financial and operational success of the Horowitz Theatre as well as

venues within the realm of the Students´ Union. In the light of that

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that
* D1 t$ \$ \# i: l( e) w! P+ B1 F$ zfocuses upon advertising and promoting the venue to faculty, % {! D: e4 R h/ v
students, and internal and external clients on an on-going basis.

% _* ^3 P, M1 p# @$ C· To develop and maintain promotional materials, the Horowitz
; T0 u6 K/ I; g% x# S# PTheatre and SU Venues home page, newspaper and other advertising; to
+ b; c$ l# S+ W. S: E) d; Atake advantage of other internal and external advertising 9 ^ G. w# n0 K3 p. ]) w
opportunities; and to develop press releases and other promotional & m5 G; Z* v. ?8 R
literature on an ongoing basis.

· To develop new external clients for the venues.

3. Staff and Supervisory Roles and Responsibilities8 h C- z3 P6 [4 J5 B

a. To ensure, at all times, that the venues are adequately and cost-
8 U) |. H! s% |5 K* s6 ieffectively staffed, and that the staff utilized by or within the 5 v& f, z! O: h
venues meet the appropriate standards, requirements and needs, and 3 r/ x9 Z+ o! ^: l+ F. O' V
contribute in a positive way to the smooth operation and success of
, u5 b1 H9 V% V" ?) {& Pthe renter´s events. This includes, but is not necessarily limited
* [# a( ~& m7 H5 ^4 V5 z6 Zto, the following:
' p0 _4 {0 O" c" _- i* Z% ^· To be responsible, under the direction of the Manager of Venues 9 L1 b, x- c2 O* g! L4 x
and Programming, for all staff issues including hiring, disciplining, / `9 }6 H6 F5 ~; u T0 I5 z
evaluating and terminating, as necessary.2 P' }) w) v |% ]! j8 q7 I
To ensure that the Horowitz Theatre is adequately supervised at & Z0 u* F- b6 c) ^' n: c
all times, this includes the development and implementation of such 3 G9 _, E, D$ {' v4 {4 \( y
schedules and rosters as may be necessary to ensure the effective and ! M7 p1 P: x9 |3 a/ N4 m/ E3 i \
cost-effective supervision of the venues at all times during which it
) y6 j8 C, S0 f! [is in operation or needs to be in operation.
6 J, a% Q& C. m. b3 \· To work with the Technical Director, when necessary, to ensure
' h* m7 i/ F! x0 {5 `5 Cthat an adequate and appropriate level of part-time staff exists to + j" Q* d3 m6 W) ?
facilitate the smooth operation of the venues and to ensure all & e( V* L" p, l* ]
renters needs are met.
+ Z6 r* [$ I4 c+ X! X8 c! ^: o3 p+ w· To work with the Technical Director to ensure that the skills
6 W. ]1 x) P6 Y: @3 jand attitudes of all subordinate staff are appropriate in light of 0 D2 n' A' g& X; S# y: J2 |
the roles they must perform. This includes providing adequate and
: a# k# R: W( Q) [effective training (and re-training) in all applicable and
+ \+ t4 v, T8 v) [appropriate areas, and ensuring that the Policy and Procedures manual . q- o% k# n4 E: R3 r: ]

· To ensure all staff are trained in and committed to providing / v6 k# `) H! p0 B7 T# m/ F

· To work with the Technical Director to arrange staff - u* c1 a8 \. O* K5 e2 D
scheduling. To handle payroll related matters, under the guidance 6 D6 G$ M* E8 a5 ^6 i
and direction of the Manager of Venues and Programming, concerning $ C3 |! j9 x9 A# ?2 @ c
the staff of the venues.

that additional requests such as licensed receptions are arranged.

systems and processes utilized by or within the venues meet the

Manager of Programming and Venues, and Manager of Finance &

· To manage the venues in a manner which adequately and effectively

· To discuss those financial statements and other reports, together ' f* O3 d# @' u6 C
with all financial and administrative procedures, with the SU´s - j+ S) V' p# I" h/ G

setting of appropriate prices for rental and staffing rates for # @1 i8 m5 O; K
events held in the Horowitz Theatre.

the billing clients, and to forward such documentation in a timely

and administrative procedures and systems in a manner which reflects ! D* }, L$ s( m- w% S
the requirements of the SU´s Manager of Programming and Venues and ( F2 z; l* K+ `* w4 X( f; n. I1 `* H7 j
Manager of Finance and Administration, and in a manner which

5. Overall Roles and Responsibilities

needs, and contribute to the smooth operation and success of the

5 N5 e& c1 |% G h |9 a· To recognize, develop and set in place such rental procedures as
- B4 q7 ~8 O( e$ K! I) \may be necessary to ensure the smooth operation of the venues, this

) L6 l& {! f( o- V$ |/ ^: q' Nin the areas of contracts, inventory management, contract evaluation, " q: s7 S/ p6 K$ p4 `5 P! m
pricing, costing, equipment usage, rental/contract invoicing, . v7 O) u6 V7 a( V' ` S# [
together with such other systems and procedures as may be necessary ?# f# d+ B+ Q: x b) r6 I
to ensure the smooth, secure, efficient, cost-effective and
6 ]5 D. O! U' u9 o% Z8 Y. m# l& X, _functionally-effective operation of the Horowitz Theatre.
1 O* N' ]$ T9 U. H6 y· To recognize, develop and set in place such operational procedures
, A6 O5 T. d# V7 W6 H% Ias may be necessary to ensure the smooth, efficient and cost-
5 F) U1 z9 `3 R* ]9 Geffective operation of the venues.
& j" Y! u8 k9 v: R# a· To negotiate rental lease agreements (contracts) relating to 6 `3 g# M# N" X N" N
dates, rates, staff and miscellaneous charges.2 i- @! j/ f V$ _* I' f/ ^
· To ensure that adequate inventory is available at all times and 8 d1 ]& J. ?+ l5 D9 p' T$ C
that such inventory is stored and issued in effective and secure ways.
. \0 S ]9 @" _4 {· To consult with renters as to facility issues in producing their 8 T0 Q$ c1 r- e' K
particular event in the venues.
( G; l3 {0 c& |% ~· To provide the venues on-site staff with such documentation and
' C5 B* h2 n5 C% esupporting information as it may need to effectively fulfill the

· To produce quotes in respect to staffing costs for a particular " ~8 K3 c1 C. }9 z" v% e
rental with consultation with the Technical Director.5 l' D" x" K% h7 U6 u' i
· To ensure that all queries raised with the venues whether from the
9 D$ ^: ~& D$ k ^* |; o& {SU or renters, are promptly and effectively handled and adequately
4 C0 }3 ^; C1 V: canswered, and to ensure that such action as may be necessary in
& B E( b* B# r+ Efollow-up to such queries is taken in a timely manner.1 W0 E" B) r* o: {( B
To ensure that the venues and its capabilities are adequately,
, ]) o0 y- x# w. geffectively and cost-effectively advertised and promoted, and that 7 |& _6 r. r- I f
the cost of such endeavors does not exceed the budgetary provision . m6 I1 j# ^+ K% b
made for them unless prior approval is given by the Manager of 1 a* Z' x( M# L9 f

significant challenges and/or problems surrounding the tasks of

· To attend such meetings as may be required to support the smooth
