the logistical organization and smooth rental of the additional

2. Marketing and Promotion

students, and internal and external clients on an on-going basis.
4 w: W. h6 p! r: o F" I/ iThis strategy will include implementing and/or delegating the following:, @" p- B+ k+ W4 g9 ]8 u* h
· To develop and maintain promotional materials, the Horowitz
' \$ R& v1 V; z1 j) g& \, t. ATheatre and SU Venues home page, newspaper and other advertising; to 1 a, e H7 v E; K6 v
take advantage of other internal and external advertising
1 ]: [: U1 H5 Bopportunities; and to develop press releases and other promotional * N/ Q4 q/ @1 G2 R

· To coordinate tours of the venues for potential renters.! _1 |* i9 {9 |
· To promote upcoming events in the Horowitz Theatre through the

a. To ensure, at all times, that the venues are adequately and cost- * w( T9 j3 y) W6 F; v7 Z
effectively staffed, and that the staff utilized by or within the 7 Z: \- |& e. w9 L/ u) h& B5 ~$ A
venues meet the appropriate standards, requirements and needs, and
) Z0 L5 q$ o3 T: V/ U! Ocontribute in a positive way to the smooth operation and success of
. H7 t- g9 f$ S7 U$ N6 L: y) Ithe renter´s events. This includes, but is not necessarily limited ' F- |/ O& ]) u, C* A1 S2 u
to, the following:
7 c9 b" C" d* n9 u( h f· To be responsible, under the direction of the Manager of Venues
: K3 a) E* ~5 Q3 y$ u+ a7 B, }1 nand Programming, for all staff issues including hiring, disciplining,
. B* q& o% t# _6 m5 G4 Qevaluating and terminating, as necessary.6 Y3 @) V9 W. R9 a W
To ensure that the Horowitz Theatre is adequately supervised at
+ h$ e. F6 n7 I; f0 b& ?all times, this includes the development and implementation of such
: G- H) ~( ?; L6 H0 f: \! _! bschedules and rosters as may be necessary to ensure the effective and
; `& s* i: y0 M2 ]8 Zcost-effective supervision of the venues at all times during which it I" G) N2 p2 l% p; i- y
is in operation or needs to be in operation.$ I+ Z0 N2 z4 @% N4 [' ]
· To work with the Technical Director, when necessary, to ensure ; y8 b+ ~4 i: s& a; u: w( @9 i
that an adequate and appropriate level of part-time staff exists to ' e0 A6 a- h; e6 p1 J( P
facilitate the smooth operation of the venues and to ensure all
8 O0 l- P9 ^+ ]! W. K3 Jrenters needs are met.0 i8 ]: H" ~, b
· To work with the Technical Director to ensure that the skills
* |; I7 e/ u( H o0 rand attitudes of all subordinate staff are appropriate in light of - y3 Q# X r, T) L
the roles they must perform. This includes providing adequate and
$ `" C @5 H4 Oeffective training (and re-training) in all applicable and # i6 Q2 O& @, {; E1 C1 N# A
appropriate areas, and ensuring that the Policy and Procedures manual

· To ensure all staff are trained in and committed to providing 9 Q8 @ `. F0 o2 C% W5 Q
excellent customer service to all renters.

and direction of the Manager of Venues and Programming, concerning

the appropriate setup/tear down of each venue.

appropriate standards, requirements and needs, and contribute in a . t$ S6 a7 x+ x3 Y( j4 N
positive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate
! K3 f) o7 N8 R; o: \6 n! roperating budgets covering the venues to the SU´s Manager of $ ^9 P. z- b, k3 j, T2 ]
Programming and Venues and to discuss and refine those budgets
* D p4 \2 ?5 wManager of Programming and Venues, and Manager of Finance &
4 U; A9 n: B% v4 X$ u7 LAdministration prior to their submission for final approval.3 G0 ]8 {9 s R3 P+ G
· To manage the venues in a manner which adequately and effectively
, Y% H" X: T' W" o3 o. D* y" ?reflects the budgets approved for the venues and/or which reflects 3 c/ x; k: Q4 C X7 E6 o
the best interests of the venues and the Students´ Union.3 q- o H+ A8 y0 z2 h: ^4 d. @
· To function as the key player in the submission of financial and + Z$ X6 c0 m/ |- @2 ?# O
administrative documentation covering the venues to be used in the

other reports as may be necessary.

with all financial and administrative procedures, with the SU´s

aimed at improving the financial and/or functional effectiveness of 6 `4 }4 x# a9 y, A

