The Operations Manager - Venues and Programming will operate with a  " M5 ^' v- U' w; A. Z  y
direct line reporting relationship to the SU´s Manager of Programming

The duties of the Operations Manager - SU Venues are diverse and  
1 u5 @' W: b2 _  W6 oextensive, and are targeted at the all round smooth operation and  
" n1 a7 \* ~7 G+ d: ufinancial and operational success of the Horowitz Theatre as well as  & m' e0 L: j, f  |
the logistical organization and smooth rental of the additional  / Y3 c- J& P( t. |4 @
venues within the realm of the Students´ Union.  In the light of that  $ H: P$ I, ]% F2 L& V
breadth and complexity, it is not possible to fully define or  ( m' W2 u; S. Q& F  c' d1 R, D- X
describe all roles and responsibilities in a document of this kind.   
0 q( k! t& `- V) M1 P7 AHowever, the main roles and responsibilities of the Operations  
4 X# p4 r" [+ R% CManager are as follows:

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  8 g7 D) Q, u$ v$ A% s
appropriate standards, requirements and needs, and contributes in a  ! _3 f; C( R" e( S3 W
positive way to the smooth operation and success of the individual  
+ A" X( \  p9 Nrenter.+ H9 P# p* t& U- ?3 U
·     Myer Horowitz Theatre
$ W$ a+ Q5 @; u* ?, b0 m·     Dinwoodie Lounge# P/ Q. F5 _8 V+ T0 ~8 Q) d' E
·     SUB Stage
' I) b& p8 g  K- f, M- v3 k2 i( U" R6 B
b.   This includes, but is not limited to, the following:
! X" n0 }& \) P8 W  _·     To plan the capital and supply expenditures to meet the  
5 p/ r8 B& ^; d' E( v4 Mproduction and facility requirements.
' `* v6 G; F3 V9 }# y·     To ensure the day-to-day compliance of the venues with existing  1 Y- _& R4 ?4 \. E! t* _
safety regulations and building policies./ e% M/ t0 U( b9 x) K3 ]& T
To ensure that the maximum potential of renters is met.- \3 T" N/ C) z

2.        Marketing and Promotion. M' A6 s4 a1 K$ w

a.   To develop and implement a marketing plan for the venues that  
0 Z/ U4 C) o. p( t( nfocuses upon advertising and promoting the venue to faculty,  6 b- r' h; G% _8 Y
students, and internal and external clients on an on-going basis.  3 H" x. |  }3 v. e* N4 [* l
This strategy will include implementing and/or delegating the following:$ G# b- S- D7 S' ?6 S8 d
·     To develop and maintain promotional materials, the Horowitz  $ ?6 d! v/ P+ P  Z* b8 B
Theatre and SU Venues home page, newspaper and other advertising; to  
( ~1 Y# W. L% ~9 H$ y" B0 }  ?& qtake advantage of other internal and external advertising  ; P( {" c0 C# \9 p9 v) r
opportunities; and to develop press releases and other promotional  
, r7 _) ]' O2 A, N8 e2 eliterature on an ongoing basis.( r& b7 N, Z: n: O! m- D4 |8 G: S
·     To coordinate tours of the venues for potential renters., ?& F3 A+ [: t2 m% F2 Q) n% l1 K$ L. x
·     To promote upcoming events in the Horowitz Theatre through the  
+ ?3 c. s7 Z1 Cuse of the Horowitz Theatre Home Page and the SU Events Calendar.% c* j9 i" V2 p! d' P* H
·     To develop new external clients for the venues.

