A sound understanding of overall activity of the agency is essential. This is a position that requires strong customer service skills, as it works collaboratively with staff and volunteers to provide the best possible information and assistance.

Job Duties/Responsibilities:

Reception
" z" N: o0 s0 Q• Greet and provide assistance to incoming visitors3 m" r/ a7 h5 t/ B5 v
• Answer multi line telephone system
% A6 a: M7 g5 V/ E9 Z• Receive and distribute mail and deliveries
/ i' k% _) ?8 w! F- f% I• Arrange courier services for all departments
7 z+ ~8 u6 J1 g c1 w, N• Oversee Y-Knit program; provide support to its volunteers

Administration( m* k, R0 r4 _
• Receive sort and distribute mail and packages; post outgoing mail
# H! ^( r$ n: i& A' q- \$ K• Sort and distribute mail and deliveries
$ H3 Y1 ?! x3 `+ m( B: X• Provide clerical support (e.g. word processing, data entry, photocopying, faxing, e-mailing, printing labels, mail-outs, and filing) to all departments of the agency 8 r/ w$ e; l3 a8 G K$ u0 E& q
• Update and maintain databases as assigned, including those for Fund Development and Administration
0 b% R+ I n0 ~ a: U• Assist with task management for administrative volunteers
* Y* g( ~. d/ V5 W' @! P# p• Create monthly staff bulletin and prepare for distribution

• Assemble and forward information packets as requested$ f2 ^, a5 k0 q* w

Registrar
8 S+ {+ v* f1 z! C• Accept and process registrations for participants or attendees at various special events and staff training4 F) r; a2 T5 O# m$ \8 }
• Process payments for ticket orders and registrations7 j6 r9 F& p7 K2 s" h3 R* t0 p
• Assist YoWoChAs Outdoor Education Registration as required

Qualifications:

• Minimum 2 years office experience in areas related to office reception, and office procedures
5 M/ [8 ~6 I8 u# b( P. W• Experience and proficiency in Microsoft Office including Word, Excel, and PowerPoint.0 v+ o* T8 n; Y9 z
• Skill in Desktop publishing is an asset6 _# R2 @# ^' H3 R, C3 W* h6 j
• Excellent verbal and written communications skills . s7 O/ j% k" [
• Mindful of need for accuracy, detail and discretion
