focuses upon advertising and promoting the venue to faculty,

Theatre and SU Venues home page, newspaper and other advertising; to

opportunities; and to develop press releases and other promotional

· To coordinate tours of the venues for potential renters.

3. Staff and Supervisory Roles and Responsibilities1 z( n* U& I+ G: q4 ~7 S# B' _, p

- C0 n- _# f; z5 O1 r. teffectively staffed, and that the staff utilized by or within the $ C& F' C( ?: T, M+ x: Q
venues meet the appropriate standards, requirements and needs, and 2 N% a. ~+ G7 t4 F4 t" V, f
contribute in a positive way to the smooth operation and success of

· To be responsible, under the direction of the Manager of Venues " w6 L( h0 @4 d+ o
and Programming, for all staff issues including hiring, disciplining, 4 y G% s$ \" ]" i

To ensure that the Horowitz Theatre is adequately supervised at ; c. p4 x# g6 W' s9 Z5 R- f
all times, this includes the development and implementation of such
6 o! o w* M- e, }0 G1 M9 dschedules and rosters as may be necessary to ensure the effective and
# q6 q0 S! P# i) T3 U$ G7 Wcost-effective supervision of the venues at all times during which it 2 }2 N; Y9 F! k% i# F) A, b
is in operation or needs to be in operation.) f! ]; U" e6 r8 p; _* J' y
· To work with the Technical Director, when necessary, to ensure
" s/ g& G3 o3 G/ C3 L8 r, V: ^that an adequate and appropriate level of part-time staff exists to ! r+ [6 u" M5 Z: p
facilitate the smooth operation of the venues and to ensure all

· To work with the Technical Director to ensure that the skills
; r& l$ `0 _) I; ?/ }* M9 Y2 iand attitudes of all subordinate staff are appropriate in light of
$ @, B0 m, ~+ E# c8 Xthe roles they must perform. This includes providing adequate and
, @: H2 }1 z9 V* R" K6 yeffective training (and re-training) in all applicable and

systems and processes utilized by or within the venues meet the ( m4 {6 Z( Y: {+ ~( a2 O
appropriate standards, requirements and needs, and contribute in a

operating budgets covering the venues to the SU´s Manager of

reflects the budgets approved for the venues and/or which reflects " Z. h1 o5 o& i& k
the best interests of the venues and the Students´ Union.

administrative documentation covering the venues to be used in the
' i- O% W; _6 Pcompilation of monthly and annual financial statements, and such

· To discuss those financial statements and other reports, together k0 f; r+ b5 S& @
with all financial and administrative procedures, with the SU´s

aimed at improving the financial and/or functional effectiveness of

costing systems to be used in connection with the determination and & N3 Q0 u7 m1 I( D$ p) W
setting of appropriate prices for rental and staffing rates for

· To develop accurate documentation to be used in connection with + y3 {9 u. ]; n( i6 C
the billing clients, and to forward such documentation in a timely

5. Overall Roles and Responsibilities
$ ?# o8 A$ V ja. To ensure, at all times, that the systems and processes used in 7 y/ M' Q# ?/ _/ u+ e3 y# l7 h1 d' q7 z
renting the venues meet the appropriate standards, requirements and 2 I6 L( `, e! R8 Y
needs, and contribute to the smooth operation and success of the
y, v/ i( ^ v% p+ Hvenues. This includes, but is not limited to, the following:9 {- W; X( s* Z7 k
! ^' k4 {3 n1 d# h· To recognize, develop and set in place such rental procedures as
! n$ b" W' j! @8 Z5 V- @8 Vmay be necessary to ensure the smooth operation of the venues, this / h; y" B7 _+ L
is to include but not necessarily be limited to systems and processes + r8 _6 _% ]: D0 H$ ^
in the areas of contracts, inventory management, contract evaluation,
& P) K6 F) |4 ?# N* T( Tpricing, costing, equipment usage, rental/contract invoicing,
% g. } V9 Z+ H2 [( [5 ztogether with such other systems and procedures as may be necessary # ~$ z# e/ p0 Q; V, z
to ensure the smooth, secure, efficient, cost-effective and
! q f; D* h0 x" Y+ y: [8 c: q/ Jfunctionally-effective operation of the Horowitz Theatre.
' l) `' E3 b' ]· To recognize, develop and set in place such operational procedures
& X5 ? B1 [" l* O" D' ]as may be necessary to ensure the smooth, efficient and cost- 4 X# a. g r0 p6 Q( v. v
effective operation of the venues.* H/ \. n: Q( P6 u$ j& `( k
· To negotiate rental lease agreements (contracts) relating to - ^% t9 P: g1 b. T7 N4 I
dates, rates, staff and miscellaneous charges.
( R) E0 w7 h+ b· To ensure that adequate inventory is available at all times and & h r% m( g3 j8 Y. n$ `) r
that such inventory is stored and issued in effective and secure ways.
! ]! R+ X9 I1 B& F5 k· To consult with renters as to facility issues in producing their
k$ @0 S# C( r! x3 X9 [particular event in the venues.
0 @, f: r, D7 G( `· To provide the venues on-site staff with such documentation and . v- w( E7 D! g& \+ g
supporting information as it may need to effectively fulfill the
! W0 c* L" h8 S) @' T* froles they are to perform to ensure the success of the renter´s event.4 X) ?9 m. [( K( X
· To produce quotes in respect to staffing costs for a particular ; |; b. `- m$ X( v) @5 c [3 m0 g* ]
rental with consultation with the Technical Director.( ]: Z# H: n# `! C; Z
· To ensure that all queries raised with the venues whether from the
& l2 m% T' `7 _# `# a4 @SU or renters, are promptly and effectively handled and adequately
( m# H5 e# Q; _0 m6 b" z( xanswered, and to ensure that such action as may be necessary in
$ x" y/ s( B$ ?) Ufollow-up to such queries is taken in a timely manner.4 G v+ E* f' N2 A
To ensure that the venues and its capabilities are adequately,
4 [$ h5 j2 x: s' ^! F. ?, ? |effectively and cost-effectively advertised and promoted, and that 8 X d0 W; {' C+ L
the cost of such endeavors does not exceed the budgetary provision
; d. q* I3 R" _made for them unless prior approval is given by the Manager of

· To act as an informed and knowledgeable resource in the case of
# q% _( G! s1 }/ a, W3 esignificant challenges and/or problems surrounding the tasks of
3 S. h/ v* d6 c) p. Fmarketing, administration, operations, and any such other matters as
: S2 ]9 z! W f8 k! R- \may provide such challenges and/or problems.
