The duties of the Operations Manager - SU Venues are diverse and ! T3 S4 s$ W% _8 y2 x& Z* Q
extensive, and are targeted at the all round smooth operation and
. x8 R" J& G# O3 l- Zfinancial and operational success of the Horowitz Theatre as well as
/ j* ]* w3 S! ]7 X5 }; l G# E; Ethe logistical organization and smooth rental of the additional ; d1 R' t" o9 ]' A& F7 |2 J& i( b
venues within the realm of the Students´ Union. In the light of that 9 Y2 D" f" I# N
breadth and complexity, it is not possible to fully define or 7 c( S: c- ~1 W
describe all roles and responsibilities in a document of this kind.

a. To develop and implement a marketing plan for the venues that ; S0 `( J3 q8 ]4 n
focuses upon advertising and promoting the venue to faculty, ; m0 g3 O" \/ |$ x& R2 Q% b
students, and internal and external clients on an on-going basis. # e: ?: W3 g+ K- G
This strategy will include implementing and/or delegating the following:
. {; X( @+ M' J( X% O4 m0 x· To develop and maintain promotional materials, the Horowitz 0 I% Z+ m+ f0 d
Theatre and SU Venues home page, newspaper and other advertising; to . N% M$ ~: Q* A2 K- {
take advantage of other internal and external advertising 7 m4 m, C4 Y1 l) e% `
opportunities; and to develop press releases and other promotional
( m+ b1 N3 _4 I" D1 t' Mliterature on an ongoing basis.! D- X( e1 a9 f6 I$ \( E7 ^
· To coordinate tours of the venues for potential renters.

use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities
0 U, ]* |- H+ O3 j0 ]! G$ N+ |% d0 e
a. To ensure, at all times, that the venues are adequately and cost-
2 M% m( v3 ^- F) G$ ]- u$ y. V; jeffectively staffed, and that the staff utilized by or within the
1 r6 ^' N F) l; Mvenues meet the appropriate standards, requirements and needs, and # H1 b/ Y! m/ O. D
contribute in a positive way to the smooth operation and success of # T2 U+ q- H; [ j
the renter´s events. This includes, but is not necessarily limited
, w! N' Q; z& ?( n! Qto, the following:
5 a0 U2 l; r+ K7 t4 |· To be responsible, under the direction of the Manager of Venues
6 r5 u+ c6 C9 u. E5 Y* tand Programming, for all staff issues including hiring, disciplining,
; g8 m1 k/ h0 H- x3 b+ V4 \evaluating and terminating, as necessary.
@ a% ?1 g0 q4 e- ?: s To ensure that the Horowitz Theatre is adequately supervised at # ~: v. ]0 ?* n7 p6 a
all times, this includes the development and implementation of such $ |) q/ G: f: O) a6 ^
schedules and rosters as may be necessary to ensure the effective and - C5 L7 X5 {7 ?" I+ ]/ p" P2 z
cost-effective supervision of the venues at all times during which it 3 b7 _& _0 x$ f/ t' B# Z. O+ T+ z
is in operation or needs to be in operation.& E: i k* M5 E+ W* ` f* u
· To work with the Technical Director, when necessary, to ensure
+ Q; X% n L3 K7 b9 K1 `that an adequate and appropriate level of part-time staff exists to \2 q) a6 V, u4 Z
facilitate the smooth operation of the venues and to ensure all ( O: j8 \+ F( i0 {) X6 ~1 Q
renters needs are met.7 W4 V# B1 a, S% V" N# D
· To work with the Technical Director to ensure that the skills ) a |: `* `" r C3 E3 {
and attitudes of all subordinate staff are appropriate in light of
$ h E W5 D. ]( ^) o# Z/ K& o pthe roles they must perform. This includes providing adequate and
1 l5 k" r' p0 jeffective training (and re-training) in all applicable and % S$ { ^ g. r1 h6 I! \. V
appropriate areas, and ensuring that the Policy and Procedures manual # \$ F+ z1 s! w: v8 n; W* Z( k
is kep up-to-date at all times.
( m! L( _/ f$ t" g @· To ensure all staff are trained in and committed to providing
) V4 r& L' q$ g& }excellent customer service to all renters.
; V7 T5 D# @! \. F· To work with the Technical Director to arrange staff 2 a; T5 M" `2 H2 u
scheduling. To handle payroll related matters, under the guidance ( j& }7 k" X9 i5 L* n5 c+ x
and direction of the Manager of Venues and Programming, concerning ' C- }, P4 j, Z- A, V. {& E
the staff of the venues.+ L/ _2 c& ^' \3 d+ d- M8 a6 P5 M
· Working with the Manager of Facilities and Operations to ensure
. D+ Q! N8 q; `: x+ [* pthe appropriate setup/tear down of each venue.
$ ]3 w5 }0 q t0 T· Working with the Manager of Programming and Venues to ensure

a. To ensure, at all times, that the Financial and Administrative
. j& O# W; B' s8 rsystems and processes utilized by or within the venues meet the
0 z( O8 n9 I- z" W- bappropriate standards, requirements and needs, and contribute in a

includes, but is not necessarily limited to, the following:

operating budgets covering the venues to the SU´s Manager of

Manager of Programming and Venues, and Manager of Finance &
* V7 |5 K j# N+ ]% E5 oAdministration prior to their submission for final approval.
* p: u* S0 X+ l6 N) c· To manage the venues in a manner which adequately and effectively 0 Y! D [6 b( I2 a
reflects the budgets approved for the venues and/or which reflects
% e' I) N: v B( l/ t: S, Dthe best interests of the venues and the Students´ Union.
" z8 V) R% S# J4 F· To function as the key player in the submission of financial and & z; C+ E0 Z. j! a4 m0 ]
administrative documentation covering the venues to be used in the
, U M0 n1 h6 p! ocompilation of monthly and annual financial statements, and such

