The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.- e& D5 g- f, X

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.- g, e" ^! F$ r9 o) I
• Assist in development and implementation of policies and procedures for volunteer services.
e+ ]8 l8 G3 u5 l, ?3 j% o• Maintain the volunteer files and update the database using Raisers Edge$ e8 }3 e: c5 e3 ~# l, \8 O2 E
• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.

• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
( o9 N2 b% D h• Identify and implement best practices in regards to volunteer development.
R2 m1 Z! u4 s/ h1 g# ~8 P• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities* v+ w% X5 o! `# v
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up/ ]. E2 F& d6 P. q! z

ADMINISTRATION
" m" t: U8 L2 h" z• Develop and maintain job descriptions for each volunteer position; W6 m$ h+ M2 b) H2 j# N, n1 v- ?
• Maintain secure volunteers files in accordance with privacy legislation
+ V. r0 z& _; N8 q3 O2 V- r• Provide feedback on volunteers’ performance, as appropriate# E; L6 p% j( l) V& X1 |0 i
• Ensure Human Resource policies and procedures are adhered to within the department% b0 G e3 K' T0 u# f7 f
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
& {- S1 z. t9 I! ~9 V0 o• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency7 ]2 o/ x) m2 T# e. H1 z7 f, l9 y
• Develop resource and orientation materials for Volunteer Services

• Prepare a regular monthly program report! t" O$ b* ]" M& v8 [- r

• Ensure the program operates within approved budget and be familiar with potential variances, r4 S" P1 N+ J$ S; m0 `8 p8 N
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required4 C' c' [9 \1 R1 N6 c! q6 r( {: S/ H) P

INTERNAL/EXTERNAL RELATIONS
' O. S/ D7 S4 ~# |; `0 u4 {$ e) }$ u* v• Act as liaison to the Y-Knit group of volunteers
6 }( w* o" p2 l8 R• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
/ f: H$ _1 R/ _# d• Follow up with correspondence to outside agency volunteers as appropriate
" ]( y( \3 x0 O• Attend external functions such as volunteer fairs, trade shows, and special events as required

• Minimum 2 years experience in Volunteer Coordination
7 q: K4 I3 W, W9 H3 ?0 \• Excellent organizational skills and multi-tasking ability
7 e. U" w1 S9 O- Q- p• Demonstrated superior volunteer supervision skills7 a: n+ F7 P- v1 `
• Collaborative working style and excellent interpersonal skills $ O, z: U; T! h% V& [2 z# A6 `
• Ability to work to meet deadlines and to work under pressure
' C& s+ \* m( q" T• Ability to work in a team-based environment, with cross-functional work teams on projects - Q/ Z/ Z+ i$ x# t3 e# f% A" A
• Sound judgment and ability to maintain confidentiality
