Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.& s& i$ c  Y( I' [0 m$ t

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

  L; ]0 i4 \0 |7 _2 |! L( {  H• Complete data entry in various programs.

0 V* s' d0 @$ t+ W, `& _• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.3 @$ G4 |4 m) ^" w! p  I8 [" j

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Support effective internal communication by recording and distributing all meeting minutes.2 t- H9 ?4 H- [$ l' N' e$ k! ]. A

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management./ g. v& }1 J% _, Y8 ^# r

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:/ @# j( g5 f3 h

• Maintain inventory of communication materials.

/ f4 z, \  l) m9 J% G5 f  t6 m• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.7 S( M  X" |' F1 a

• Support management of online publicity and communication tools.. R, Z! R. Q5 R: R4 z4 b

  R4 M4 x9 h# i! q1 N4 P• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.0 c" S* y. S$ g6 S. b2 R

• Compile information packages for fundraising and promotional purposes.8 O; G8 ]4 Q; G& |, v; V" T

• Provide administrative support for public engagement events and mail outs.

# L* L, |0 c2 e6 j- ~2 y' N• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.: f: B! E" e! C: F. S3 ~9 U- e

Fund Development/ V% j1 ]1 W) A( g& ?, |3 H: f

• Provide logistical support for key fundraising events such as silent auctions. y$ T7 f' o* @7 i3 f

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.+ u, t5 I9 z, s: h; C

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
