The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.8 t$ C- D: L& m, Z: Y/ ^; j' b

Job Responsibilities:

OPERATIONS
, ?. P& M1 W3 |2 k, w! u) h• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.2 E8 ?, [& g% R4 Y! @
• Assist in development and implementation of policies and procedures for volunteer services.
9 i+ K* H9 ~* A# ?. F K• Maintain the volunteer files and update the database using Raisers Edge
. L6 K$ G; ^9 }• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
- u, U) I5 l7 T$ \9 D" S• Develop and implement a comprehensive volunteer recognition program.; d: n6 y5 L& O; V( P% P
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
; ]8 z5 `; R, T& V% s/ Z, e0 P$ o, ~• Identify and implement best practices in regards to volunteer development.
, I# ~, B4 ^7 s7 ?# H# \$ B: z• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities; y5 t6 H" C8 _) G8 K, W
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

SPECIAL EVENT PLANNING
9 ^) z1 o5 A4 a7 T• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
; S+ S( o, i. K9 w• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

5 O# d9 O8 ~8 `; i• Develop and maintain job descriptions for each volunteer position
9 \' w" [5 j' A3 g! `; \6 T+ I• Maintain secure volunteers files in accordance with privacy legislation% y$ W' E* j1 J: f9 V2 y
• Provide feedback on volunteers’ performance, as appropriate/ C# K1 ~3 u$ t( ?- c
• Ensure Human Resource policies and procedures are adhered to within the department2 n3 F: F0 Q% i# L# Z
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
9 k- u& R' c; b9 n• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency

• Maintain monthly and yearly volunteer statistics for reporting purposes& c8 q$ w3 D6 k9 ?

FINANCE
0 c9 S/ a7 h- H& k. B1 ?& G; \• Ensure the program operates within approved budget and be familiar with potential variances
. E) j: y: r, q' @1 j• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

INTERNAL/EXTERNAL RELATIONS! q0 r Y9 }* Q. I/ T
• Act as liaison to the Y-Knit group of volunteers
% F) E. Q8 T* o b# z• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
8 B$ g/ a: K8 ~, a4 Y% C• Follow up with correspondence to outside agency volunteers as appropriate % O$ K3 `" g* N# S3 a' {
• Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:
0 X& ^; X7 ^4 z, S5 w4 D% I: t% l
• Minimum 2 years experience in Volunteer Coordination
* `5 H' `$ X9 }• Excellent organizational skills and multi-tasking ability
7 l9 d* |: U. d* k9 d# S+ O7 p• Demonstrated superior volunteer supervision skills3 @- I* k! L6 Y8 F; N9 k, V
• Collaborative working style and excellent interpersonal skills
5 j( Q* w( K& z• Ability to work to meet deadlines and to work under pressure! W, z' n: q4 Y5 X9 t+ E# p6 N4 k
• Ability to work in a team-based environment, with cross-functional work teams on projects
4 X# f4 v e7 p4 \% h" s4 w: d• Sound judgment and ability to maintain confidentiality
