direct line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES
8 r: z% J6 V0 H3 P. |. f3 QThe duties of the Operations Manager - SU Venues are diverse and    E. x  L# N$ c3 ^) }" K8 g: o; U
extensive, and are targeted at the all round smooth operation and  , W, @5 v- F1 U8 R2 T6 ?
financial and operational success of the Horowitz Theatre as well as  
, Z) i) e8 ^/ @4 F* J# @8 }the logistical organization and smooth rental of the additional  
3 J% |  ~4 l# Zvenues within the realm of the Students´ Union.  In the light of that  
1 l2 i" D; ?0 U2 e  ?breadth and complexity, it is not possible to fully define or  5 s. I0 z1 [$ d( `0 e/ u
describe all roles and responsibilities in a document of this kind.   - Q' ]2 |( }, a# _2 z
However, the main roles and responsibilities of the Operations  * ?3 R: ~! A# X5 V/ j! e5 p
Manager are as follows:

; G! a  J# [# D3 I: v7 \: cappropriate standards, requirements and needs, and contributes in a  - F; B7 o9 Q) k% _+ J4 \$ v0 f
positive way to the smooth operation and success of the individual

3 R: z, v0 W+ ^2 J·     To plan the capital and supply expenditures to meet the

+ S$ I" o7 C% ^2 T$ M) |·     To ensure the day-to-day compliance of the venues with existing  ( R5 r) l( @6 H6 u7 e8 T2 b" R
safety regulations and building policies.
9 @3 w' k7 t6 ]) `$ \) m4 ^To ensure that the maximum potential of renters is met.

a.   To develop and implement a marketing plan for the venues that  1 ?' i' f. v$ F' G
focuses upon advertising and promoting the venue to faculty,  
" ~; A: i7 y6 P  f8 a4 [students, and internal and external clients on an on-going basis.  " h  q! j4 p8 N. i& `1 J
This strategy will include implementing and/or delegating the following:
8 R9 _& C! _! B, b' d# O* h) {0 `, ^·     To develop and maintain promotional materials, the Horowitz  / T$ z0 `! k; e8 a8 D  ~- u
Theatre and SU Venues home page, newspaper and other advertising; to  + T: u1 {3 N% O# L  A1 B
take advantage of other internal and external advertising  
0 q1 p) u! T7 H# e* v) qopportunities; and to develop press releases and other promotional  & H& j; L- q& o$ H
literature on an ongoing basis.
7 F5 h  v7 [, E( O·     To coordinate tours of the venues for potential renters.
: Z) T7 S$ n8 \; i·     To promote upcoming events in the Horowitz Theatre through the  
2 Q: p) L9 j$ t1 p% M" F3 |3 [use of the Horowitz Theatre Home Page and the SU Events Calendar.1 A. p7 {2 k5 n. {
·     To develop new external clients for the venues.

2 _  y' M) s0 |: L" d3.        Staff and Supervisory Roles and Responsibilities
: e" Y- r6 y2 j0 \+ \" F7 E% R  C8 j1 Z
a.   To ensure, at all times, that the venues are adequately and cost- ) o' V5 T: r; z7 X' O/ @; k
effectively staffed, and that the staff utilized by or within the  
, f. b* s1 O: b# Kvenues meet the appropriate standards, requirements and needs, and  " g( m6 F2 b  C
contribute in a positive way to the smooth operation and success of  7 P3 ?' y& S. s+ j6 A
the renter´s events. This includes, but is not necessarily limited  
% [- Y; m& E  e! X4 h- l' Yto, the following:
2 g$ _4 A! K( r8 D8 l·     To be responsible, under the direction of the Manager of Venues  ! ~& X( S& l$ L8 n3 l
and Programming, for all staff issues including hiring, disciplining,  + @0 o5 M: q7 Y* h9 w9 h; X
evaluating and terminating, as necessary.
. g- k! E( H% [ To ensure that the Horowitz Theatre is adequately supervised at  
0 u* J1 W# |1 `. b. Ball times, this includes the development and implementation of such  
0 N) G) S' E7 [- \% ^schedules and rosters as may be necessary to ensure the effective and  
5 }- K% \' D+ P1 Xcost-effective supervision of the venues at all times during which it  . v6 |2 e. R7 N% k! k9 Y6 f2 T) ~/ ^
is in operation or needs to be in operation.
: n( L: r  v; y" d) F1 u" n" d·     To work with the Technical Director, when necessary, to ensure  5 U3 D7 I/ g2 E8 ?$ O2 U1 S- A  \8 \4 y* v
that an adequate and appropriate level of part-time staff exists to  
, a7 i6 |$ Y7 }4 K2 w- X. nfacilitate the smooth operation of the venues and to ensure all  
# `& Z" ~0 N9 L+ Prenters needs are met.
: j+ t0 ^' O# a8 C·     To work with the Technical Director to ensure that the skills  5 t% F4 K  o7 K5 Q  _8 M
and attitudes of all subordinate staff are appropriate in light of  ; Q- g! W0 g# M) {/ @/ \! H
the roles they must perform. This includes providing adequate and  
7 }! v' _; ]- K- T1 b, ^. Ueffective training (and re-training) in all applicable and  , Z: j) B1 t; i3 l- E0 q
appropriate areas, and ensuring that the Policy and Procedures manual  / K9 f$ X% Y, @( H& U* Y+ H4 B5 ^
is kep up-to-date at all times.
" m6 P. L( b  ?- J0 x8 a& D: B·     To ensure all staff are trained in and committed to providing  ! x" M: U3 g/ L' z& E* J+ s7 r8 @. R
excellent customer service to all renters.8 U7 }3 H) y7 y* {* g& K7 B
·     To work with the Technical Director to arrange staff  % m( i: [: C9 [$ U- H: d; I) h
scheduling.  To handle payroll related matters, under the guidance  . H/ g  ?! V5 m. `: i
and direction of the Manager of Venues and Programming, concerning  ; r/ @3 o# @2 k& o7 `) \4 K" ^: R
the staff of the venues.' ~2 l4 b" I4 k* m5 y# q$ u( |
·     Working with the Manager of Facilities and Operations to ensure  8 v1 ]( A! r4 i  ]
the appropriate setup/tear down of each venue.0 n' Z. ~" s! v. K0 w7 j! T# L: v
·     Working with the Manager of Programming and Venues to ensure  8 i5 C* L- B$ I+ w) l+ v: \
that additional requests such as licensed receptions are arranged.6 Z; |& m3 {& c7 D( I

