The Operations Manager - Venues and Programming will operate with a  
. [7 C& u" P0 @6 v: E1 Zdirect line reporting relationship to the SU´s Manager of Programming

The duties of the Operations Manager - SU Venues are diverse and  ' o. M- I$ l$ P8 q
extensive, and are targeted at the all round smooth operation and  
; N  H; Y8 s) Z+ ffinancial and operational success of the Horowitz Theatre as well as  5 s- t/ t6 G' l) A6 W
the logistical organization and smooth rental of the additional  
/ b+ c& b5 o# }! r9 w4 k6 e7 W% I8 evenues within the realm of the Students´ Union.  In the light of that  " g) U+ n3 S) F% j$ O
breadth and complexity, it is not possible to fully define or  
( d" x0 Y3 ~7 m0 |+ ?! R6 ^describe all roles and responsibilities in a document of this kind.   1 L, W  G9 b# t6 [2 H! Y. `
However, the main roles and responsibilities of the Operations  , }* I8 |; y9 B. x
Manager are as follows:

1.        Space Roles and Responsibilities: o3 v" V( p( ]- U. S

# S- \& F+ Q* f7 j4 Q$ D. f+ |a.   To ensure, at all times, that the venues listed below meet the  * B5 ^' U3 `, b
appropriate standards, requirements and needs, and contributes in a  
: Z5 l2 r3 p: B- Lpositive way to the smooth operation and success of the individual  
: c; T/ h, N9 \6 xrenter.

·     Dinwoodie Lounge' e" A! t+ m4 {: \: ^1 k# h: `4 Y
·     SUB Stage

·     To plan the capital and supply expenditures to meet the  3 G6 _* P3 o6 M* ~8 q

·     To ensure the day-to-day compliance of the venues with existing

2.        Marketing and Promotion
. E" g# h' Q# S% {; K) N% z: g2 y
a.   To develop and implement a marketing plan for the venues that  , c% g9 s. s3 u/ S
focuses upon advertising and promoting the venue to faculty,  + a* b  u+ D  b& D
students, and internal and external clients on an on-going basis.  
/ u# }4 O7 O6 Z' SThis strategy will include implementing and/or delegating the following:
  ]7 u6 e5 q: ^. x·     To develop and maintain promotional materials, the Horowitz  
  m4 ]( Q/ G: Q1 jTheatre and SU Venues home page, newspaper and other advertising; to  
) F8 \' U' a8 a% I0 D# x  Ctake advantage of other internal and external advertising  3 o# f! ^, e9 @# J
opportunities; and to develop press releases and other promotional  
% E6 ~' Y% [+ M7 |7 B: ~% lliterature on an ongoing basis.
% m  V8 j6 \( x: C; ^5 _·     To coordinate tours of the venues for potential renters.
. y7 D* M/ u  _·     To promote upcoming events in the Horowitz Theatre through the  ! i9 h6 d  @! B. y
use of the Horowitz Theatre Home Page and the SU Events Calendar.
* N* b6 D" i) }9 T·     To develop new external clients for the venues.* H- N- `7 z/ O
7 B8 r4 E% M8 n- S4 A+ u

, \' `4 Y& a" n/ V7 W; B5 \3.        Staff and Supervisory Roles and Responsibilities. `6 C" [3 V- j& d+ r

