The Operations Manager - Venues and Programming will operate with a  5 ?# {/ D8 K7 F8 N( @7 T, ^
direct line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES
' y$ Z% C! c. Y& _' R8 F" nThe duties of the Operations Manager - SU Venues are diverse and  + T2 H1 a$ e& }! X  o$ c
extensive, and are targeted at the all round smooth operation and  
* @/ [4 T) |$ l# }* Dfinancial and operational success of the Horowitz Theatre as well as  " U/ j0 d9 y+ e; c) b
the logistical organization and smooth rental of the additional  
: [5 }0 s6 e) Qvenues within the realm of the Students´ Union.  In the light of that  # a6 Q! s# ~) b
breadth and complexity, it is not possible to fully define or  
% `/ Z+ M1 b0 f/ F8 G. C% X  vdescribe all roles and responsibilities in a document of this kind.   
4 m- E" u8 Z; G7 `) T3 R2 W" iHowever, the main roles and responsibilities of the Operations  ( G$ [3 y9 X& O2 M6 E( Z* m0 U
Manager are as follows:

positive way to the smooth operation and success of the individual  " ~8 [. l, u" |$ {/ N0 L8 f
renter.

·     Dinwoodie Lounge

b.   This includes, but is not limited to, the following:
  s9 ~- i2 ?+ s* ^+ y·     To plan the capital and supply expenditures to meet the  2 K6 ]% {. |' U# R2 g$ {4 X5 P

·     To ensure the day-to-day compliance of the venues with existing  
7 c; C- d0 j' U& a4 f( Xsafety regulations and building policies.% R  }2 }1 N1 {
To ensure that the maximum potential of renters is met.& r8 T# n7 [0 Z0 {3 x6 [! d( A" [
3 j; Y! {' ~0 D* E7 p
2.        Marketing and Promotion* ?! x: R' `  R/ K' M

& x3 K% ]* q% d: D1 H) [. U0 I2 Qa.   To develop and implement a marketing plan for the venues that  
/ m5 |9 u2 ~* Ufocuses upon advertising and promoting the venue to faculty,  
. |0 x0 H5 |# g% G- mstudents, and internal and external clients on an on-going basis.  " [$ x1 J) {3 x
This strategy will include implementing and/or delegating the following:$ o6 F* Y; L8 I0 P; ?  c, ~
·     To develop and maintain promotional materials, the Horowitz  
4 O' q6 z  X- w' I' z, rTheatre and SU Venues home page, newspaper and other advertising; to  % D1 N/ F& X7 a) P7 h) W1 w
take advantage of other internal and external advertising  
/ n3 }& p; r) u9 \) k" fopportunities; and to develop press releases and other promotional  
6 |% C( t4 F' iliterature on an ongoing basis./ o& \& b9 F( B6 J1 `
·     To coordinate tours of the venues for potential renters.  y9 ~+ B4 Q* C0 u
·     To promote upcoming events in the Horowitz Theatre through the  * p" {1 i1 [% ?+ i
use of the Horowitz Theatre Home Page and the SU Events Calendar.; M1 d- X  l! N& @; U+ a4 d
·     To develop new external clients for the venues.& O1 |: s0 k$ Z+ Q