a. To ensure, at all times, that the Financial and Administrative  + Q. {/ x8 [# [1 Z7 @. |! n$ n
systems and processes utilized by or within the venues meet the  
1 [" ]8 W% e; X. ]8 p) Nappropriate standards, requirements and needs, and contribute in a  6 d) B( j: |6 @. P2 u# w
positive way to the smooth operation and success of the venues. This  
0 Q) e9 o4 d: J# y9 O, Z: ~$ iincludes, but is not necessarily limited to, the following:
3 Z$ ?9 u7 n# t' g To provide input and expertise in the formulation of appropriate  1 [# |4 [3 h' T1 S4 G
operating budgets covering the venues to the SU´s Manager of  5 N6 o# x* r9 L0 @1 C1 c
Programming and Venues and to discuss and refine those budgets  & m% k- U+ w; ?6 k2 u
Manager of Programming and Venues, and Manager of Finance &  , s" }  J- H0 G: M, E
Administration prior to their submission for final approval.
+ A% B# S5 S  Q6 M* C6 w·  To manage the venues in a manner which adequately and effectively  
7 {$ m  }/ W  P- V0 ^) zreflects the budgets approved for the venues and/or which reflects  
# F2 \5 R2 M& ^* i# [* \the best interests of the venues and the Students´ Union.
( L: L0 ^1 o$ |; e; r7 J. C" [·  To function as the key player in the submission of financial and  * M& D9 `8 s* n5 T
administrative documentation covering the venues to be used in the  
- S/ w  M( b% J7 b" t" o- S* w% Q, gcompilation of monthly and annual financial statements, and such  . t1 P3 k6 N; K0 O8 ^% R7 \8 [, H
other reports as may be necessary.& k3 m! j/ z" t' i  f: ]9 R- Z
·  To discuss those financial statements and other reports, together  * f0 \8 R$ p/ K: U" j- k+ W
with all financial and administrative procedures, with the SU´s  
3 A) }5 Y( p, n  z9 `4 }Manager of Programming and Venues and Manager of Finance &  + V) E% r1 W' N7 b
Administration with a view to determining and implementing action  
2 t1 F  S2 G; Baimed at improving the financial and/or functional effectiveness of  
1 \8 M' t8 A" qthe Horowitz Theatre.
$ h9 j0 A. A0 R·  To ensure the existence of adequate, effective and accurate job  . W! l: e2 e9 N3 \" t% Y* _. P+ D
costing systems to be used in connection with the determination and  
) H# a. r4 F6 C  }" ^8 usetting of appropriate prices for rental and staffing rates for  ' {5 A. G& a- z3 k8 P( R/ F
events held in the Horowitz Theatre.
- M$ h) S& k' c·  To develop accurate documentation to be used in connection with  
- ?. y' F6 A* Q+ Y) C( Xthe billing clients, and to forward such documentation in a timely  
( N% B  @) B) ^6 U7 g; ~3 a. q$ ]manner to the Accounting Department.
& y5 e4 a; i) B2 k/ s·  To recognize, address and handle all matters relating to financial  / B* t  x0 o" s4 o' C9 e
and administrative procedures and systems in a manner which reflects  
9 f8 y! M# Q" b( Y; Zthe requirements of the SU´s Manager of Programming and Venues and  
5 E/ n/ S/ H' i' \- Q5 dManager of Finance and Administration, and in a manner which  
; w7 \' l+ [& `, l. i, L8 ]contributes positively to the smooth operation and success of the  0 ^9 R2 M2 p  r6 U6 ~
venues.