· To ensure the existence of adequate, effective and accurate job
6 C5 a6 x* z/ d3 j: Lcosting systems to be used in connection with the determination and / h" T# x" q9 U' r
setting of appropriate prices for rental and staffing rates for 3 w" V1 K% i$ z. z# p) m8 R
events held in the Horowitz Theatre.+ D, s. M; ?1 d" V$ L# |1 U; u
· To develop accurate documentation to be used in connection with
H+ ]& m" v7 L9 e& b( h6 Zthe billing clients, and to forward such documentation in a timely f1 M# v- b8 ?& j4 ]' J
manner to the Accounting Department.
$ G: o7 O. o# S· To recognize, address and handle all matters relating to financial 8 [) T; h0 v/ C5 i# j
and administrative procedures and systems in a manner which reflects 4 r+ i* `6 N. C6 M7 [
the requirements of the SU´s Manager of Programming and Venues and

5. Overall Roles and Responsibilities
e4 R* M& V0 v! c3 Da. To ensure, at all times, that the systems and processes used in
3 O; _& T0 ?! `5 b8 ?renting the venues meet the appropriate standards, requirements and , {# I/ b; A+ o4 V0 N2 h
needs, and contribute to the smooth operation and success of the
. w$ t! }/ q6 @' y6 m. y( pvenues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as
( n- N) j; P* Z! c H. i& e7 cmay be necessary to ensure the smooth operation of the venues, this c& v! c2 y+ i
is to include but not necessarily be limited to systems and processes 3 i& o7 {" g& y, _' j" B
in the areas of contracts, inventory management, contract evaluation,
1 C) c$ _# h% p) Tpricing, costing, equipment usage, rental/contract invoicing,

to ensure the smooth, secure, efficient, cost-effective and

· To recognize, develop and set in place such operational procedures
# z* S2 I8 Q' M+ b* vas may be necessary to ensure the smooth, efficient and cost-
+ J# F0 C/ U: G1 t- ~0 Y9 Veffective operation of the venues.
6 Z, i& s0 J5 [# k7 z' c, \; [· To negotiate rental lease agreements (contracts) relating to 1 M& J0 R' C: I* H5 G
dates, rates, staff and miscellaneous charges.
9 A0 f9 ?, b5 F0 U· To ensure that adequate inventory is available at all times and 4 c' o9 U3 s' \6 N3 H1 D* D$ L
that such inventory is stored and issued in effective and secure ways.
6 N+ b) S, O0 i' q· To consult with renters as to facility issues in producing their ) \, b8 `3 s! f9 i: c6 s L
particular event in the venues.- @+ B3 K2 ~7 Z q* z
· To provide the venues on-site staff with such documentation and
' O1 r) x4 t" e" y& H8 r$ Q' esupporting information as it may need to effectively fulfill the
- _: b4 A. C. D# C1 V" ~8 F; Lroles they are to perform to ensure the success of the renter´s event.
9 j$ y0 }) o. ]. L3 P/ r7 |0 O· To produce quotes in respect to staffing costs for a particular . G' r" q/ E' P& Y5 T' D. D$ }3 Q
rental with consultation with the Technical Director.2 T3 z9 S. [$ m8 Z1 I4 V5 ^
· To ensure that all queries raised with the venues whether from the
0 ^% x- q% y5 HSU or renters, are promptly and effectively handled and adequately
0 J3 K/ }+ T8 g$ t& I, k. Janswered, and to ensure that such action as may be necessary in
+ y$ ]* d* X) s! Z; lfollow-up to such queries is taken in a timely manner.
* p) @' }" B/ m( {, t To ensure that the venues and its capabilities are adequately, 8 b. |8 s! K& u9 C$ l5 R
effectively and cost-effectively advertised and promoted, and that
: U7 ^7 h- V' z& {; I6 Z$ vthe cost of such endeavors does not exceed the budgetary provision
3 ]3 T6 J$ A, D" Dmade for them unless prior approval is given by the Manager of 4 j9 \, k- j3 P
Programming and Venues.
3 o( Z* K0 A5 J/ l5 Y& U· To act as an informed and knowledgeable resource in the case of
" G; A$ f6 ?: I9 Z* ysignificant challenges and/or problems surrounding the tasks of
5 T5 E$ c; r) N l' ]" `marketing, administration, operations, and any such other matters as 5 I7 f1 h$ n" Z, ~3 Z. F
may provide such challenges and/or problems.8 Z, t2 f. W0 y4 B" M3 b$ _0 ^" q
· To attend such meetings as may be required to support the smooth

secure operation of the venues.

QUALIFICATIONS:
