7 S- ?8 D' H8 S( ZThe duties of the Operations Manager - SU Venues are diverse and  6 U4 e) u3 a/ \2 X0 z& x; b
extensive, and are targeted at the all round smooth operation and  
0 q4 _) B3 G& Efinancial and operational success of the Horowitz Theatre as well as  
. N' ]! H9 k6 T% k2 i9 @. ~( ^: i7 ithe logistical organization and smooth rental of the additional  
- Q9 }  Q) C" E! ~venues within the realm of the Students´ Union.  In the light of that  
3 @9 p" m% \3 Tbreadth and complexity, it is not possible to fully define or  
& J0 J  I) e7 c# `5 jdescribe all roles and responsibilities in a document of this kind.   
! h; z+ u  A' A! p1 @- `) uHowever, the main roles and responsibilities of the Operations  
1 Z% T0 m- w- AManager are as follows:

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  
) C. z% \2 ]' Happropriate standards, requirements and needs, and contributes in a  
( S: G+ y& j/ m: k: r# n% p9 ]3 Cpositive way to the smooth operation and success of the individual  ) m' ~9 I7 a+ L% b- v, E
renter.
9 [: L4 J2 c# c0 K0 f·     Myer Horowitz Theatre. H( k! _. L# S: ?# G8 S8 ^
·     Dinwoodie Lounge
+ N9 J& v( s5 }% W# q! o·     SUB Stage
- y9 _# ~7 [  j9 o- {2 L2 H$ l" v5 b# V+ V2 d, s- y6 I
b.   This includes, but is not limited to, the following:  @. ^2 h& S: r9 _$ V
·     To plan the capital and supply expenditures to meet the  # O. c* L) a3 V+ A
production and facility requirements.

safety regulations and building policies.

