extensive, and are targeted at the all round smooth operation and # ~( j3 X w' N6 f
financial and operational success of the Horowitz Theatre as well as " w1 g6 r( b" E5 y
the logistical organization and smooth rental of the additional 0 y+ o8 T. ^$ l
venues within the realm of the Students´ Union. In the light of that

describe all roles and responsibilities in a document of this kind.

9 b& U, I8 \/ Kfocuses upon advertising and promoting the venue to faculty,

This strategy will include implementing and/or delegating the following:
) F* c$ n9 T' Z' ]1 Z, {, ?. X· To develop and maintain promotional materials, the Horowitz / i2 ~; B: k5 p2 i! i. k$ N3 n
Theatre and SU Venues home page, newspaper and other advertising; to * C0 P8 l4 ~/ H; j
take advantage of other internal and external advertising ) |' e/ S( A# X) P1 U# g7 d; i
opportunities; and to develop press releases and other promotional " U4 U: ^/ Q7 N( | n& o
literature on an ongoing basis.
' X' g) ?, }$ p· To coordinate tours of the venues for potential renters.

use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities2 D3 Z z4 ]8 b$ c

a. To ensure, at all times, that the venues are adequately and cost-
. A1 [0 l7 |9 a. L/ ]effectively staffed, and that the staff utilized by or within the ; X! r! e: @: l& S5 G8 |
venues meet the appropriate standards, requirements and needs, and
1 M- }# F" N7 e6 U% T$ n, Qcontribute in a positive way to the smooth operation and success of / Z: R c5 c' E0 ~& T+ f
the renter´s events. This includes, but is not necessarily limited
. Z: F2 f# T* F+ f0 Mto, the following:
4 ?+ l$ [ |. Y# e· To be responsible, under the direction of the Manager of Venues $ d! [7 n" J, D9 |( f; u
and Programming, for all staff issues including hiring, disciplining,
' x& H+ j' {2 ?1 m* j" q0 Oevaluating and terminating, as necessary.' c% M( O. ^) u1 ^# f: u, E1 Y; ^& m( @. i
To ensure that the Horowitz Theatre is adequately supervised at
4 @+ F% [- _/ g8 ~1 {% I6 ?all times, this includes the development and implementation of such : n( z8 q$ g" G* s( k( D+ ^/ Y
schedules and rosters as may be necessary to ensure the effective and
. a7 g m9 Q$ J5 ^ acost-effective supervision of the venues at all times during which it " H: p& G+ \# a3 @% x
is in operation or needs to be in operation.
2 y4 [. m2 c' y. S+ k· To work with the Technical Director, when necessary, to ensure 4 N1 ?- A" S2 o! k
that an adequate and appropriate level of part-time staff exists to 0 ` h0 K U8 c/ N
facilitate the smooth operation of the venues and to ensure all
4 Z: ?# ^* I) R" S8 V& y& U8 H+ Crenters needs are met.7 ]# m. d" m; s0 f* L ^, w6 H
· To work with the Technical Director to ensure that the skills # o; ~4 P. }( P4 j8 V
and attitudes of all subordinate staff are appropriate in light of
; G% P# `$ V5 [9 \* pthe roles they must perform. This includes providing adequate and " M9 u+ k+ j6 {" D% ^1 P* f
effective training (and re-training) in all applicable and ( l1 B2 h$ H# F9 P& m! D
appropriate areas, and ensuring that the Policy and Procedures manual & A5 w7 C/ ~) j' e2 z6 S; }; W/ |
is kep up-to-date at all times.; y; N3 @% b- }, x# I
· To ensure all staff are trained in and committed to providing

( V+ D; D5 @* G) I& fscheduling. To handle payroll related matters, under the guidance
) `3 S/ \3 |" Y/ f3 k" band direction of the Manager of Venues and Programming, concerning 0 Y9 w6 @/ `5 g3 c

· Working with the Manager of Facilities and Operations to ensure 7 m/ _ t% V. B* }* x
the appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.