* t4 ^' X0 k/ G& h3 S9 ~" X' qa.   To ensure, at all times, that the venues are adequately and cost-
) j; J, J5 [* I! k0 z. [effectively staffed, and that the staff utilized by or within the  # T) L5 A3 Z( R9 C* y. N& ^; ?$ z
venues meet the appropriate standards, requirements and needs, and  
+ _" [% o0 z, \. fcontribute in a positive way to the smooth operation and success of  
4 ?- {  l2 Z  D% ethe renter´s events. This includes, but is not necessarily limited  
2 X! n# ^4 {) p& Q  I. t  H7 [to, the following:4 x5 t1 O4 W* `" H3 R7 [
·     To be responsible, under the direction of the Manager of Venues  
; ]2 w: A7 t. ]and Programming, for all staff issues including hiring, disciplining,  , ~0 @+ O$ N4 V4 s. |3 I
evaluating and terminating, as necessary.7 l: U" {: d4 Z/ s8 \4 N* M6 S; ]
To ensure that the Horowitz Theatre is adequately supervised at  ! a, g2 i9 S# X' C" z) m& m
all times, this includes the development and implementation of such  
; C* ]: `8 i. ]& Zschedules and rosters as may be necessary to ensure the effective and  6 A' F# w' Y6 E! o+ A3 W
cost-effective supervision of the venues at all times during which it  $ E, C' J; Z' ~/ D7 N2 n
is in operation or needs to be in operation.
. ^9 q; @8 Z) `3 i7 r- S' r·     To work with the Technical Director, when necessary, to ensure  
( w3 |% s* q* Y$ e7 E& z. C* ~that an adequate and appropriate level of part-time staff exists to  # R" M) M8 _$ ^, Y5 |- y2 m7 c2 q
facilitate the smooth operation of the venues and to ensure all  
) p+ G  K3 Y. {1 T" B" n6 orenters needs are met.3 T: [# V" v: f1 h6 |
·     To work with the Technical Director to ensure that the skills  . s5 u6 w% Z  H
and attitudes of all subordinate staff are appropriate in light of  
( H9 _4 W( D1 }9 b8 D& Xthe roles they must perform. This includes providing adequate and  & b1 ~8 c3 U% e! \
effective training (and re-training) in all applicable and  4 F' p* ^2 G1 u9 x! S+ J
appropriate areas, and ensuring that the Policy and Procedures manual  
' a5 J  f. q5 e0 X4 S5 K7 J! o; s7 Pis kep up-to-date at all times.8 M4 m/ N0 x5 @3 ~
·     To ensure all staff are trained in and committed to providing  
! y# H) T4 K7 i$ {, O8 kexcellent customer service to all renters.
. y' R1 f' `/ n5 ?·     To work with the Technical Director to arrange staff  * s8 r  f1 j  @6 @. V8 `5 ~8 X
scheduling.  To handle payroll related matters, under the guidance  
2 |6 Z' A% u. Wand direction of the Manager of Venues and Programming, concerning  ( v1 o( P0 y- O) c  e+ ~% c
the staff of the venues.
% a+ ]; f. k% c·     Working with the Manager of Facilities and Operations to ensure  2 u9 F+ M0 @  u+ |# ^; O
the appropriate setup/tear down of each venue.
' T. s! w% N# N, j  g·     Working with the Manager of Programming and Venues to ensure  
# x+ W2 y0 W' t2 h* S6 Z, ~that additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance

2 j  ?8 B/ u% D1 a% S, Ca. To ensure, at all times, that the Financial and Administrative  : h/ k9 P3 F% \: A
systems and processes utilized by or within the venues meet the  
) K  y  G8 H4 o& B* Y5 K0 Q5 Yappropriate standards, requirements and needs, and contribute in a  
0 o8 f7 E9 W& V# T% spositive way to the smooth operation and success of the venues. This  7 V1 e" F+ S/ _7 G  x3 `9 `, A
includes, but is not necessarily limited to, the following:
* D: v& i8 V, Q; u3 D To provide input and expertise in the formulation of appropriate  5 |5 H7 S* }, Q* Q5 N
operating budgets covering the venues to the SU´s Manager of  
: e( Z3 H, G* N$ Q) G- _- mProgramming and Venues and to discuss and refine those budgets  " c6 Y4 J; ]! I$ B4 G4 I3 e
Manager of Programming and Venues, and Manager of Finance &  ) G( D: F& v) [& \  f8 m
Administration prior to their submission for final approval.
* k3 A. a  V" e( M·  To manage the venues in a manner which adequately and effectively  
" B8 w1 N; k4 b; p* [! S* Lreflects the budgets approved for the venues and/or which reflects  ' p4 {. |5 f& ^: T. S& n
the best interests of the venues and the Students´ Union.
8 V. v+ _0 i' Z5 P( H$ i·  To function as the key player in the submission of financial and  7 F; l9 v7 M4 G1 P- l7 h! O
administrative documentation covering the venues to be used in the  4 ]4 E) m! H2 T1 ?
compilation of monthly and annual financial statements, and such  
1 L! V# I7 O3 u1 r" m3 z2 _other reports as may be necessary.
1 N$ u& R" M( H4 }+ h( G8 _* [·  To discuss those financial statements and other reports, together  ) A( {/ \" Z1 u: P# N
with all financial and administrative procedures, with the SU´s  
! }  p+ }! z/ b& I% D+ y/ o# M- JManager of Programming and Venues and Manager of Finance &  ! p" m+ h6 _+ {' H. b; i
Administration with a view to determining and implementing action  
5 R: F  q" R# }; ?aimed at improving the financial and/or functional effectiveness of  
2 }4 H$ R0 y' L3 b6 R7 l7 R' jthe Horowitz Theatre.' G% L, k) q, u: B+ `
·  To ensure the existence of adequate, effective and accurate job  ) r8 d* [; G5 a+ }8 M
costing systems to be used in connection with the determination and  
( z6 C1 e/ F5 ?setting of appropriate prices for rental and staffing rates for  / a! Y2 X- K3 F2 E% o' E# V
events held in the Horowitz Theatre.
1 Z! f1 q6 Z4 V. `6 O7 n) k·  To develop accurate documentation to be used in connection with  ; C" C- |) V% u2 o: i
the billing clients, and to forward such documentation in a timely  
1 Z5 f; x7 H& y7 l9 j0 ?% J0 gmanner to the Accounting Department.( u0 ]- d; ~4 Y) ^) d4 ]" m2 Z- l
·  To recognize, address and handle all matters relating to financial  & v7 E5 n8 w& p  F0 ~/ p; V! K  m
and administrative procedures and systems in a manner which reflects  
. v5 j2 g" A7 s( {9 U8 ~) Hthe requirements of the SU´s Manager of Programming and Venues and  : U2 g. {' C1 U" P) W3 L" t/ A) X
Manager of Finance and Administration, and in a manner which  
% q. j; ^: d# ]contributes positively to the smooth operation and success of the  
3 r1 u1 w% C5 u/ H- A9 }venues.

