9 b5 {' u e! A; Z3 z# j" gThe duties of the Operations Manager - SU Venues are diverse and
! ^; U; r3 h K& w# w% dextensive, and are targeted at the all round smooth operation and
6 ^* c" O9 C+ @1 Gfinancial and operational success of the Horowitz Theatre as well as ' j7 N5 i6 {2 B5 R; m2 L5 S* l
the logistical organization and smooth rental of the additional . m2 O8 q9 s: V
venues within the realm of the Students´ Union. In the light of that
6 f% U1 @' C' s2 Dbreadth and complexity, it is not possible to fully define or
/ X( W, k/ t5 a! a! jdescribe all roles and responsibilities in a document of this kind.

Manager are as follows:

appropriate standards, requirements and needs, and contributes in a # _& ^" m& A) i% b; \
positive way to the smooth operation and success of the individual

safety regulations and building policies.

2. Marketing and Promotion7 P" o/ y' I* k% W

a. To develop and implement a marketing plan for the venues that
) a! |3 o0 ^! }4 y: D2 B! afocuses upon advertising and promoting the venue to faculty, b7 a. f ?3 X1 q. a1 T
students, and internal and external clients on an on-going basis. - E& [9 O) \' q
This strategy will include implementing and/or delegating the following:
d; t# _3 T4 v% w5 |# s· To develop and maintain promotional materials, the Horowitz ^5 D* m9 |: ?
Theatre and SU Venues home page, newspaper and other advertising; to . t( w% J% K& q, y0 s
take advantage of other internal and external advertising - o* N" j& \) f5 ]3 c/ Y; U4 @8 k# F
opportunities; and to develop press releases and other promotional
T1 J- Y9 v+ Cliterature on an ongoing basis.5 I7 ^+ w4 f- K0 |
· To coordinate tours of the venues for potential renters.! p& R. t J& h' e0 |3 v
· To promote upcoming events in the Horowitz Theatre through the ! L# W. `7 {5 M8 c, K8 D6 R2 d( f
use of the Horowitz Theatre Home Page and the SU Events Calendar.; q4 i8 C" c# o
· To develop new external clients for the venues.& O+ g1 X9 R- r7 c2 B

3. Staff and Supervisory Roles and Responsibilities+ h3 N4 | B: n* v
% S1 T$ F& }9 B5 o8 e5 F- V/ o3 b: fa. To ensure, at all times, that the venues are adequately and cost- 3 F9 I7 x) k! ~, t f6 @% A
effectively staffed, and that the staff utilized by or within the
% H- Y7 W: p/ _8 n2 M/ bvenues meet the appropriate standards, requirements and needs, and
! q: T# H4 q. ]* q0 _contribute in a positive way to the smooth operation and success of 9 s0 {; L F2 c
the renter´s events. This includes, but is not necessarily limited
% k9 y$ G) c6 o/ N, p9 hto, the following:: f. v+ }" c( g0 d% `% w, m
· To be responsible, under the direction of the Manager of Venues 3 N- q3 L7 g& z, e" `* l
and Programming, for all staff issues including hiring, disciplining,
! }$ {7 ]9 D! nevaluating and terminating, as necessary., }8 ~4 M9 k9 ^" }* O
To ensure that the Horowitz Theatre is adequately supervised at
( `' ~( c6 o' Fall times, this includes the development and implementation of such 8 p3 t, F" I; h& N) |: D* }
schedules and rosters as may be necessary to ensure the effective and " I9 F$ v, G0 i8 J% B/ k
cost-effective supervision of the venues at all times during which it
" U" U6 r4 d7 Y: Ais in operation or needs to be in operation.
1 i4 j. `2 S- @· To work with the Technical Director, when necessary, to ensure
2 [& ?8 M9 g6 Dthat an adequate and appropriate level of part-time staff exists to 6 H7 @7 @7 `+ L& v/ w1 j" v4 h2 f
facilitate the smooth operation of the venues and to ensure all
& F5 j3 n9 _$ J; G: ]) X, w# [, f$ frenters needs are met.
6 M2 j6 J% z N# k· To work with the Technical Director to ensure that the skills + _' J. A" k' d
and attitudes of all subordinate staff are appropriate in light of
6 D, ?# z/ d. g3 ?9 g) _the roles they must perform. This includes providing adequate and 8 K/ M4 h% p' a* V" f8 E
effective training (and re-training) in all applicable and M/ x7 d& ]" h2 S; u
appropriate areas, and ensuring that the Policy and Procedures manual / ?' K/ J! s- R7 s2 c+ }/ s
is kep up-to-date at all times.
/ T- V' f/ l: s- ?& S. g! S· To ensure all staff are trained in and committed to providing ! I7 S {% k8 b7 ?
excellent customer service to all renters.0 Z/ @# c o; y
· To work with the Technical Director to arrange staff
, L5 Y9 j- l* M9 }" @scheduling. To handle payroll related matters, under the guidance
# X9 M+ f) `6 Aand direction of the Manager of Venues and Programming, concerning 6 o9 F5 T8 N0 s `6 U% N4 j
the staff of the venues.

& | H! j H# B7 k5 b; athe appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.

