The duties of the Operations Manager - SU Venues are diverse and  
4 a! z5 F$ |5 U" D6 D! jextensive, and are targeted at the all round smooth operation and  
3 j( X1 {8 E5 J# d% s0 ifinancial and operational success of the Horowitz Theatre as well as  
  n/ F6 O9 K/ d) N2 j4 t2 R1 Wthe logistical organization and smooth rental of the additional  
: B0 F9 A4 d9 W5 Y6 |venues within the realm of the Students´ Union.  In the light of that  
# K, s% F* E0 N7 K9 f4 mbreadth and complexity, it is not possible to fully define or  # g. T7 r3 |9 t5 y* t0 ^# l
describe all roles and responsibilities in a document of this kind.   * Z$ n) G/ k1 o5 ]
However, the main roles and responsibilities of the Operations  
2 S9 O. {$ \. eManager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  . F8 U8 `1 V8 h
appropriate standards, requirements and needs, and contributes in a  ; h/ v/ d1 ]  j+ u3 {
positive way to the smooth operation and success of the individual  0 b- \; I" q2 {
renter.4 }3 p! p! C: v2 O2 d
·     Myer Horowitz Theatre( H& K3 B/ Q; e3 M
·     Dinwoodie Lounge; @4 W0 ~8 B$ ^' v8 w
·     SUB Stage' S  h& s& D/ m: G5 w. T

5 D/ D  D! n, u  z% X8 k, \# zb.   This includes, but is not limited to, the following:
3 ]& d: q7 r1 p: T+ s/ J( T·     To plan the capital and supply expenditures to meet the  ( _" e% l$ A: c  U* E
production and facility requirements.
/ d9 L; N9 N! j6 ^5 ^) m( I# W" |' }·     To ensure the day-to-day compliance of the venues with existing  
! F5 f" j9 W9 ~7 Y) z" ]safety regulations and building policies.
+ C( N. F+ y6 [# z+ B% ^7 CTo ensure that the maximum potential of renters is met.& \! ?- d2 c1 j
2 H8 B2 Y6 y) E4 X4 d3 v7 p
2.        Marketing and Promotion
7 \! Z  B# Q% |0 C1 y7 y7 J
9 l5 M: ^! p5 E) Ma.   To develop and implement a marketing plan for the venues that  3 B6 y% r4 |& w# L; J( n2 w
focuses upon advertising and promoting the venue to faculty,  - }3 S) |) X5 P/ i
students, and internal and external clients on an on-going basis.  
7 `! ?, s4 Y9 p" ~3 rThis strategy will include implementing and/or delegating the following:8 A/ z4 \0 W- H2 Z
·     To develop and maintain promotional materials, the Horowitz  , J7 d8 k9 Z: I$ Z; n/ G# @! ]
Theatre and SU Venues home page, newspaper and other advertising; to  - R% _+ d2 V; P, i
take advantage of other internal and external advertising  6 f) S% B; {# J: T% \# T
opportunities; and to develop press releases and other promotional  
" \  W& @0 p3 A$ T  [; Aliterature on an ongoing basis.2 ?/ c- a5 E; c9 L/ S4 [
·     To coordinate tours of the venues for potential renters.) b( {5 H6 m9 I6 ~; v; y' U
·     To promote upcoming events in the Horowitz Theatre through the  
9 K' K/ \2 u# K4 ~6 z& T8 ?use of the Horowitz Theatre Home Page and the SU Events Calendar.$ M+ Q3 j% r2 G9 y6 S9 y
·     To develop new external clients for the venues., ^; |% |! y( v0 z( j3 o
' p9 k3 j7 o- D9 L7 ]

' m1 Q( W) T: N: n, f* t4 Z+ Y3.        Staff and Supervisory Roles and Responsibilities
  a1 z$ }) @5 N9 b& c  h* M1 j- D
a.   To ensure, at all times, that the venues are adequately and cost-
# i% r, V" h; E5 b9 `effectively staffed, and that the staff utilized by or within the  9 s% }9 f( n& ^- Z
venues meet the appropriate standards, requirements and needs, and  - a- t0 X3 B: x  ?  K: i
contribute in a positive way to the smooth operation and success of  
  [% R% N1 H) ?the renter´s events. This includes, but is not necessarily limited  ( |; V, U) [5 }6 q; V9 e$ Q
to, the following:1 @9 A1 s; p; R# g# `( x
·     To be responsible, under the direction of the Manager of Venues  ( Z. T, r9 x' j% V
and Programming, for all staff issues including hiring, disciplining,  ! k5 O( U  B) f7 X
evaluating and terminating, as necessary.0 m4 L  ^" k, y5 B0 t
To ensure that the Horowitz Theatre is adequately supervised at  
) {9 l" j6 h# n1 z% fall times, this includes the development and implementation of such  
4 m9 z8 T- x/ n% W* {schedules and rosters as may be necessary to ensure the effective and  
, d  d* C, e1 z) z2 ncost-effective supervision of the venues at all times during which it  # Y5 S; ]* w1 \) ~
is in operation or needs to be in operation.