! c; W! Z1 r/ L3 [; Q; b5 n: \% V( r- A
3.        Staff and Supervisory Roles and Responsibilities
) p' ?9 G8 p8 L3 ]0 i, K! Y6 A6 `  v' i
a.   To ensure, at all times, that the venues are adequately and cost- 7 n0 a, c, _6 C2 s. Z6 z
effectively staffed, and that the staff utilized by or within the  7 V) T$ ^% q- F& ?3 y9 n4 L
venues meet the appropriate standards, requirements and needs, and  
/ c6 F0 y. f8 A3 k& J6 V& Acontribute in a positive way to the smooth operation and success of  6 e9 g* e: ^& m; l. D! E9 `) G
the renter´s events. This includes, but is not necessarily limited  5 u7 _3 a% [$ v$ l
to, the following:
) D2 _6 I% G4 @( b. U3 V7 o·     To be responsible, under the direction of the Manager of Venues  ! g5 @9 I% _- v( d! E3 L/ x
and Programming, for all staff issues including hiring, disciplining,  6 {" @4 ]. ^0 ~7 {, O9 x
evaluating and terminating, as necessary.' ]8 m6 p  j  r9 J9 Y8 p+ M6 H
To ensure that the Horowitz Theatre is adequately supervised at  
& G! L5 l) s" T& v$ aall times, this includes the development and implementation of such  
6 e, f8 n+ O& }. N2 w* cschedules and rosters as may be necessary to ensure the effective and  2 d& E5 c5 i8 Y3 `! p* x; `  H
cost-effective supervision of the venues at all times during which it  
% v6 O2 a* l/ `1 q8 ois in operation or needs to be in operation.
4 r, A1 }& s3 G8 B/ g$ O4 u·     To work with the Technical Director, when necessary, to ensure  1 w  m0 v* F, S5 M/ E  s5 J9 R
that an adequate and appropriate level of part-time staff exists to  
( f8 Z( A: i- vfacilitate the smooth operation of the venues and to ensure all  9 T7 d8 y3 H1 N4 `
renters needs are met.2 P, ?7 w9 O1 H" J5 ?
·     To work with the Technical Director to ensure that the skills  
; R/ V, L4 S) V& nand attitudes of all subordinate staff are appropriate in light of  
2 {6 S! U8 G3 |3 xthe roles they must perform. This includes providing adequate and  
4 X/ F0 J0 u9 U" r6 b0 K2 p" ~effective training (and re-training) in all applicable and  
7 k3 }6 r; u  `* |4 Fappropriate areas, and ensuring that the Policy and Procedures manual  
3 F5 I* o9 ?2 S$ c/ ais kep up-to-date at all times.6 t' p5 y2 a0 j- z+ Q7 m. U. H  H
·     To ensure all staff are trained in and committed to providing  / i( n' x* j! e1 p; f) a6 G
excellent customer service to all renters.0 o6 y5 |! k; \7 x
·     To work with the Technical Director to arrange staff  $ h9 B/ C( `. S  J8 v/ o+ h" C2 s
scheduling.  To handle payroll related matters, under the guidance  . g- k& p: I$ ]: x' z7 L- G" Q7 C
and direction of the Manager of Venues and Programming, concerning  
! K( D2 Z8 A: c. ~" `the staff of the venues.
$ ]# K' C6 b  |. M# D·     Working with the Manager of Facilities and Operations to ensure  & s  }: g! u3 K2 {+ r& w( S
the appropriate setup/tear down of each venue.
% ~# A# x+ F" i% a" n·     Working with the Manager of Programming and Venues to ensure  
2 z: U9 h; k6 j, @that additional requests such as licensed receptions are arranged." Q; E" S( `3 H6 l
! D& _* c' b; C! I# R+ i" Y