% v0 N, I$ u& o' \; z: k2.        Marketing and Promotion

' f2 Y  n0 ?2 u6 ra.   To develop and implement a marketing plan for the venues that  
3 E6 d) e3 X; a. }, p3 s& [focuses upon advertising and promoting the venue to faculty,  
; G& Z- h# [( U  Ustudents, and internal and external clients on an on-going basis.    j3 s2 U( w8 u
This strategy will include implementing and/or delegating the following:. @! v7 w  N  O- |( x: H6 `# O
·     To develop and maintain promotional materials, the Horowitz  
! h* n% E) O! W2 T0 ^+ R  |Theatre and SU Venues home page, newspaper and other advertising; to  
4 [6 B# s! Y; z  l# rtake advantage of other internal and external advertising  + d# t+ l- S# b- }
opportunities; and to develop press releases and other promotional  
2 `: I7 C  z+ ]literature on an ongoing basis.
% l% z& r# P, {  k6 Z( b. }) Z$ V·     To coordinate tours of the venues for potential renters.
) r; N6 o1 ?+ [·     To promote upcoming events in the Horowitz Theatre through the  . j% C8 R; w/ }# f  y% z
use of the Horowitz Theatre Home Page and the SU Events Calendar.& _7 v; r1 p7 S5 y+ }. c+ b) h3 \
·     To develop new external clients for the venues.+ c4 v( @4 h6 _- Q" @, [
+ d+ n) @  [) I. Z
. A8 O( @5 E( o. A% T, w7 {5 ~
3.        Staff and Supervisory Roles and Responsibilities
5 e( u' P3 D$ i  U& R
; x  ]: H. O4 U8 W2 Fa.   To ensure, at all times, that the venues are adequately and cost- ' n$ _$ ~, d+ q
effectively staffed, and that the staff utilized by or within the  & D5 B& m# Z0 C
venues meet the appropriate standards, requirements and needs, and  ) F; Q3 n! a' W9 X; W, X
contribute in a positive way to the smooth operation and success of  
* T' S7 |$ O0 p+ W, qthe renter´s events. This includes, but is not necessarily limited  ; _' u; C& l/ l
to, the following:9 x$ [  o" {$ d7 }+ H
·     To be responsible, under the direction of the Manager of Venues  ; L3 E, N7 O0 h( ~4 q6 R
and Programming, for all staff issues including hiring, disciplining,  ' K# q0 V1 t) }7 _; O
evaluating and terminating, as necessary.7 W: Z  t& [$ [0 R
To ensure that the Horowitz Theatre is adequately supervised at  
3 L9 [9 K8 P; x6 A: M! qall times, this includes the development and implementation of such  
+ Z2 M4 W- g+ z, R! Y, g0 e2 r. Oschedules and rosters as may be necessary to ensure the effective and  - A; N# c) u5 T
cost-effective supervision of the venues at all times during which it  ; q' _0 G: q( o
is in operation or needs to be in operation.
! A) \2 z: B7 F* V: q/ a) Q·     To work with the Technical Director, when necessary, to ensure  2 @& h8 |3 g3 U3 [7 F
that an adequate and appropriate level of part-time staff exists to  6 [- P; B% x$ d, h1 g
facilitate the smooth operation of the venues and to ensure all  
0 [# @- S$ j# d# k2 R" G7 q2 Rrenters needs are met.% q: c! r: A' h! j6 d
·     To work with the Technical Director to ensure that the skills  
6 L% ~2 Q8 \' q! F* b3 e' _7 [and attitudes of all subordinate staff are appropriate in light of  
1 r7 d# T8 _. ?the roles they must perform. This includes providing adequate and  
9 p: ?8 `$ X  v1 ]) aeffective training (and re-training) in all applicable and  3 S2 x' m1 @6 r+ O
appropriate areas, and ensuring that the Policy and Procedures manual  ( F5 M9 |% v/ T8 v" @$ L! E
is kep up-to-date at all times.
- G" ]9 Y$ }3 [1 f; m$ N( |·     To ensure all staff are trained in and committed to providing  - }  S$ D. g) l
excellent customer service to all renters.+ K3 I# P) ^1 S% N! L
·     To work with the Technical Director to arrange staff  9 _8 {0 Q- e" t& Z# P% c5 J
scheduling.  To handle payroll related matters, under the guidance  6 J! K: M  Z$ B5 t" w7 J
and direction of the Manager of Venues and Programming, concerning  
0 l$ u! i: ~4 Pthe staff of the venues.
' F# k# b8 L: H$ Q·     Working with the Manager of Facilities and Operations to ensure  + g/ L+ ?0 n# f! f) S) x2 K
the appropriate setup/tear down of each venue.7 n4 A( h" f$ z
·     Working with the Manager of Programming and Venues to ensure  % X+ i' n. q* b
that additional requests such as licensed receptions are arranged.

