The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

) x+ J( ]( \7 m7 C+ ^. a• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
! _( W" D% o/ f- T• Assist in development and implementation of policies and procedures for volunteer services.
) h( C! E9 ~* `/ i$ H% @) w3 r6 m• Maintain the volunteer files and update the database using Raisers Edge
' u1 s. J5 \9 R, \0 U' B4 |9 Q• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
# j) A0 Z/ P! H% ^1 b• Develop and implement a comprehensive volunteer recognition program.: H& B- q- N4 Y+ f3 X7 j
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.2 x0 q7 J8 ?" r: v; ?
• Identify and implement best practices in regards to volunteer development.. F0 B4 o9 c6 L0 Q! R
• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities% v+ P# g3 F9 ~, n* ^' F$ l. s4 I1 x
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

0 m1 x' G* u: B! u* J" W• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO! D- W/ `; d' D3 f' }
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

) z( j2 N! u0 y4 D• Develop and maintain job descriptions for each volunteer position
$ U$ S: B7 N1 `6 O0 h3 m, N* f• Maintain secure volunteers files in accordance with privacy legislation
$ v+ I i. u _! L7 h$ W9 @, w• Provide feedback on volunteers’ performance, as appropriate
; p9 f6 h. k- `! t" W& d( F• Ensure Human Resource policies and procedures are adhered to within the department3 X, R* c& r; b+ b
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required 4 R* v8 J' W& { o' t
• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
/ V. a& p/ Q5 U2 u4 n! S$ P4 ^• Develop resource and orientation materials for Volunteer Services
! q* s( [/ T& f1 v$ w/ @• Maintain monthly and yearly volunteer statistics for reporting purposes

• Ensure the program operates within approved budget and be familiar with potential variances! l1 Q6 W6 f3 G( e1 _' X1 H( t
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

9 v2 ], c/ m% B$ V) OINTERNAL/EXTERNAL RELATIONS
+ S! `4 L# O6 ~% P! g- c• Act as liaison to the Y-Knit group of volunteers0 |5 ]6 i# T" O7 T
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
' v/ ]+ q+ _ c* T& G• Follow up with correspondence to outside agency volunteers as appropriate
6 {# \8 ]8 B6 N7 C1 ~& i5 x; H• Attend external functions such as volunteer fairs, trade shows, and special events as required/ {) e. Z3 b! {

• Minimum 2 years experience in Volunteer Coordination4 r0 {; A* A" D9 k- I$ d% c. M S
• Excellent organizational skills and multi-tasking ability) {9 ]8 B7 |+ V7 s8 [
• Demonstrated superior volunteer supervision skills
& s3 V6 E+ R' Q4 |8 W7 a• Collaborative working style and excellent interpersonal skills + n) |; }' F+ \1 k% [
• Ability to work to meet deadlines and to work under pressure
/ k/ M. M' v: V# y6 i! R• Ability to work in a team-based environment, with cross-functional work teams on projects ; ^2 H/ B. O8 F8 R1 d) c: f
• Sound judgment and ability to maintain confidentiality