% d; G; n3 F& F) z+ R2 O3.        Staff and Supervisory Roles and Responsibilities" B1 {) S: c( ], G9 K
  F# f9 G+ z/ [+ E
a.   To ensure, at all times, that the venues are adequately and cost- - \- |6 r8 h+ G" M* k! ?" s8 F" `
effectively staffed, and that the staff utilized by or within the  
- e4 A' v( s& Dvenues meet the appropriate standards, requirements and needs, and  
1 }- a3 y1 b7 f& Q9 G2 econtribute in a positive way to the smooth operation and success of  ; ]: N, a1 _. a- R4 n
the renter´s events. This includes, but is not necessarily limited  
5 y- d. I( }  U5 P" H! R8 vto, the following:
+ K# j9 x, J1 V0 G) B·     To be responsible, under the direction of the Manager of Venues  2 I5 ~: ~; f  D5 K8 g6 b
and Programming, for all staff issues including hiring, disciplining,  
5 ]4 P  k; n' E0 W" k) E* m9 v  @evaluating and terminating, as necessary.
1 m8 e3 D; h7 S0 y$ s To ensure that the Horowitz Theatre is adequately supervised at  4 k8 y/ L% k! @) Y% f- a
all times, this includes the development and implementation of such  
! N* ~: D# O4 a, Z6 ~) t& d9 t. Cschedules and rosters as may be necessary to ensure the effective and  3 Q8 L4 h) {0 s5 i- B* J
cost-effective supervision of the venues at all times during which it  
" v4 b6 r3 t  Z" ]is in operation or needs to be in operation.. Y) o- X1 A6 j& M* h
·     To work with the Technical Director, when necessary, to ensure    v8 Y# ^; N9 N( l, Y  O6 \0 u5 X. k0 F
that an adequate and appropriate level of part-time staff exists to  - r# z7 T0 [$ m* x* V
facilitate the smooth operation of the venues and to ensure all  ; U" n: S* |) W' P  T
renters needs are met.
* [" ?, b+ N; F1 ^# Q1 D7 ]/ b9 m·     To work with the Technical Director to ensure that the skills  
+ \+ {" F5 [9 B: i5 `and attitudes of all subordinate staff are appropriate in light of  & d. \( U; u7 R4 u* _
the roles they must perform. This includes providing adequate and  
+ v% b9 ?6 o. X9 _1 ~$ geffective training (and re-training) in all applicable and  
5 \5 O# w' K, A" x; [2 e8 \' Gappropriate areas, and ensuring that the Policy and Procedures manual  2 V! r& x# x3 C+ Y! a5 Z* N, \
is kep up-to-date at all times.
4 q( J1 R3 w! M·     To ensure all staff are trained in and committed to providing  
2 Q. G: ^) W0 l2 u* d  Dexcellent customer service to all renters.
6 V! W2 }/ A- @8 K6 t2 X·     To work with the Technical Director to arrange staff  
( z  j$ `, `8 U  C/ Qscheduling.  To handle payroll related matters, under the guidance  
. c5 Q9 q/ p% }and direction of the Manager of Venues and Programming, concerning  
- e+ R) T+ _4 a6 c3 @the staff of the venues.  k) Z9 \+ ]* T+ U# T
·     Working with the Manager of Facilities and Operations to ensure  
, Y, g% u' U+ d: Ythe appropriate setup/tear down of each venue." X8 I4 ]. o& A8 {& l
·     Working with the Manager of Programming and Venues to ensure  
$ [3 x6 b  e2 bthat additional requests such as licensed receptions are arranged.4 u+ d# T1 i" q) p$ B) R