4. Overall Financial Performance( X, ]; i; E, w! |0 E p/ c- f, j5 `
1 J* x3 h, n5 w3 H* ra. To ensure, at all times, that the Financial and Administrative
. F/ I* \/ d5 g" o# A$ S' Ssystems and processes utilized by or within the venues meet the
5 g( {+ f! L5 o# _/ happropriate standards, requirements and needs, and contribute in a
9 y# w0 I1 {6 E! Cpositive way to the smooth operation and success of the venues. This 6 e+ Z" ]! B% D+ y
includes, but is not necessarily limited to, the following:+ M' Y4 R2 ~% C6 D* s2 k! }: F( I
To provide input and expertise in the formulation of appropriate
3 u# v1 T" l, R$ |4 a& ~+ y; foperating budgets covering the venues to the SU´s Manager of , ?( m) c* |: @: n% z$ `
Programming and Venues and to discuss and refine those budgets - k; g* s1 @4 ^$ R1 z3 i
Manager of Programming and Venues, and Manager of Finance & # h# a6 d$ X4 f
Administration prior to their submission for final approval.
* k: ~( g; D3 T1 h P1 ~& j3 ?7 n· To manage the venues in a manner which adequately and effectively 7 N1 u7 w/ i# Y5 l# m) a/ K
reflects the budgets approved for the venues and/or which reflects
" N: p @1 P$ T* K0 ]* Fthe best interests of the venues and the Students´ Union.
2 m- ~8 E# k" R· To function as the key player in the submission of financial and
& A/ a" k- l, M- gadministrative documentation covering the venues to be used in the
; g: P& M; z5 w9 x- T4 Fcompilation of monthly and annual financial statements, and such
6 h2 C- d K4 m2 n) i, y! }other reports as may be necessary.- ? s, v: a g- ^7 X; W
· To discuss those financial statements and other reports, together

Administration with a view to determining and implementing action

Q, R/ e1 ^% U· To ensure the existence of adequate, effective and accurate job

setting of appropriate prices for rental and staffing rates for ( M7 a+ ~7 X n; {$ }- e& O
events held in the Horowitz Theatre.; b! ]2 N& h. Q% h( b& U9 M j
· To develop accurate documentation to be used in connection with
; a( E( V8 j! z5 X* vthe billing clients, and to forward such documentation in a timely

and administrative procedures and systems in a manner which reflects ; b( _/ N0 Z7 f- z

renting the venues meet the appropriate standards, requirements and
% d$ ]1 ]# j/ ]$ K% Z5 u2 aneeds, and contribute to the smooth operation and success of the & S+ s# S0 }6 j6 ?$ i1 h
venues. This includes, but is not limited to, the following:- c5 l m: S$ y9 D _# C

· To recognize, develop and set in place such rental procedures as
) d3 B; u' G4 Z0 x7 w2 lmay be necessary to ensure the smooth operation of the venues, this
+ Z! H4 p7 f: i' b6 s+ G$ h3 ~# k7 [- ]is to include but not necessarily be limited to systems and processes
7 S7 x( d0 t# g. q7 ]in the areas of contracts, inventory management, contract evaluation,
~: Z' F0 t% y$ b+ Kpricing, costing, equipment usage, rental/contract invoicing,
" a/ u) J( A* v( e/ I4 ?together with such other systems and procedures as may be necessary
8 K' C3 f" \( \7 c* Eto ensure the smooth, secure, efficient, cost-effective and
0 l7 F- U! B i* }6 u% rfunctionally-effective operation of the Horowitz Theatre.
6 {- U1 K0 |6 ~4 f/ I8 M· To recognize, develop and set in place such operational procedures
, ?4 v0 ]" {) T& S) m3 [# D, g" Oas may be necessary to ensure the smooth, efficient and cost- ) I/ H2 n, N. y2 O# A; F
effective operation of the venues.9 w4 h: Q' }+ B( L. Y
· To negotiate rental lease agreements (contracts) relating to ! L% O6 R" C6 Z' f7 m: Z
dates, rates, staff and miscellaneous charges.' C* V* M$ @% w/ _; ?
· To ensure that adequate inventory is available at all times and
* p$ w+ ^& g/ G+ J+ L: |& wthat such inventory is stored and issued in effective and secure ways.
- D+ s/ Q4 |. v' S; p' z' q. P( n· To consult with renters as to facility issues in producing their
) q$ t% e V8 A' aparticular event in the venues.' a5 T4 [! A+ ~7 _- P
· To provide the venues on-site staff with such documentation and ' U% V$ g6 v; d, K. g+ C4 u' {
supporting information as it may need to effectively fulfill the - |9 y- S8 l# t: H+ J2 y
roles they are to perform to ensure the success of the renter´s event.2 t$ Y: V* n( P' |9 y+ G# I
· To produce quotes in respect to staffing costs for a particular
4 S! n% o5 [4 t* G5 @1 crental with consultation with the Technical Director.
1 D7 S* k- X5 o9 C· To ensure that all queries raised with the venues whether from the : D( R3 y; ?8 O6 A6 m
SU or renters, are promptly and effectively handled and adequately & C8 H, \( [0 F+ I* k5 V
answered, and to ensure that such action as may be necessary in
+ l9 G( o$ l# q; H2 Q+ { u( bfollow-up to such queries is taken in a timely manner.
3 ^- R7 Q1 S9 q0 g8 ~" H* p# z4 x To ensure that the venues and its capabilities are adequately, + u$ \1 i6 x( f) |) G. ~
effectively and cost-effectively advertised and promoted, and that 0 W! B6 f4 F# q& I+ X6 N' B- g
the cost of such endeavors does not exceed the budgetary provision - p# X8 L2 D5 e0 m# b
made for them unless prior approval is given by the Manager of % s$ \" @+ z6 o2 W

· To act as an informed and knowledgeable resource in the case of ( \- f; l9 a- x, q
significant challenges and/or problems surrounding the tasks of - F" L/ S- g; e9 d8 h( |2 D4 o
marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth ; ~' q" C& I& t- [2 T. k
operation of the venues or the Students´ Union as a whole.