6 y; u: ~# f, E& e·     To work with the Technical Director, when necessary, to ensure  " \& ~. M0 G# m: s
that an adequate and appropriate level of part-time staff exists to  
7 t+ e& \  {$ K1 p9 L! P  L3 ^8 [( Ufacilitate the smooth operation of the venues and to ensure all  
$ T+ N* Q* [1 \  D# v, v" Qrenters needs are met.
, k- ~: ~/ w; s. a. r·     To work with the Technical Director to ensure that the skills  " ~) k: ^7 H1 K+ y) F1 n0 ^9 D% G
and attitudes of all subordinate staff are appropriate in light of  
, l: }) s+ [) Q4 P/ O* Athe roles they must perform. This includes providing adequate and  
2 C" C# U6 v/ Oeffective training (and re-training) in all applicable and  # S0 C- |, k+ G" Y+ ^! J
appropriate areas, and ensuring that the Policy and Procedures manual  8 r+ k- d- @4 u& q
is kep up-to-date at all times.' J+ I, D* M4 i
·     To ensure all staff are trained in and committed to providing  " x) p, [5 S& S1 M  y
excellent customer service to all renters.
; X+ ~5 C3 o* {# L3 ?/ h9 @·     To work with the Technical Director to arrange staff  
/ |. ~! g7 ^, tscheduling.  To handle payroll related matters, under the guidance  
: h& Y8 L5 }! m2 k  mand direction of the Manager of Venues and Programming, concerning  5 N) X1 M" a; f  e/ P
the staff of the venues.% i1 s  ?$ V) k% e6 y
·     Working with the Manager of Facilities and Operations to ensure  , f% q" R' G1 u
the appropriate setup/tear down of each venue.2 j. g8 {7 L7 z) h' N* P
·     Working with the Manager of Programming and Venues to ensure  8 d0 x& |- R" I: p  g! o: W0 v
that additional requests such as licensed receptions are arranged.& Z% O- n& f# j! k2 T% ], j

a. To ensure, at all times, that the Financial and Administrative  / Y9 g( p) v5 J
systems and processes utilized by or within the venues meet the  
' F" J2 h$ m, Q  Xappropriate standards, requirements and needs, and contribute in a  8 P7 c+ s* Y0 ^) C; r/ w
positive way to the smooth operation and success of the venues. This  
  T* l( M/ t, L/ X* Zincludes, but is not necessarily limited to, the following:7 a$ X3 ^( Z. U) k5 C5 X% _
To provide input and expertise in the formulation of appropriate  
2 A1 k+ Z( p3 t" C6 W' }operating budgets covering the venues to the SU´s Manager of  $ m; s, Q. s  u* e. W
Programming and Venues and to discuss and refine those budgets  
3 A) n% @& Z. T# T9 W1 q# kManager of Programming and Venues, and Manager of Finance &  % o* E5 S; T& Q" x) {# i) O
Administration prior to their submission for final approval.