( C, I1 y& s. }7 b6 o9 @" i& Q4.          Overall Financial Performance

0 o( }* i7 b6 B  ~* j7 Ya. To ensure, at all times, that the Financial and Administrative  5 Z7 _/ T9 Q! M* M
systems and processes utilized by or within the venues meet the  
4 f9 ~$ O2 _' |5 }appropriate standards, requirements and needs, and contribute in a  # ]3 E6 O8 g, _5 Q/ E
positive way to the smooth operation and success of the venues. This  ) H& [* }% R: M2 o, ]# Q8 U% V
includes, but is not necessarily limited to, the following:! R8 z" @% @4 {
To provide input and expertise in the formulation of appropriate  
3 ~# s+ s6 O4 L& \3 qoperating budgets covering the venues to the SU´s Manager of  
$ t+ l7 g, u9 K+ J8 B+ ~' O) @Programming and Venues and to discuss and refine those budgets  
0 l& ^5 u1 ]( p. n2 AManager of Programming and Venues, and Manager of Finance &  
, b! V* n- Y: n$ q0 pAdministration prior to their submission for final approval.; ^8 Y" N1 N; {5 ^7 V; y; I$ I
·  To manage the venues in a manner which adequately and effectively  0 g- R& c" h$ w
reflects the budgets approved for the venues and/or which reflects  5 |- s+ e9 b; H. w0 u9 p
the best interests of the venues and the Students´ Union.% r& b* a  [  q% y( [3 ?' k
·  To function as the key player in the submission of financial and  
* `* d5 q% ?$ v1 b; ]administrative documentation covering the venues to be used in the  5 o# N5 o5 b: ?
compilation of monthly and annual financial statements, and such  
; S+ i2 f% c+ Sother reports as may be necessary.3 R' a4 w- M, f2 q
·  To discuss those financial statements and other reports, together  
8 v( M5 B. B, g6 Z* {with all financial and administrative procedures, with the SU´s  
2 W6 u7 H- }/ v3 }. g0 z0 nManager of Programming and Venues and Manager of Finance &  
, G7 o8 ?; D; {7 L) D; tAdministration with a view to determining and implementing action  
; S' p, d! z: Paimed at improving the financial and/or functional effectiveness of  
8 ?% P& F( k# k3 w; |, @2 gthe Horowitz Theatre.% c6 f3 X4 a  O
·  To ensure the existence of adequate, effective and accurate job  3 V* m: _. b$ G2 ?1 b; f
costing systems to be used in connection with the determination and  
" v( }8 `( {% o( P' p8 g: asetting of appropriate prices for rental and staffing rates for  ' O+ [; ?' x, N' ^3 }" V0 f
events held in the Horowitz Theatre.4 Y; C% g# g) o0 c/ q
·  To develop accurate documentation to be used in connection with  
/ N% `- s+ \* a- b; s, ?the billing clients, and to forward such documentation in a timely  5 g9 a1 \: l9 ], C9 y! |# B( L
manner to the Accounting Department.# g1 O  |# @* n3 S) L2 M
·  To recognize, address and handle all matters relating to financial  0 C( s" O* g. n" c/ k% F
and administrative procedures and systems in a manner which reflects  1 u2 e, w- t3 D9 Z$ O' X7 r
the requirements of the SU´s Manager of Programming and Venues and  
" T7 ^9 V% y) ?* bManager of Finance and Administration, and in a manner which  
) Z+ z" F0 g7 v1 |* `0 r; v  V' N) {$ Hcontributes positively to the smooth operation and success of the  % a3 ^0 D2 s1 U0 k/ n2 N. i
venues.