a. To ensure, at all times, that the Financial and Administrative  ) b! V/ n! a" m- v/ C8 p
systems and processes utilized by or within the venues meet the  8 w" g5 x' T' N2 r& K) ]6 ^
appropriate standards, requirements and needs, and contribute in a  & e8 ?5 K1 R7 _3 c7 A
positive way to the smooth operation and success of the venues. This  , Q; Z: P( M& m* I! J
includes, but is not necessarily limited to, the following:
7 q: J0 f7 |' p1 s/ V1 G To provide input and expertise in the formulation of appropriate  9 V. |+ T8 t6 {2 s- F. M6 z
operating budgets covering the venues to the SU´s Manager of  
8 l* ]! {  C- l! }, sProgramming and Venues and to discuss and refine those budgets  ; g( N1 k% I3 H* M2 y
Manager of Programming and Venues, and Manager of Finance &  ; H* `* p1 F5 {. n0 }
Administration prior to their submission for final approval.
# L8 R9 A& y6 m; l2 Q/ {·  To manage the venues in a manner which adequately and effectively  
% X  ]  B1 e% Y) i9 m' ~8 nreflects the budgets approved for the venues and/or which reflects  : u( X, a5 X4 k7 l
the best interests of the venues and the Students´ Union.
) z# V6 ~0 u: @5 |$ T3 A·  To function as the key player in the submission of financial and  : G7 e* j! c4 e5 a/ I. `3 U
administrative documentation covering the venues to be used in the  
/ m, `. @0 H4 o+ B% C; }0 p" Bcompilation of monthly and annual financial statements, and such  0 Y2 ?$ C! v  N/ I* L
other reports as may be necessary.4 p2 O  V( `9 t. o! c
·  To discuss those financial statements and other reports, together  
; _/ t+ v; L6 N* a; N, Jwith all financial and administrative procedures, with the SU´s  1 |! Q7 B6 j7 U" x* k9 d7 [
Manager of Programming and Venues and Manager of Finance &  
3 j2 x9 C2 u* l+ x, q0 D7 jAdministration with a view to determining and implementing action  9 [6 t3 }1 m5 N3 m
aimed at improving the financial and/or functional effectiveness of  
9 {. _7 `8 W1 ~8 x( ithe Horowitz Theatre.
# d. U- v0 r7 Y5 |' `·  To ensure the existence of adequate, effective and accurate job  ) z% _- m9 ~1 `& _3 x4 Z
costing systems to be used in connection with the determination and  6 q8 n- G& s( v* K1 M& p  i6 {( T6 T
setting of appropriate prices for rental and staffing rates for  
. b) ]$ }9 A7 }  L5 h' q0 ]8 ]events held in the Horowitz Theatre.( H- F- k1 }7 Z
·  To develop accurate documentation to be used in connection with    {$ |: @9 L& j' P0 Y
the billing clients, and to forward such documentation in a timely  
# T: h4 s' @# A# dmanner to the Accounting Department.
( b- j8 ]% G. M8 ~  {6 x·  To recognize, address and handle all matters relating to financial  
4 Q  J' X0 j! r% O$ {8 c' ]: Mand administrative procedures and systems in a manner which reflects  
9 R% c8 ]/ p; Z. ]' cthe requirements of the SU´s Manager of Programming and Venues and  
# k+ V% W  B) wManager of Finance and Administration, and in a manner which  
) v, @5 _/ x1 |! |0 }contributes positively to the smooth operation and success of the  , q7 s" C0 F. f/ A3 d; l
venues.

7 x$ @* p' x1 D2 D$ p' Z8 U5.          Overall Roles and Responsibilities( \8 K$ Y+ ]( s: Z
a.   To ensure, at all times, that the systems and processes used in  0 Q* w+ o+ n$ `+ t$ w
renting the venues meet the appropriate standards, requirements and  # j5 g$ M6 C5 y, P' g% G- v
needs, and contribute to the smooth operation and success of the  
5 E& G" c: U, i: z$ J1 d( V, m  O" Avenues. This includes, but is not limited to, the following:' p+ D5 {. ]5 j% ]1 Q