$ @4 E# P, `: U0 k# t& z& @9 l5 U' }·  To manage the venues in a manner which adequately and effectively  3 F, q- r: w" `' n3 p2 b2 `
reflects the budgets approved for the venues and/or which reflects  
9 ]. ^: y' [8 b+ z+ Y$ R: P+ hthe best interests of the venues and the Students´ Union.* B6 K- {0 a, f: K1 S& b
·  To function as the key player in the submission of financial and  
' e3 T' V" _( @3 Ladministrative documentation covering the venues to be used in the  
( Y* r8 r% l4 H5 I3 xcompilation of monthly and annual financial statements, and such  
! ~% Q7 \' B8 gother reports as may be necessary.
* K) x  A3 Q4 O3 \·  To discuss those financial statements and other reports, together  
) D2 U( y  T- l# I+ E  t! l, ywith all financial and administrative procedures, with the SU´s  
' i0 g/ z9 ?5 ^% R2 Q+ x) TManager of Programming and Venues and Manager of Finance &  
" e9 f/ ], n+ M0 RAdministration with a view to determining and implementing action  
6 d3 u5 w7 [/ {4 Q: daimed at improving the financial and/or functional effectiveness of  
/ o5 v0 i3 M& m$ Fthe Horowitz Theatre.1 T1 h; ~9 c2 h0 ]( E4 O
·  To ensure the existence of adequate, effective and accurate job  - W2 m! S1 w! h& [+ N0 j! _
costing systems to be used in connection with the determination and  7 s# k" o+ B& i4 P3 w" k! k
setting of appropriate prices for rental and staffing rates for  
% S0 j8 z4 d0 S' qevents held in the Horowitz Theatre.
9 b1 `* `3 y% H% C1 t·  To develop accurate documentation to be used in connection with  
: [! ?5 s# J: G* Uthe billing clients, and to forward such documentation in a timely  
6 M" k4 S; t% W' d+ E( amanner to the Accounting Department.
, ?) z! y2 ?& ]% f) w  W2 O·  To recognize, address and handle all matters relating to financial  
6 [6 q. n3 ?: d8 i# p2 Land administrative procedures and systems in a manner which reflects  5 M  Q9 g4 E) R8 H: Z0 H) o
the requirements of the SU´s Manager of Programming and Venues and  5 ]6 T3 O9 E2 X2 `0 f
Manager of Finance and Administration, and in a manner which  
! o& j- a# k6 t  `$ q) ocontributes positively to the smooth operation and success of the  
7 f% @; z. [# [! o: s9 Ovenues.

" L3 n& ?: A! Q5.          Overall Roles and Responsibilities) _. Q- J* a8 i
a.   To ensure, at all times, that the systems and processes used in  7 f/ y8 d1 n2 s; [1 o+ d
renting the venues meet the appropriate standards, requirements and  8 B2 j1 B- N  i& ~3 A
needs, and contribute to the smooth operation and success of the  : _8 {- b/ @! }6 p( [
venues. This includes, but is not limited to, the following:- @) }7 f, t& ?4 G% U  _, N/ i
9 x9 P7 a" C0 P) Z' f
·  To recognize, develop and set in place such rental procedures as  
2 i: X4 d8 q% dmay be necessary to ensure the smooth operation of the venues, this  
  p8 Z% N( ^, _, A8 Tis to include but not necessarily be limited to systems and processes  . j( }. J/ n1 M# H/ |$ q2 g( k* x
in the areas of contracts, inventory management, contract evaluation,  , s% D* `! q! F8 Q
pricing, costing, equipment usage, rental/contract invoicing,  : a1 x7 [. a# X+ E; t) J
together with such other systems and procedures as may be necessary  
/ ?3 H# ~) M2 F! L0 E. Lto ensure the smooth, secure, efficient, cost-effective and  