7 W; n4 @" M! U) Q4.          Overall Financial Performance6 E" Z- E# }: L* B! U( B; i; k! m

0 }- c! W0 X( h' g# Va. To ensure, at all times, that the Financial and Administrative  9 o1 h+ J3 q7 U; i% S! Y) t
systems and processes utilized by or within the venues meet the  " y; |6 p/ t" j8 F* X; i: U4 c
appropriate standards, requirements and needs, and contribute in a  1 x  Q# J) M4 G+ V' h4 |
positive way to the smooth operation and success of the venues. This  5 X, J4 K; U) H6 S/ M
includes, but is not necessarily limited to, the following:
' e# a! ]+ G  v* B" I To provide input and expertise in the formulation of appropriate  : Z" @+ z4 r6 e; @8 u& H. t" H
operating budgets covering the venues to the SU´s Manager of  0 ~" d+ ]- T, t3 v* A7 A
Programming and Venues and to discuss and refine those budgets  
) U* `: ]7 Y3 b; V( U$ q, aManager of Programming and Venues, and Manager of Finance &  $ M5 }- a7 U) D7 B3 A! r
Administration prior to their submission for final approval.
* c7 x# R, K/ K; A; b* ^9 }8 x2 G·  To manage the venues in a manner which adequately and effectively  
# D% _( d7 I+ r' o1 a+ Q" K- [reflects the budgets approved for the venues and/or which reflects  
- s0 b# T" o$ x. W6 i  x  Nthe best interests of the venues and the Students´ Union.5 u# w7 @! H9 W/ x
·  To function as the key player in the submission of financial and  7 ~, x$ J# C4 ?  `  S' Q6 q
administrative documentation covering the venues to be used in the  
* L! Z. ~- Q% Z3 w" E0 `compilation of monthly and annual financial statements, and such  
% Z8 }1 H9 K! G; j: g* ?5 @2 Fother reports as may be necessary./ s8 M4 l/ B5 w" z) d
·  To discuss those financial statements and other reports, together  ) {( D# w) l6 @
with all financial and administrative procedures, with the SU´s  0 u# n+ D8 e3 v9 g( V$ ?6 K
Manager of Programming and Venues and Manager of Finance &  
5 i5 z" f6 u* CAdministration with a view to determining and implementing action  2 j' b0 a5 c$ K2 }' I
aimed at improving the financial and/or functional effectiveness of  5 N1 N& ]% H; I  g& o5 M
the Horowitz Theatre." O1 R8 P# o8 \8 z: g. `# T5 T5 [
·  To ensure the existence of adequate, effective and accurate job  
7 \4 n( t5 N# {* ^costing systems to be used in connection with the determination and  9 y" s% S! b) s# r, I
setting of appropriate prices for rental and staffing rates for  
/ R* Q( L1 a& Vevents held in the Horowitz Theatre.1 J% _+ Y9 h6 z9 ]3 J7 H
·  To develop accurate documentation to be used in connection with  1 V3 V( ~7 g# R0 x1 H
the billing clients, and to forward such documentation in a timely    e$ q: W8 f8 _7 w. a; |6 g
manner to the Accounting Department.
8 i' @! B1 _/ K9 V$ x8 m  L·  To recognize, address and handle all matters relating to financial  
& a; \# V' [& `8 J  K+ V9 ~and administrative procedures and systems in a manner which reflects  
3 }# ~, @9 m) K  ythe requirements of the SU´s Manager of Programming and Venues and  ' }+ [1 F+ S/ C  E4 y' J5 o
Manager of Finance and Administration, and in a manner which  
/ I' i/ E: a" U! Ycontributes positively to the smooth operation and success of the  
4 {+ |; X( U8 U. p% y# F2 U( Qvenues./ R" w0 u% ]4 L$ P* W4 ~+ m0 N

- H1 b; `& G; D! Z5.          Overall Roles and Responsibilities
% }) J. ^0 A) ua.   To ensure, at all times, that the systems and processes used in  
% `" ^! p: j1 Drenting the venues meet the appropriate standards, requirements and  
% ]5 R: G6 A7 B9 K* ineeds, and contribute to the smooth operation and success of the  
: {% Y7 o- s0 t( Q% mvenues. This includes, but is not limited to, the following:( m% s* |2 l: C) \

