direct line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES$ ^5 ^: Z+ Q- ~* g5 t# d) B
The duties of the Operations Manager - SU Venues are diverse and  
8 g& m" c. k& pextensive, and are targeted at the all round smooth operation and  ; o- w$ s6 j3 O* E' k
financial and operational success of the Horowitz Theatre as well as  
& E" v- H0 @8 g- L8 R/ d" rthe logistical organization and smooth rental of the additional  
  u/ c9 r2 E& ?$ B; hvenues within the realm of the Students´ Union.  In the light of that  
! d+ e0 h7 |$ m8 {" Q7 F6 k& L; Nbreadth and complexity, it is not possible to fully define or  3 L; a0 w$ `6 h
describe all roles and responsibilities in a document of this kind.   
& T' w7 f9 r- J6 LHowever, the main roles and responsibilities of the Operations  
' N5 a1 ]' z# a* AManager are as follows:

1.        Space Roles and Responsibilities! Y3 w% k9 r2 K: L5 H1 {0 H- v

a.   To ensure, at all times, that the venues listed below meet the  
$ u. Y2 F% q# N0 s3 g, uappropriate standards, requirements and needs, and contributes in a  
4 L5 [! f& v6 ~" n* h! A) Bpositive way to the smooth operation and success of the individual  
2 o+ ~. a7 R* I0 K/ M3 V* a2 T: K) ^renter.
6 a1 q7 @7 {  ^·     Myer Horowitz Theatre
5 w' t( J/ A) ~·     Dinwoodie Lounge
' u) C: o# o( Q, p" R·     SUB Stage

b.   This includes, but is not limited to, the following:: f. J9 s2 w: ?; }/ {
·     To plan the capital and supply expenditures to meet the  5 d+ `  \% U0 f7 `& i% U& w2 e
production and facility requirements./ |; O0 i) g& O' @: j+ W/ s/ ?, d
·     To ensure the day-to-day compliance of the venues with existing  
& p5 W! F  v, V5 k# q  l' _safety regulations and building policies.6 g0 J% i) V% [% ]" @
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
6 ]9 ?4 ~9 r6 D; m; F
/ y2 J2 J% F/ u1 T6 _a.   To develop and implement a marketing plan for the venues that  ( F1 P; T/ v- L4 I* B- o
focuses upon advertising and promoting the venue to faculty,  
) x# A  `$ N4 s4 D$ s, Sstudents, and internal and external clients on an on-going basis.  6 \4 d- K. ~6 a" ]
This strategy will include implementing and/or delegating the following:
$ J  r2 \. t2 c+ i1 o3 [·     To develop and maintain promotional materials, the Horowitz  
( a2 G- }2 W4 `) F( kTheatre and SU Venues home page, newspaper and other advertising; to  % J: P3 j3 j* g9 G3 z
take advantage of other internal and external advertising  9 \7 t) S5 x. L6 u# w* W, X: R  s0 x' n
opportunities; and to develop press releases and other promotional  
  o5 E" ^) o0 z1 B/ N0 B8 Nliterature on an ongoing basis.: [4 Z4 Z* l0 {3 A
·     To coordinate tours of the venues for potential renters.
  p5 @) t7 n+ a6 A1 Z/ j9 d·     To promote upcoming events in the Horowitz Theatre through the  9 O; N1 Q: t' |) Q; J
use of the Horowitz Theatre Home Page and the SU Events Calendar.
% u7 X$ S3 S3 Z& U! T* l9 w·     To develop new external clients for the venues.