5.          Overall Roles and Responsibilities: k3 _- K" B; |+ x! ?
a.   To ensure, at all times, that the systems and processes used in  
  T: }: }( |5 Z( ]8 m# x1 M0 ~5 brenting the venues meet the appropriate standards, requirements and  
5 D+ k0 d: h# g1 R3 z" f4 tneeds, and contribute to the smooth operation and success of the  
+ B' {- o$ M' X3 q9 mvenues. This includes, but is not limited to, the following:' p: Q# y% C2 r8 ^' B
$ S6 G2 v0 M9 g: U- t7 y
·  To recognize, develop and set in place such rental procedures as  4 o3 ~0 `! t$ `: C1 V4 s' {$ @
may be necessary to ensure the smooth operation of the venues, this  & p6 f* L0 z( h" a) Q' w
is to include but not necessarily be limited to systems and processes  ! x; }3 O$ g$ Q; r2 p; Z8 x
in the areas of contracts, inventory management, contract evaluation,  
3 |; H# |9 B7 h" ^: \pricing, costing, equipment usage, rental/contract invoicing,  
' k% F& {7 N1 l- x  atogether with such other systems and procedures as may be necessary  
( y, S$ e: N) g4 }& B: r  |to ensure the smooth, secure, efficient, cost-effective and  
8 \; T) T0 A" x; Dfunctionally-effective operation of the Horowitz Theatre.
, X# _5 e* k, j& b$ y. |) K1 k·  To recognize, develop and set in place such operational procedures  ) f6 G$ q# N" O( Z0 G
as may be necessary to ensure the smooth, efficient and cost- 8 d4 b6 f/ B& l& Z6 ~3 `& B
effective operation of the venues.
) O5 m* r- J- c8 c% C2 j·  To negotiate rental lease agreements (contracts) relating to  , n! }& J9 x8 t% Z( y. A  f* I
dates, rates, staff and miscellaneous charges.( k; O8 Q$ G/ }+ U" K- h
·  To ensure that adequate inventory is available at all times and  
2 q  K4 e+ U4 O: Ithat such inventory is stored and issued in effective and secure ways.* w! n3 \6 O& l  u" q5 w, r
·  To consult with renters as to facility issues in producing their  
3 W& ^+ `% i# Hparticular event in the venues.
. _& v8 A% x. L·  To provide the venues on-site staff with such documentation and  . r/ ~% m, Q# M3 ~$ C0 Q  V
supporting information as it may need to effectively fulfill the  
4 I% x8 j, t  I& p; V' M5 [+ |roles they are to perform to ensure the success of the renter´s event.4 L. X4 C1 g2 J% r0 q
·  To produce quotes in respect to staffing costs for a particular  
5 A1 L+ n/ S. M- z( `  T2 R7 Frental with consultation with the Technical Director.
  f+ k3 `, _% A8 P3 [3 g6 N- c·  To ensure that all queries raised with the venues whether from the  
3 ]' a. b2 s- f) H" I5 qSU or renters, are promptly and effectively handled and adequately  ' q7 U5 o8 J/ T9 {
answered, and to ensure that such action as may be necessary in  
' X8 Q& z8 {# m6 nfollow-up to such queries is taken in a timely manner.- ]% u. o7 Z6 s+ _" b" }
To ensure that the venues and its capabilities are adequately,  
: Q( F6 W- }0 meffectively and cost-effectively advertised and promoted, and that  0 Y0 Y! p1 E) z+ E
the cost of such endeavors does not exceed the budgetary provision  * Y% n' J6 K- u, v3 K+ I7 J, T. u
made for them unless prior approval is given by the Manager of  / v7 `7 N! z: x
Programming and Venues.
9 Q5 k, w5 K$ |1 ~·  To act as an informed and knowledgeable resource in the case of  $ l+ l: ?1 j5 |
significant challenges and/or problems surrounding the tasks of  
- k- B  X" G% O; G- i' Amarketing, administration, operations, and any such other matters as  + _5 P; T& T$ k6 Y. n: f
may provide such challenges and/or problems.
; Q' c: G* v7 k. @' V. |·  To attend such meetings as may be required to support the smooth  3 T) M' i# L! i2 w: a
operation of the venues or the Students´ Union as a whole.
" e5 R: H  F+ g·  To perform other job-related duties as may be required by the  
; v# n. V/ \% M+ |. L9 T/ K, t& ZManager of Programming and Venues in order to ensure the smooth and

·  To recognize, address and handle all matters relating to overall

3)             Ability to create new initiatives with little or no