8 E7 ^2 K+ \8 j7 Q3 i7 R8 N6 rfunctionally-effective operation of the Horowitz Theatre.
2 O  B. G, q5 r$ |9 Q6 O; X8 H·  To recognize, develop and set in place such operational procedures  5 _0 l9 _+ w! D
as may be necessary to ensure the smooth, efficient and cost-
8 M  l) Z* z1 z" v% s5 r+ x- yeffective operation of the venues.
" L) G5 O3 x  M·  To negotiate rental lease agreements (contracts) relating to  
4 O. M1 A7 m) u! f' Vdates, rates, staff and miscellaneous charges.
( f5 Z; L# }+ K4 N- Q0 F·  To ensure that adequate inventory is available at all times and  * e1 M& G6 D. j. x: I- `1 n, W
that such inventory is stored and issued in effective and secure ways.
# c- E$ \9 s" X$ t% j5 x1 v$ ~' s·  To consult with renters as to facility issues in producing their  
% a) v0 S8 s1 L: q" r  Uparticular event in the venues.
6 w% i4 ?6 A+ q0 }8 P( b% N# g* h+ |·  To provide the venues on-site staff with such documentation and  
1 `: s  L; o1 m. d" Nsupporting information as it may need to effectively fulfill the  
  ~- q9 q2 ^" @4 t# s) Aroles they are to perform to ensure the success of the renter´s event.2 a+ K) u* H. K/ V
·  To produce quotes in respect to staffing costs for a particular  
9 ^! k( ?4 {4 n4 b0 l9 Krental with consultation with the Technical Director.
0 I: c/ o; q) e- w7 v·  To ensure that all queries raised with the venues whether from the  
2 ^4 j/ U  p) {+ w, B& a& Q7 b) ~SU or renters, are promptly and effectively handled and adequately  , R, d" a& l1 O8 {4 H6 T
answered, and to ensure that such action as may be necessary in  
$ L$ p- x" i. Y5 t9 ?follow-up to such queries is taken in a timely manner.
& z; R9 U1 g+ H9 Z* l9 Y To ensure that the venues and its capabilities are adequately,  
1 B% @# f8 r$ C' v% @# n. Oeffectively and cost-effectively advertised and promoted, and that  
4 r9 K1 {$ P( D' X  |6 ]9 t; N9 }the cost of such endeavors does not exceed the budgetary provision  
( H& \% f. Y9 y" T( s7 O6 z- mmade for them unless prior approval is given by the Manager of  ) E, S* h! @& ~: |  Y# ?3 b
Programming and Venues., w' N' y" v) K: _. w
·  To act as an informed and knowledgeable resource in the case of  ) j. g6 x1 }  Q, m; C
significant challenges and/or problems surrounding the tasks of  
2 O6 F. V. z, T5 n; ~0 X/ h7 Omarketing, administration, operations, and any such other matters as  . w8 r1 }. T# _% w* n. B
may provide such challenges and/or problems.
, ]8 e9 O. ?+ D( V! `·  To attend such meetings as may be required to support the smooth  
& K5 r" Z; l) x- N6 o: S* eoperation of the venues or the Students´ Union as a whole.3 w. {: d: X4 Z, H
·  To perform other job-related duties as may be required by the  ) l% i( |1 K* Z) z
Manager of Programming and Venues in order to ensure the smooth and  # H+ f/ Q' ^) S- t
secure operation of the venues.# N4 k3 K# D% r; z
·  To recognize, address and handle all matters relating to overall  1 B  {0 R8 {* ]4 I" a" I
operations in a manner which reflects the requirements of the SU´s  
1 m* j1 f9 u2 g2 C- M7 X# sManager of Programming and Venues, and Manager of Finance and  
9 A+ H4 ]0 ~6 \% H7 f# v6 w3 tAdministration, and in a manner which contributes positively to the  . B/ U7 J# X9 B# a7 J
smooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:

3)             Ability to create new initiatives with little or no