5 d2 S% q3 s2 a, y$ Z8 E6 }* F3 c7 E& _4 B
3.        Staff and Supervisory Roles and Responsibilities
, t+ ^- L: _3 p) e5 I% J2 b3 v7 `) M* s% j. z# `0 E
a.   To ensure, at all times, that the venues are adequately and cost-
5 V8 ^$ N% Y5 veffectively staffed, and that the staff utilized by or within the  
- k! Y  l1 {( J4 [venues meet the appropriate standards, requirements and needs, and  
# \# M! O- {' z& f# z% {8 Fcontribute in a positive way to the smooth operation and success of  * l$ u$ I# G/ q, C, H* i7 x, U
the renter´s events. This includes, but is not necessarily limited  1 h8 u$ Y5 T: E7 u- r
to, the following:
" q! T9 M6 z" U·     To be responsible, under the direction of the Manager of Venues  2 @5 l6 ?2 C, n1 g
and Programming, for all staff issues including hiring, disciplining,  
/ l; Q% p9 J9 L, C( w5 i, C9 Zevaluating and terminating, as necessary.. n! e! |: j/ A% `
To ensure that the Horowitz Theatre is adequately supervised at  ( }, K/ B4 Z6 @7 `
all times, this includes the development and implementation of such  ) q2 H: X  w0 N/ b  j' P
schedules and rosters as may be necessary to ensure the effective and  ) P; a4 y! s# l! l
cost-effective supervision of the venues at all times during which it  ' ~! A9 ]6 T. M( ]6 T
is in operation or needs to be in operation., k! ^: ]! g; S: `. Y. o- u
·     To work with the Technical Director, when necessary, to ensure  
  I  v9 t8 o/ |# }that an adequate and appropriate level of part-time staff exists to  * W( P( W. \2 a2 S0 C* {" U
facilitate the smooth operation of the venues and to ensure all  ! E! F0 e4 w9 p, R: Y
renters needs are met.
" L7 k6 o4 J  l& B4 @7 T% E# E·     To work with the Technical Director to ensure that the skills  ! U( i; F: v1 t* E" o' V
and attitudes of all subordinate staff are appropriate in light of  0 [. r1 l  m2 b
the roles they must perform. This includes providing adequate and  6 n% Q- n$ m0 X& F2 ?$ N
effective training (and re-training) in all applicable and  
) G7 Z2 Y# c  q% c( d/ m" `" W- kappropriate areas, and ensuring that the Policy and Procedures manual    H9 `' ?, j( s; {- A- p
is kep up-to-date at all times.8 h. u5 C' E  w8 ]$ N) ^
·     To ensure all staff are trained in and committed to providing  
) `- G+ S4 K% |1 S7 \1 Zexcellent customer service to all renters.
) X6 M+ Y8 J  F# g5 @* i; s·     To work with the Technical Director to arrange staff  - Z; H! l7 T! J: m/ A6 j
scheduling.  To handle payroll related matters, under the guidance  , S7 F* {' [' e; i  t" [& ^5 p3 p
and direction of the Manager of Venues and Programming, concerning  + S4 \) _9 |) {3 v- P2 h/ H4 x
the staff of the venues.  R& n  n5 f9 m7 d" L
·     Working with the Manager of Facilities and Operations to ensure    `, A6 K8 s5 o) D
the appropriate setup/tear down of each venue.
: T2 ?+ D1 z  r! ~+ X. I·     Working with the Manager of Programming and Venues to ensure    h" T4 J' N6 E) f, ]2 V4 k
that additional requests such as licensed receptions are arranged.) E6 g- U, I# F) P3 z9 s  i  {8 Q