systems and processes utilized by or within the venues meet the
% @; d9 h* r" H9 ~+ O# Vappropriate standards, requirements and needs, and contribute in a
J H3 j6 Z2 M; P4 f) zpositive way to the smooth operation and success of the venues. This 7 _/ B1 ?* L" n k
includes, but is not necessarily limited to, the following:, ]1 D' n- P8 q& E' X
To provide input and expertise in the formulation of appropriate
8 J5 N1 Y* `; f3 o, doperating budgets covering the venues to the SU´s Manager of e$ \: ^9 N8 I1 }; `
Programming and Venues and to discuss and refine those budgets

· To manage the venues in a manner which adequately and effectively 6 F) Q9 U; x% j2 a7 D
reflects the budgets approved for the venues and/or which reflects + y, ]0 v$ E- L
the best interests of the venues and the Students´ Union.

administrative documentation covering the venues to be used in the 6 @/ ~1 I7 r# g& E" s- n# x8 V. T
compilation of monthly and annual financial statements, and such " d9 j! f: b) P
other reports as may be necessary.

aimed at improving the financial and/or functional effectiveness of

· To ensure the existence of adequate, effective and accurate job * x* x" k! f! _0 w+ B# S# ]7 u
costing systems to be used in connection with the determination and

events held in the Horowitz Theatre.

the billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial

5. Overall Roles and Responsibilities" Q. R/ ?) S# f( n
a. To ensure, at all times, that the systems and processes used in 5 Q1 ~" @; t$ V. t
renting the venues meet the appropriate standards, requirements and / j: ^( i; M( H6 l( A/ `: T
needs, and contribute to the smooth operation and success of the
9 M3 @7 Y5 }! n; M3 K/ Gvenues. This includes, but is not limited to, the following: x$ i6 H3 r1 }) L

· To recognize, develop and set in place such rental procedures as 7 ~4 F2 h/ X ?0 C+ p& k5 u
may be necessary to ensure the smooth operation of the venues, this / T7 g- N; o" w- I" k' [
is to include but not necessarily be limited to systems and processes
; {7 l$ n1 y) ^3 ]1 ^% q3 h$ ~in the areas of contracts, inventory management, contract evaluation, 0 l5 D: y8 L" [, T# R( C) A
pricing, costing, equipment usage, rental/contract invoicing,
. j0 t- }, w2 m$ p' R3 dtogether with such other systems and procedures as may be necessary
* y) l- O. i' I$ Hto ensure the smooth, secure, efficient, cost-effective and
9 y V2 i9 P S, \7 y7 vfunctionally-effective operation of the Horowitz Theatre.
; e- W/ K; n4 F% l2 ]· To recognize, develop and set in place such operational procedures 8 f& J5 W* r& S; K
as may be necessary to ensure the smooth, efficient and cost- 7 {. K y& L' P
effective operation of the venues.
1 E0 e9 m# w: S- Q. B· To negotiate rental lease agreements (contracts) relating to 5 }* P, i" W0 l/ J( u+ P6 f
dates, rates, staff and miscellaneous charges.4 V! v6 g/ e% k9 K# P4 Q( a
· To ensure that adequate inventory is available at all times and 9 B5 h3 S2 N0 e1 ^) W
that such inventory is stored and issued in effective and secure ways.+ Y7 g' j( |; o7 O
· To consult with renters as to facility issues in producing their 9 l- p; p8 e4 t+ j. \
particular event in the venues.

supporting information as it may need to effectively fulfill the

rental with consultation with the Technical Director.% a, p# Y' _9 A
· To ensure that all queries raised with the venues whether from the ' q& I7 N- N# l. a3 s: Z% q% e
SU or renters, are promptly and effectively handled and adequately - ~/ B1 s) B7 x$ s$ Z
answered, and to ensure that such action as may be necessary in
: f/ H+ _. B, a3 u, a+ k; u9 Ifollow-up to such queries is taken in a timely manner.
) p! |+ t$ @1 m) Q# u$ x# B5 k To ensure that the venues and its capabilities are adequately, ) l0 g' a5 a8 S/ M! d [! D' N
effectively and cost-effectively advertised and promoted, and that

made for them unless prior approval is given by the Manager of

· To act as an informed and knowledgeable resource in the case of

marketing, administration, operations, and any such other matters as