· To discuss those financial statements and other reports, together T5 I* ~$ G6 N1 e/ U; D0 V l$ L
with all financial and administrative procedures, with the SU´s 0 c. a, U/ _3 g; x' Q

0 o; E$ Y3 f+ Q2 V2 ocosting systems to be used in connection with the determination and + F1 g( j& W1 m+ y9 c; G( \/ @) x
setting of appropriate prices for rental and staffing rates for 5 I* a/ i( X: ^* e6 d
events held in the Horowitz Theatre.
8 x) v( E8 g$ f+ w* O! X; W2 w8 @· To develop accurate documentation to be used in connection with
5 W7 I+ c( T) H+ ?$ sthe billing clients, and to forward such documentation in a timely , L2 r% i2 w) S* F7 b( @
manner to the Accounting Department.

the requirements of the SU´s Manager of Programming and Venues and 7 }9 F D& x" _$ r+ i' ?
Manager of Finance and Administration, and in a manner which " q d6 Q2 `9 R" s6 }1 h
contributes positively to the smooth operation and success of the

5. Overall Roles and Responsibilities) e0 w/ j& f2 r3 Y( T
a. To ensure, at all times, that the systems and processes used in
) O( v, C; t2 T# yrenting the venues meet the appropriate standards, requirements and . r* H/ ]( l+ d- U
needs, and contribute to the smooth operation and success of the 5 j, Q, {5 K# R: C- e! O* L! B
venues. This includes, but is not limited to, the following:% I+ s; x1 g( M" e) C
0 z6 I) K' D% R· To recognize, develop and set in place such rental procedures as 8 x8 q7 [7 ]1 w; @) X) }+ U
may be necessary to ensure the smooth operation of the venues, this
{: a7 u4 r. Cis to include but not necessarily be limited to systems and processes 3 C6 c6 J U, Y5 K# [1 H
in the areas of contracts, inventory management, contract evaluation,
7 K5 ?7 O& l( C. P$ v5 dpricing, costing, equipment usage, rental/contract invoicing, 4 e' G- `/ Y3 d" W, \
together with such other systems and procedures as may be necessary
4 \+ h' U" B2 n# G# c$ d" dto ensure the smooth, secure, efficient, cost-effective and
* M3 G+ L; q/ [4 \+ v1 I9 ffunctionally-effective operation of the Horowitz Theatre.
/ a9 Y2 T/ e* [9 i B K: ]) y· To recognize, develop and set in place such operational procedures ' c* m7 I2 ~% Q1 t( [ d; X
as may be necessary to ensure the smooth, efficient and cost- V+ Y. G5 K: T7 F' O! g" _% y
effective operation of the venues.; h! J t; q+ `! e* N% S
· To negotiate rental lease agreements (contracts) relating to
, d" h5 r* k6 [dates, rates, staff and miscellaneous charges.
) W, @9 `3 P% C, f% s5 k· To ensure that adequate inventory is available at all times and ! u; e5 F8 v$ |3 w z
that such inventory is stored and issued in effective and secure ways.
% Z0 C2 K2 G+ y1 r [- {· To consult with renters as to facility issues in producing their * ~$ r' r$ y5 ~! E- Y
particular event in the venues.4 B' K7 q9 B2 I6 H$ g
· To provide the venues on-site staff with such documentation and
( F) `: x+ @8 s9 L) J; k0 ^supporting information as it may need to effectively fulfill the 9 X, ~4 V" H+ ~6 [1 q" W
roles they are to perform to ensure the success of the renter´s event.# A/ h: V; l7 n3 V2 w
· To produce quotes in respect to staffing costs for a particular 6 L5 U4 k. |$ e5 L. o
rental with consultation with the Technical Director.- n7 R. G, w. ^8 |5 ]0 M
· To ensure that all queries raised with the venues whether from the . k: _) I" ^$ D. x: _8 p- O) H
SU or renters, are promptly and effectively handled and adequately # g' s) Q8 }' o+ f6 X. D2 Y8 ~
answered, and to ensure that such action as may be necessary in
0 ]/ f% k4 B) a( ~+ c0 U" b# cfollow-up to such queries is taken in a timely manner.
p& [0 e* {/ a$ E8 w: Q To ensure that the venues and its capabilities are adequately,
* [. K5 O: i- p6 q! `2 X* _2 Neffectively and cost-effectively advertised and promoted, and that : N, b$ u! K9 A9 z) ]
the cost of such endeavors does not exceed the budgetary provision 7 U3 s# ~# Y% r4 S0 Z0 ~
made for them unless prior approval is given by the Manager of
& I! {& j% Y+ l: iProgramming and Venues.

significant challenges and/or problems surrounding the tasks of

may provide such challenges and/or problems.

2) Supervisory experience.