' n8 ~! T: J. i& A( ]; R; z  la. To ensure, at all times, that the Financial and Administrative  
7 c7 G. e  H' O8 Y% ~systems and processes utilized by or within the venues meet the  
) B$ v+ w9 s) l/ Sappropriate standards, requirements and needs, and contribute in a  8 J2 \' M7 h3 ?+ M* ]+ J
positive way to the smooth operation and success of the venues. This  
2 x, _& z; k; `7 Z) f. q  [includes, but is not necessarily limited to, the following:3 K1 N; k  O0 N) `0 g# _
To provide input and expertise in the formulation of appropriate  
% F# \- y# Z/ soperating budgets covering the venues to the SU´s Manager of    ]6 w6 p* {+ p' a( [2 y
Programming and Venues and to discuss and refine those budgets  0 a1 ]  q& ~9 I; d" m4 |2 k
Manager of Programming and Venues, and Manager of Finance &  
2 _" s; W* q) Q3 K9 S" rAdministration prior to their submission for final approval.
% l6 o+ t9 j- ^3 D- z; x·  To manage the venues in a manner which adequately and effectively  8 A* _1 V7 N3 K: _' t. D# U; `
reflects the budgets approved for the venues and/or which reflects  1 J6 k- D2 ~/ _1 V
the best interests of the venues and the Students´ Union., N+ r7 L/ J7 {
·  To function as the key player in the submission of financial and  2 }2 s+ O, U: f6 L4 n
administrative documentation covering the venues to be used in the  # W5 ]) r% g1 k- ]( M5 {. k
compilation of monthly and annual financial statements, and such  
2 O# ~2 t. C3 Oother reports as may be necessary.) u" r5 `8 F" w4 Z, a
·  To discuss those financial statements and other reports, together  , r" Y$ a8 |6 d( |5 |
with all financial and administrative procedures, with the SU´s  
" r( A& S* ^  k% K+ I1 G: q2 ^1 tManager of Programming and Venues and Manager of Finance &  9 d. Z3 F2 S( V, `- {& O& q9 u
Administration with a view to determining and implementing action  
- {- I5 ]9 d1 g5 Aaimed at improving the financial and/or functional effectiveness of  
9 d3 Z9 W! S' B) A# \# Ethe Horowitz Theatre.1 F5 X( [7 G( G; Z9 X$ A
·  To ensure the existence of adequate, effective and accurate job  
7 i1 W  ?3 Y, ~& J( \costing systems to be used in connection with the determination and  
/ \8 l  P* h8 V+ ], ]" u# ysetting of appropriate prices for rental and staffing rates for  
4 R6 _1 w5 o/ }: r- g) qevents held in the Horowitz Theatre.. m( A3 p' _% y' z' c- ?) Z! P* g
·  To develop accurate documentation to be used in connection with  
. b7 c9 _0 H8 e' m, Mthe billing clients, and to forward such documentation in a timely  
; _- H6 a' Y2 l! n: s1 ^' k6 |0 ?+ C7 pmanner to the Accounting Department.
) o+ }1 ^! B5 c·  To recognize, address and handle all matters relating to financial  
% S; a! A' N7 S, w: F. Oand administrative procedures and systems in a manner which reflects  % \. x1 B. C0 V0 U' g
the requirements of the SU´s Manager of Programming and Venues and  
8 O/ E$ b- X# P6 o1 o5 ~7 I; hManager of Finance and Administration, and in a manner which  & w0 g+ O: f& M& Q
contributes positively to the smooth operation and success of the  0 G) |- u1 [) z0 f' i1 {. l% x
venues.
2 F0 b; k& x( Q- A$ T
% z, Z3 S6 r8 ~5.          Overall Roles and Responsibilities
/ R9 o8 Y6 e6 C, y# ~3 ra.   To ensure, at all times, that the systems and processes used in  
. W3 a! d$ [4 r$ ]renting the venues meet the appropriate standards, requirements and  
6 y  |& v1 C; U  i# T5 Y/ sneeds, and contribute to the smooth operation and success of the  : ]8 B  |: f9 ~3 S1 [! W
venues. This includes, but is not limited to, the following:
