Position Title: Administrator

General administrative, clerical and operational support for the branch - broken down into the three categories below.. H' D* | v! {
: O( S# s/ s4 y' \Accounting and Admin:$ N3 r& G. K, Z! j2 L& i( |6 @
o Assist with generating new S.O.s, W.O.s and P.O.s.# g* U/ g3 s6 R; y& f: s
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.; {9 A- J8 t' k
o Receive P.O.s in Glovia.
; H# @% u, r' Jo Timesheet data entry for Glovia and payroll, on a daily basis.
: |. y/ G& M" Z' U$ S' po Coordinate the processing of new employees with assistance from HR department.
" _7 j5 f0 u0 P/ Yo Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
0 D( `6 x6 H6 G7 I6 Go Forward supplier invoices and backup detail to A/P for processing.! A; J) }7 ~" C$ V* u2 _9 m8 r8 j
o Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization./ h3 B0 L$ _6 S" l: G( J
o Processing of Visa and/or MasterCard payments.
% _' J! p" `+ Q# bOperational:; u- t, D& L1 { Z: A) c
o Maintain a customer database for use by all branch staff.
( L0 ^# c1 w) X3 l8 T1 \ H, io Input customer data into Goldmine (when Goldmine is implemented).+ L; ^" R) R" `5 ` _' p
o Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.
3 u+ Q% R. c. }/ f7 r1 Oo Maintain service records and maintenance schedule for all company-owned vehicles.

o Telephone and reception.
7 t, |9 i2 F4 R6 @6 t1 _2 Vo Back up tapes, weekly, for branch server.
/ E- n% U+ k+ h7 d8 \/ y7 {1 r1 So Hotel and travel bookings.
. L4 m4 a4 k2 z; ]4 u& Go Maintain inventory of office supplies and replenish as necessary.: y' F: k( S; E/ g6 \+ b' T$ ~
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

o Filing and archiving of closed work order files.

Qualifications:

- c& g3 c' p* B+ T7 G& d0 Q$ C• Experienced in MS Office software, general office equipment.) ^( p8 ~( H3 j' @- o5 `
• Excellent interpersonal and listening skills.) |* @# I# ^3 l$ q, V w: x1 o
• Must be able to communicate effectively and professionally both verbally and written.