' l1 t& H) h. K+ j; i5.          Overall Roles and Responsibilities
+ Z5 w& a6 l2 n' t. ~a.   To ensure, at all times, that the systems and processes used in  : B- `: w+ u5 q7 p) E3 R
renting the venues meet the appropriate standards, requirements and  3 S2 ]  v. C$ T6 O' l4 o
needs, and contribute to the smooth operation and success of the  
5 \$ w. ^9 r& B: x. F$ dvenues. This includes, but is not limited to, the following:
* _: U0 |! E) _$ d( H7 p# k. d( v# L4 H; \1 x0 u# u% l
·  To recognize, develop and set in place such rental procedures as  ( `7 E- c3 W% R& y# P  W
may be necessary to ensure the smooth operation of the venues, this  ! E8 q7 A5 C9 p$ K2 ^  c6 v
is to include but not necessarily be limited to systems and processes  
4 y+ S; a3 \# K# P0 B+ |6 uin the areas of contracts, inventory management, contract evaluation,  ; w% P$ G; k' H# u8 h; C2 o
pricing, costing, equipment usage, rental/contract invoicing,    n/ H3 Q' K& i
together with such other systems and procedures as may be necessary  4 h  y+ v4 E; t) a8 ^0 |
to ensure the smooth, secure, efficient, cost-effective and  , K; A: I. m, C9 P; c% J
functionally-effective operation of the Horowitz Theatre.
& P9 [$ X5 @, N* ]9 ~·  To recognize, develop and set in place such operational procedures  ' `$ u; g- V9 V* t( ?4 F  |% J
as may be necessary to ensure the smooth, efficient and cost- ! P. ^- ~" i( _- A9 h3 t4 t
effective operation of the venues.
+ Z" J$ l8 N" N9 D; @- r' F·  To negotiate rental lease agreements (contracts) relating to  
! k( G; ^: Q' T; ]; Y" ]" k3 Tdates, rates, staff and miscellaneous charges., \/ a$ u$ ~* Y3 v
·  To ensure that adequate inventory is available at all times and  
( X3 j7 M) d# athat such inventory is stored and issued in effective and secure ways.
$ Y" u. k; y% _  n/ \: Q* f6 ?·  To consult with renters as to facility issues in producing their  
) x  O' l* Y) ^particular event in the venues.
$ }) X9 q* L9 O/ o: I5 Q3 R0 _·  To provide the venues on-site staff with such documentation and  8 O8 x4 @( H+ i$ Y; C9 _
supporting information as it may need to effectively fulfill the  6 f: X/ g% S7 s( r% }
roles they are to perform to ensure the success of the renter´s event.9 X2 B0 j6 |5 M
·  To produce quotes in respect to staffing costs for a particular  ; X4 q5 h3 g9 R6 ^+ m; F
rental with consultation with the Technical Director.: @5 M7 R; ^& I0 w4 }1 p% e9 B
·  To ensure that all queries raised with the venues whether from the  
! h1 ?3 {3 V3 {( O' M# vSU or renters, are promptly and effectively handled and adequately  
+ t1 h" w5 k  \. janswered, and to ensure that such action as may be necessary in  ' a1 v! v$ o7 m
follow-up to such queries is taken in a timely manner.
( M+ |- v6 L( P+ m$ R8 } To ensure that the venues and its capabilities are adequately,  7 K2 K. G/ N0 b$ o* B. a
effectively and cost-effectively advertised and promoted, and that  1 _: O6 g, h: \. ]/ o  K
the cost of such endeavors does not exceed the budgetary provision  % X7 Z$ r- w0 `
made for them unless prior approval is given by the Manager of  
' B" ]7 d; ~' V0 pProgramming and Venues.
6 [) b8 v7 L  ^·  To act as an informed and knowledgeable resource in the case of  4 l/ U/ ^" I) y$ j; V) s+ D
significant challenges and/or problems surrounding the tasks of  ' v9 L1 A0 V3 C  v3 }
marketing, administration, operations, and any such other matters as  3 g3 m  Y( K6 F6 @$ A/ l8 I
may provide such challenges and/or problems.$ c) {  c# {$ j! A$ V3 C) M
·  To attend such meetings as may be required to support the smooth  
6 V) \* R( q# J+ A3 f( Loperation of the venues or the Students´ Union as a whole.& Y+ F* A/ k3 X- I% d! u& P' c
·  To perform other job-related duties as may be required by the  6 }' W: m; Y3 E& L$ F1 K- w
Manager of Programming and Venues in order to ensure the smooth and  ' g- f& |6 c# Q! t- A% w& C- B  \7 E
secure operation of the venues.
1 m1 C' a# t8 |( e+ k1 W, z  D2 w) X. {·  To recognize, address and handle all matters relating to overall  7 w6 _7 l! h8 \' R4 j4 P+ U
operations in a manner which reflects the requirements of the SU´s

; B8 L8 y; n# u' V- a; vAdministration, and in a manner which contributes positively to the  : H& h" p1 X9 E' w

1)             Minimum two years related post secondary education, or  8 G  L7 z' ?% u; a
an acceptable combination of education and experience.

/ h# L, d; w, N/ K* n( q3)             Ability to create new initiatives with little or no