. f) U( U& P" Q& G+ c; p, Q% N1 V. u# V) T0 o9 |! T
·  To recognize, develop and set in place such rental procedures as  
& F  {, F' j/ K: E4 z7 |& J/ T7 lmay be necessary to ensure the smooth operation of the venues, this  
' B. S% X/ \- ?- C8 S# I, j. mis to include but not necessarily be limited to systems and processes  
3 P* Z3 o( M0 @+ n6 ?+ _in the areas of contracts, inventory management, contract evaluation,  ( M& n" V0 U3 }; f
pricing, costing, equipment usage, rental/contract invoicing,  
; W( p! y! M% ltogether with such other systems and procedures as may be necessary  & z+ M! S9 g: _* e7 `3 n6 ^# g8 v9 n
to ensure the smooth, secure, efficient, cost-effective and  " D: U- O5 ~! i3 T9 ?# G+ g, s0 M/ T" F
functionally-effective operation of the Horowitz Theatre.
, v( M. C# s' c- x. L; H) V( z·  To recognize, develop and set in place such operational procedures  
4 `! Q  ?/ @# g4 u1 \/ Fas may be necessary to ensure the smooth, efficient and cost- # C" R' S" h$ p1 y- ~0 Y
effective operation of the venues.
( @, z5 q( q& g+ P  p·  To negotiate rental lease agreements (contracts) relating to  8 ?& E% b+ ]4 y8 y3 Q& w& ^, |
dates, rates, staff and miscellaneous charges.  r- I" T! M) o
·  To ensure that adequate inventory is available at all times and  - R' Z% b' ~8 ~  m; }
that such inventory is stored and issued in effective and secure ways.
7 m1 k" o7 x4 d$ N, s) a& ?·  To consult with renters as to facility issues in producing their  ( ^( U) j1 c: e$ f' c
particular event in the venues.
/ Z) i4 D0 z5 {·  To provide the venues on-site staff with such documentation and    `- k1 S& \; ~0 K4 W
supporting information as it may need to effectively fulfill the  , ~5 e1 ]' G- y2 z" [" ]0 s, E; d
roles they are to perform to ensure the success of the renter´s event.$ G0 T3 ]. W% g! \. C* [& @
·  To produce quotes in respect to staffing costs for a particular  / [! A1 L1 w1 W4 U
rental with consultation with the Technical Director.
9 Q, U2 g/ S' R% m·  To ensure that all queries raised with the venues whether from the  
! A9 I4 E" g1 Q! G! H% qSU or renters, are promptly and effectively handled and adequately  
8 `$ R$ n5 E- b- F5 y; N6 i4 u7 ranswered, and to ensure that such action as may be necessary in  
% ?- G1 z- F8 b. pfollow-up to such queries is taken in a timely manner.5 K9 u- L! s& ?/ W+ S0 {
To ensure that the venues and its capabilities are adequately,  4 R+ H$ L% ^  G; k2 E3 `
effectively and cost-effectively advertised and promoted, and that  
1 H0 p5 D' |6 M  _$ Y7 Sthe cost of such endeavors does not exceed the budgetary provision  / E2 d: z  l& q3 P3 n
made for them unless prior approval is given by the Manager of  ) z; Q* u2 W/ O! S3 [7 J
Programming and Venues.- E" L, v6 d' I2 q
·  To act as an informed and knowledgeable resource in the case of  
6 f, k5 X+ d- Q; F7 q1 ysignificant challenges and/or problems surrounding the tasks of  
, P" l* o: F' ]0 imarketing, administration, operations, and any such other matters as  
" W* N6 ^( {) e+ S$ Smay provide such challenges and/or problems.1 z- L. }3 r) P+ n. a# s$ Z" X
·  To attend such meetings as may be required to support the smooth  3 p9 M2 j+ ]8 w. R! k# A( N! h
operation of the venues or the Students´ Union as a whole.$ Q* q3 K+ J' W4 \
·  To perform other job-related duties as may be required by the  0 u# F9 i- i7 J
Manager of Programming and Venues in order to ensure the smooth and  5 s9 v$ l  C) V  d* r& h9 B8 {0 h
secure operation of the venues.

QUALIFICATIONS:

an acceptable combination of education and experience.