5 P! f0 d. e0 v- b+ V6 j, I8 f% h·  To recognize, develop and set in place such rental procedures as  
# n& C- u0 |- w  h  F" p9 Amay be necessary to ensure the smooth operation of the venues, this  ) ~* r6 A& i4 w5 i% T2 `% ~. f
is to include but not necessarily be limited to systems and processes  ' x% _4 M4 S. I: S% o4 o: }
in the areas of contracts, inventory management, contract evaluation,  9 v2 o# h, j& V9 t
pricing, costing, equipment usage, rental/contract invoicing,  3 L2 }# L: ~/ T- b" x1 E" J
together with such other systems and procedures as may be necessary  
3 p# Y0 F* r4 I) \5 s3 Y# Ito ensure the smooth, secure, efficient, cost-effective and  
! X2 I& B3 N3 t2 y& ^functionally-effective operation of the Horowitz Theatre.+ |: C+ T/ J+ Z! t: |1 @$ v2 O
·  To recognize, develop and set in place such operational procedures  
- _9 ~) O7 _! R7 }as may be necessary to ensure the smooth, efficient and cost-
9 I# z. }  m$ d+ c$ w% |! x$ Yeffective operation of the venues.
" @" ~9 h0 Q3 [2 U7 `: U7 K; H9 P* z·  To negotiate rental lease agreements (contracts) relating to  
) J! n' D4 j: n- a: k1 ndates, rates, staff and miscellaneous charges.
. l( o1 {, _2 k' z/ q+ o8 q6 P·  To ensure that adequate inventory is available at all times and  
$ l9 x- \) T$ b, X) f: lthat such inventory is stored and issued in effective and secure ways.% {- y5 A/ b; H/ x: W7 v
·  To consult with renters as to facility issues in producing their  
4 |8 v' m/ U3 q! Dparticular event in the venues.6 s5 I- j* {/ w8 u$ R7 b1 F( `1 F
·  To provide the venues on-site staff with such documentation and  % p+ r& x5 Q+ Y$ Z4 h5 _9 o
supporting information as it may need to effectively fulfill the  
% H$ `  h: C& U; N# |) v8 Nroles they are to perform to ensure the success of the renter´s event.  V, g! ]6 ~- X7 q+ A& }0 s5 c
·  To produce quotes in respect to staffing costs for a particular  
3 _2 l1 c+ h3 P6 \# Z" x! |rental with consultation with the Technical Director.9 O# {: t9 s8 |: m# `( k
·  To ensure that all queries raised with the venues whether from the  
/ i( W1 U0 z$ Q- [! x" ySU or renters, are promptly and effectively handled and adequately  
2 Q- S+ {; e- [2 `( wanswered, and to ensure that such action as may be necessary in  
* [: N; U7 M; }- Cfollow-up to such queries is taken in a timely manner.: h0 x7 x* {" m8 [* p' ~# m
To ensure that the venues and its capabilities are adequately,  6 q; b* X% {, _# V& k7 L7 M. V
effectively and cost-effectively advertised and promoted, and that  
1 s) H1 K3 t$ R" T" o, Gthe cost of such endeavors does not exceed the budgetary provision  
$ ]+ _4 }; T2 i6 K# Ymade for them unless prior approval is given by the Manager of  ' }) `5 Q; K2 {' I( ?7 X
Programming and Venues.; I0 F% r7 I; l* W
·  To act as an informed and knowledgeable resource in the case of  & }* `4 e$ B2 @  ^3 i
significant challenges and/or problems surrounding the tasks of  " N6 k8 U4 B  n1 v/ Q
marketing, administration, operations, and any such other matters as  ! V6 ~( I) c: L9 ]% j1 D3 a1 f' c
may provide such challenges and/or problems.9 E- [/ L& N( a# V& ?# s$ O$ A$ ?
·  To attend such meetings as may be required to support the smooth  
9 }# n* X$ f1 W4 Toperation of the venues or the Students´ Union as a whole.
5 r9 \6 I& m4 _$ B·  To perform other job-related duties as may be required by the  
& ]$ r& l0 G; DManager of Programming and Venues in order to ensure the smooth and  
8 D, V% {2 M8 S# |  Dsecure operation of the venues.

Administration, and in a manner which contributes positively to the

QUALIFICATIONS:
# v/ W/ {- S  K1)             Minimum two years related post secondary education, or  5 v+ d# D6 Q* V
an acceptable combination of education and experience.
% T$ Y% g/ E4 m; h9 Z2)             Supervisory experience.
" t% O6 P" n2 y, e# @3)             Ability to create new initiatives with little or no