/ i, T8 y1 z2 q. y5.          Overall Roles and Responsibilities
6 Y$ f6 Y  ?1 q2 K. Aa.   To ensure, at all times, that the systems and processes used in  
" y" @& E( D; g; A. vrenting the venues meet the appropriate standards, requirements and  * v# h8 P7 X  y- H3 \
needs, and contribute to the smooth operation and success of the  - C* E. t: H/ x- }0 \
venues. This includes, but is not limited to, the following:
& J. j0 Y- `. `4 y. C+ y5 ~6 w$ H, R' s# G
·  To recognize, develop and set in place such rental procedures as  
  N3 Z8 I# G7 t1 C9 Y8 ]may be necessary to ensure the smooth operation of the venues, this  8 v( z# \& \3 U+ F3 X
is to include but not necessarily be limited to systems and processes  
, r! K8 Z+ O8 pin the areas of contracts, inventory management, contract evaluation,  7 r! K' `; e1 G+ w. G3 y. u0 }. Z
pricing, costing, equipment usage, rental/contract invoicing,  
8 Q& s  A+ W7 t6 |. |" q1 i5 D  O! Rtogether with such other systems and procedures as may be necessary  
; j/ M) ]2 K% _& W/ u2 x* i! y5 qto ensure the smooth, secure, efficient, cost-effective and  ' t8 u9 K  M0 h% h4 a' `7 t
functionally-effective operation of the Horowitz Theatre.2 J; d/ m, n0 x8 l+ u; ~6 ?
·  To recognize, develop and set in place such operational procedures  
% |5 f$ v$ o0 T) }1 j( y) fas may be necessary to ensure the smooth, efficient and cost- ) i6 X* a( W) J" R$ r. Y
effective operation of the venues.
# F% c; \8 `  ?$ M! U& P: h) P·  To negotiate rental lease agreements (contracts) relating to  
, ^/ v- O" {2 [/ _+ y7 ~% Xdates, rates, staff and miscellaneous charges.
8 D" n; r: I0 D: m) k5 A$ r: ]4 q·  To ensure that adequate inventory is available at all times and  3 d! x1 G) K7 n: h# ]/ j$ S; F; b6 r
that such inventory is stored and issued in effective and secure ways.; ]5 ?/ j6 e, }4 V7 {
·  To consult with renters as to facility issues in producing their  
* S# x1 }. M4 _6 t5 o( Eparticular event in the venues.
3 ?$ F1 J4 \. h5 Y6 H·  To provide the venues on-site staff with such documentation and  3 n, t5 Q" S3 d5 f
supporting information as it may need to effectively fulfill the  6 F9 C  E, s$ e' k
roles they are to perform to ensure the success of the renter´s event.# [5 F1 O; w8 f  H3 m- u
·  To produce quotes in respect to staffing costs for a particular  
' E& q" ?8 L$ ~: f4 i3 R' X1 L! lrental with consultation with the Technical Director.
! o' l( N# I. y6 C% u·  To ensure that all queries raised with the venues whether from the  9 e: ]8 s$ f/ }) y8 c3 I2 o
SU or renters, are promptly and effectively handled and adequately  
$ |( o9 y- n- i6 V- d2 z. Ranswered, and to ensure that such action as may be necessary in  
, `) d0 y5 O+ Mfollow-up to such queries is taken in a timely manner.) M" m1 v0 ]  E! d
To ensure that the venues and its capabilities are adequately,  5 t, c2 X, n  }1 ~* C0 Z/ i
effectively and cost-effectively advertised and promoted, and that  
/ J( A$ y( }; Z! W) {) K0 [the cost of such endeavors does not exceed the budgetary provision  
9 H: k5 w3 l/ D2 S- O- C. Xmade for them unless prior approval is given by the Manager of  
, ?1 |3 Z+ w4 l( BProgramming and Venues.
# j7 ^# j& K' O. |8 J# q·  To act as an informed and knowledgeable resource in the case of  7 ^: t( h- Q' ~) r3 O1 z, I# t* {7 T! t3 j
significant challenges and/or problems surrounding the tasks of  
/ U0 y; o7 W! \! }, p& jmarketing, administration, operations, and any such other matters as  , L4 e. y+ L5 H
may provide such challenges and/or problems.
9 T! M* P9 }' q" P$ N0 k. |·  To attend such meetings as may be required to support the smooth  
' c4 Z& v; I2 ~, j% F8 Y- Boperation of the venues or the Students´ Union as a whole.

Manager of Programming and Venues in order to ensure the smooth and

operations in a manner which reflects the requirements of the SU´s

Administration, and in a manner which contributes positively to the

QUALIFICATIONS:* Y' s) k. o) B5 p5 _
1)             Minimum two years related post secondary education, or  
2 T" p* C: F* D4 g( Yan acceptable combination of education and experience.( T  V0 L, K4 S6 R
2)             Supervisory experience.
