Y0 n
other reports as may be necessary.
$ K: [3 A4 l$ z3 p$ _( l·  To discuss those financial statements and other reports, together  8 P# |/ R" P9 A/ B0 X) H
with all financial and administrative procedures, with the SU´s  + \1 j9 m: r- a0 |- b; S* m" J
Manager of Programming and Venues and Manager of Finance &    w9 r5 L/ `  U: k5 y4 O
Administration with a view to determining and implementing action  : s5 r5 \( B$ J+ v9 }! w
aimed at improving the financial and/or functional effectiveness of  0 L0 O. W7 c! l) L
the Horowitz Theatre.
' c9 [' d9 b( U2 B1 m: H·  To ensure the existence of adequate, effective and accurate job  % z1 I& c3 G; T# C! K5 x
costing systems to be used in connection with the determination and  ! z) ]( @& z# j& Y
setting of appropriate prices for rental and staffing rates for  
# \. n# @7 u! ^2 oevents held in the Horowitz Theatre.
, y  p5 n! R4 M3 u; n·  To develop accurate documentation to be used in connection with  
0 r) M) s5 j' i+ r2 {2 r, o* \% ethe billing clients, and to forward such documentation in a timely  1 U- Z7 h$ W8 ~- Z- \5 c
manner to the Accounting Department.
1 B" J  Q8 U8 u- O" Y6 c: ^% X·  To recognize, address and handle all matters relating to financial  
, U) n! o/ q% [9 ^+ U, f) I6 Jand administrative procedures and systems in a manner which reflects  / F$ y+ N1 u. M3 `
the requirements of the SU´s Manager of Programming and Venues and  0 X- D' e% k# Q- C* x" i
Manager of Finance and Administration, and in a manner which  
! x+ h0 x* ?* H0 tcontributes positively to the smooth operation and success of the  # J' h* E; g3 }* T! l
venues.
0 U5 m% c- |- e: `7 \' n3 s6 c5 X" V1 ]. G: r  Q
5.          Overall Roles and Responsibilities
" t+ O) v- Z; Q* K/ y8 y$ oa.   To ensure, at all times, that the systems and processes used in  * k+ q; P& O+ \2 X
renting the venues meet the appropriate standards, requirements and  
( R; [4 j: g0 h# l' X; fneeds, and contribute to the smooth operation and success of the  
1 ~8 p" C3 D7 Zvenues. This includes, but is not limited to, the following:! h  v9 O) P) I5 {" s% e
" p" y# \2 S0 ^2 E: U1 w- K
·  To recognize, develop and set in place such rental procedures as  
, z. d- b3 ?8 y: y; @/ S; g& Dmay be necessary to ensure the smooth operation of the venues, this  
- q3 M& O; w/ Uis to include but not necessarily be limited to systems and processes  
/ X+ t$ r3 I& z3 L2 T, l$ f+ P0 Nin the areas of contracts, inventory management, contract evaluation,  
. A5 r" X. _% C# ?" j2 z( Lpricing, costing, equipment usage, rental/contract invoicing,  - |+ d0 G2 w9 A0 @% `
together with such other systems and procedures as may be necessary  - S# h" T# K. Q' c
to ensure the smooth, secure, efficient, cost-effective and  5 B) h2 E' a2 c2 x
functionally-effective operation of the Horowitz Theatre./ r* r1 w4 v+ H
·  To recognize, develop and set in place such operational procedures  
# l6 O7 e7 ]0 s6 has may be necessary to ensure the smooth, efficient and cost- + |+ ]( L3 f& N9 ^8 ?
effective operation of the venues.$ Y% O1 b" R; n
·  To negotiate rental lease agreements (contracts) relating to  
9 ], S4 W% C# z$ S; Udates, rates, staff and miscellaneous charges.% h7 ~# G1 T; K* K# s0 |
·  To ensure that adequate inventory is available at all times and  
0 ]8 E0 _# J9 p6 X. o8 G! i+ othat such inventory is stored and issued in effective and secure ways.
+ E, K- d3 ^) _  E3 A2 U·  To consult with renters as to facility issues in producing their  3 l  k  l; ]+ E& Y7 Y
particular event in the venues.+ V, X' y" u" G+ G9 E# }# S7 _
·  To provide the venues on-site staff with such documentation and  
% y2 q+ z* }( ysupporting information as it may need to effectively fulfill the    k5 P# d7 A# @" A7 P- _% j+ }. Z
roles they are to perform to ensure the success of the renter´s event.
0 W1 H; C& ]6 u3 Q! r0 K4 y( P$ X·  To produce quotes in respect to staffing costs for a particular  
" o# t. i  ^6 X0 |, }rental with consultation with the Technical Director.% ^9 `; k7 ~  L* c+ U& {
·  To ensure that all queries raised with the venues whether from the  8 b5 a$ S9 ?) _, s0 \8 s
SU or renters, are promptly and effectively handled and adequately  & _% W" e2 g! ]" ~3 S! d
answered, and to ensure that such action as may be necessary in  
$ b6 J. R3 _- g5 G5 F$ Vfollow-up to such queries is taken in a timely manner.
( }: v6 F5 ?) X! @& t* Z To ensure that the venues and its capabilities are adequately,  
% ]; O8 C/ `! f7 `. ^0 G3 neffectively and cost-effectively advertised and promoted, and that  * o5 R  ~1 X# P0 O% K0 f% y0 K
the cost of such endeavors does not exceed the budgetary provision  
: b7 \- q. Z, i, Q+ r; Imade for them unless prior approval is given by the Manager of  
1 C8 t" X' w. m) P0 V4 I2 WProgramming and Venues.
, k3 {3 |" D0 i( R3 F·  To act as an informed and knowledgeable resource in the case of  
" h8 y" i2 s( g* r3 j; psignificant challenges and/or problems surrounding the tasks of  
8 Q# m2 s, }3 X+ a+ o& ~- Jmarketing, administration, operations, and any such other matters as  
9 {6 `; m+ l3 q1 Z9 D& smay provide such challenges and/or problems.! K* V" Z, r0 p( F, Z8 ]
·  To attend such meetings as may be required to support the smooth  - g3 A. D" u  b1 `4 \  Z
operation of the venues or the Students´ Union as a whole.6 d# X' [3 r5 s1 u
·  To perform other job-related duties as may be required by the  " d; Z) M. s( |7 K, D; v6 W
Manager of Programming and Venues in order to ensure the smooth and  * c- G5 l2 c  h# K" n9 Z; ^
secure operation of the venues.
& Y/ \5 G2 H9 a3 j" T  x( h·  To recognize, address and handle all matters relating to overall  . P2 X) V* }4 H. b6 d
operations in a manner which reflects the requirements of the SU´s  
2 ^' y9 A: g4 y$ r; oManager of Programming and Venues, and Manager of Finance and  1 `: j# w% N9 F# ]: R) @2 J
Administration, and in a manner which contributes positively to the  3 j8 P' p/ J- u
smooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:
2 r2 t# k7 k/ `3 A1 [3 t- w4 o1)             Minimum two years related post secondary education, or
