The YWCA is recruiting a Receptionist. The Front Desk is the central point for internal and external communications for all departments, programs and events. A sound understanding of overall activity of the agency is essential. This is a position that requires strong customer service skills, as it works collaboratively with staff and volunteers to provide the best possible information and assistance.& O& Z3 t" Q5 L, ?

Reception
' V8 m. X0 p+ ]1 k+ Z• Greet and provide assistance to incoming visitors8 L# d7 o5 Z9 f. N9 M" @- E
• Answer multi line telephone system/ c { p; _/ W; w6 i
• Receive and distribute mail and deliveries* c6 R4 Y: w4 {% ^2 Q- e; X$ ~# K' @
• Arrange courier services for all departments) g/ ?6 G. [" G7 h2 j' Z% K. h
• Oversee Y-Knit program; provide support to its volunteers

Administration
( ?6 [1 ]' r4 ?$ J V" _6 Y8 Z• Receive sort and distribute mail and packages; post outgoing mail8 F$ K" i3 G+ E* l. \8 k
• Sort and distribute mail and deliveries( w1 Y" f6 N0 W3 J1 ?6 a! S3 X
• Provide clerical support (e.g. word processing, data entry, photocopying, faxing, e-mailing, printing labels, mail-outs, and filing) to all departments of the agency
; G `( }9 Z- t! S6 f• Update and maintain databases as assigned, including those for Fund Development and Administration
t+ F2 N$ h5 `2 P0 K7 d; b% ^0 @• Assist with task management for administrative volunteers 8 U7 d$ l' E' O$ s2 z
• Create monthly staff bulletin and prepare for distribution
% \! F& N) b+ y+ C9 v/ N. A• Assist Business department with weekly bank deposit and processing payments + @& U& F9 D! G0 f T6 k
• Assemble and forward information packets as requested

• Assist YoWoChAs Outdoor Education Registration as required

7 ]/ U+ s/ U" i# L* B• Minimum 2 years office experience in areas related to office reception, and office procedures
3 s$ i) M0 Z! Z; a, _% n• Experience and proficiency in Microsoft Office including Word, Excel, and PowerPoint.
" w" a& |: l- V; E7 m* g7 j& W• Skill in Desktop publishing is an asset u% R6 f: {7 o
• Excellent verbal and written communications skills ; ^( V* Z& x, |7 Z
• Mindful of need for accuracy, detail and discretion, k- K# F7 ]# Z: z$ R
• Able to interact in a positive manner with diverse population$ a! K$ S* x: J V