# H1 b8 v  [2 k: d( i·  To recognize, develop and set in place such rental procedures as  , n- T8 R, j' ~, _, X1 X; R- M: L4 t  e
may be necessary to ensure the smooth operation of the venues, this  ) `7 Z- U/ `. D9 a: ~3 V
is to include but not necessarily be limited to systems and processes  $ d* R# a" ?7 I- A- T2 j
in the areas of contracts, inventory management, contract evaluation,  ' r# i/ ]3 k) @& n( L
pricing, costing, equipment usage, rental/contract invoicing,  
- C+ @  \+ B1 C' `- k# Z1 A. htogether with such other systems and procedures as may be necessary  6 v9 p# H2 _: m8 {9 e" ~/ `! x5 U; U8 w
to ensure the smooth, secure, efficient, cost-effective and  9 n* \. t: x0 J; w8 b3 E+ ?
functionally-effective operation of the Horowitz Theatre.
. ]+ L4 b% a3 N2 C7 A* j2 ^·  To recognize, develop and set in place such operational procedures  + f4 k8 [4 n6 r- A% ]; q
as may be necessary to ensure the smooth, efficient and cost- / M! y* U2 |: h; Q! ~
effective operation of the venues.4 |6 {: K+ M5 C2 J
·  To negotiate rental lease agreements (contracts) relating to  
: T3 u9 y$ D% q4 Z* `! T$ Udates, rates, staff and miscellaneous charges.
; |1 v2 `% o3 Q4 Q·  To ensure that adequate inventory is available at all times and  ' b- L$ x) k9 R# L3 M% m
that such inventory is stored and issued in effective and secure ways.
* S! `+ \# s: |+ u2 v) J& s- P4 h2 W5 P·  To consult with renters as to facility issues in producing their  
* b, l( v: Q" t. {particular event in the venues.& \: @7 S- p( ^. z! @, n& v
·  To provide the venues on-site staff with such documentation and  1 i5 W* e- U: u/ {+ G; R3 u  o# w4 O" p
supporting information as it may need to effectively fulfill the  
1 g/ |. _5 O1 h- f6 x) ?/ froles they are to perform to ensure the success of the renter´s event.
3 `" o+ D, g* N; \" J·  To produce quotes in respect to staffing costs for a particular  6 E/ k3 v( t) i$ d
rental with consultation with the Technical Director.
0 y7 w6 N& H  a' v·  To ensure that all queries raised with the venues whether from the  
3 V% S1 z, H! y1 i' @0 t6 Y  x9 QSU or renters, are promptly and effectively handled and adequately  " G: r5 @# N$ J9 q; R+ Z
answered, and to ensure that such action as may be necessary in  
- X) h' v! p2 s1 w; i- ufollow-up to such queries is taken in a timely manner.( z# N5 I8 H; |; e9 r
To ensure that the venues and its capabilities are adequately,  
/ u3 ?5 F+ y! O8 a' z, a% Reffectively and cost-effectively advertised and promoted, and that  
; k; H/ a% i0 T" L" qthe cost of such endeavors does not exceed the budgetary provision  
- T1 H% r' x  B: R/ d" a; wmade for them unless prior approval is given by the Manager of  
7 d& ?3 Y1 U0 }& x* \  iProgramming and Venues., c7 H7 w! P5 {7 C) L/ A6 h$ Z4 c
·  To act as an informed and knowledgeable resource in the case of  8 _8 h: R$ o0 B! x/ W
significant challenges and/or problems surrounding the tasks of  1 C' h& S# {6 `0 n, o" q0 t& V: N
marketing, administration, operations, and any such other matters as    y) }' @$ p# _
may provide such challenges and/or problems.
/ X9 ]9 Y% `+ u( o+ Y·  To attend such meetings as may be required to support the smooth  ! z! x! a% F! @
operation of the venues or the Students´ Union as a whole.
* P* W( ^( O% Y( T) p·  To perform other job-related duties as may be required by the  : \& ]% A/ |( M* U
Manager of Programming and Venues in order to ensure the smooth and  
3 b5 g) r: e, Q# t. @1 _secure operation of the venues.
3 p# p9 ?: N% c6 ~: ^9 v·  To recognize, address and handle all matters relating to overall  3 u+ e1 S& b2 S- O
operations in a manner which reflects the requirements of the SU´s  . B8 @$ }' z+ n% O/ [
Manager of Programming and Venues, and Manager of Finance and  
0 _% x0 s5 _9 m% C7 NAdministration, and in a manner which contributes positively to the

QUALIFICATIONS:
! M4 c6 Z3 H2 P5 y" P1)             Minimum two years related post secondary education, or  0 G" P! g" Z7 O1 i. e8 t
an acceptable combination of education and experience.  R1 D5 @9 x; z
2)             Supervisory experience.
3 E) k8 |0 C3 v0 `$ G# q/ N0 k3)             Ability to create new initiatives with little or no
