The Operations Manager - Venues and Programming will operate with a  % I+ M, s! U5 }$ z' F% H
direct line reporting relationship to the SU´s Manager of Programming  ! f) Y+ d# B8 M0 e

1 y$ p% a" Q; w, Y" dThe duties of the Operations Manager - SU Venues are diverse and  
  m2 G& j* ?+ T" o/ ]! @, Y' nextensive, and are targeted at the all round smooth operation and  
( S8 F) v. G  |6 M* s& qfinancial and operational success of the Horowitz Theatre as well as  # U% Y' x5 m0 a
the logistical organization and smooth rental of the additional  ( z6 L, t1 R8 `6 W$ ]8 R/ L0 y/ }
venues within the realm of the Students´ Union.  In the light of that  & i0 `' F, V/ F, x  }1 ~
breadth and complexity, it is not possible to fully define or  ( ^: h1 R- S$ p% u2 K" \) S
describe all roles and responsibilities in a document of this kind.   , Q3 ?+ z- t% P3 a' P
However, the main roles and responsibilities of the Operations  : u8 j- Y& f; F" w

1.        Space Roles and Responsibilities

0 c3 C& ^3 w4 i$ va.   To ensure, at all times, that the venues listed below meet the  * R! z& J6 I/ {0 w; h8 [& g8 ?, S$ m
appropriate standards, requirements and needs, and contributes in a  # [9 F# V# J/ ?
positive way to the smooth operation and success of the individual    P( d# G2 r" m7 |
renter.
! G% a! [5 u2 t; k. C2 p·     Myer Horowitz Theatre
3 d. u+ k" t: j3 {0 e·     Dinwoodie Lounge9 {! Q- b/ v5 d! z; ~
·     SUB Stage( g' Y& x% e+ _8 A$ S

& C0 o% D7 O+ W( u: `; @b.   This includes, but is not limited to, the following:7 i" g% d) ^7 d, k% e0 _3 J$ p( a& ?
·     To plan the capital and supply expenditures to meet the  
  C+ F- A/ Z+ _& h5 kproduction and facility requirements.8 C, t# d' c5 D* C# w
·     To ensure the day-to-day compliance of the venues with existing  # h/ }# L5 @. Q/ M
safety regulations and building policies.

2 @4 S: Q# Q1 q( r7 J2.        Marketing and Promotion
" N+ W5 ~2 N2 D1 B8 ~. q2 C  K, B$ `' q) ?6 m' m3 k
a.   To develop and implement a marketing plan for the venues that  
' {% L2 N) e% o5 ifocuses upon advertising and promoting the venue to faculty,  
0 \  W* X, [- C! Estudents, and internal and external clients on an on-going basis.  . x1 w3 L* I9 X1 F7 `+ g2 M7 L8 L
This strategy will include implementing and/or delegating the following:3 M4 v/ P: b* J, _5 `; j7 h
·     To develop and maintain promotional materials, the Horowitz  $ H7 i" a- b8 H: P+ N' T, a) q$ o
Theatre and SU Venues home page, newspaper and other advertising; to  - |3 `% }% z7 ?3 c3 L0 v8 |
take advantage of other internal and external advertising  
, f& p% S- x; T4 eopportunities; and to develop press releases and other promotional  
# k( R4 N  ?5 j2 e; Z  @literature on an ongoing basis.
" {. n& p$ _( Q2 P; V! A- w- r+ O/ g·     To coordinate tours of the venues for potential renters.1 L2 e" K/ h8 @6 i# @& Y* O
·     To promote upcoming events in the Horowitz Theatre through the  3 \2 O, j; N: y  |+ p  C2 l4 `4 c$ R
use of the Horowitz Theatre Home Page and the SU Events Calendar.7 d$ m6 {7 R( U, O) Q+ Z; D
·     To develop new external clients for the venues.1 I2 O; D* f0 V1 w
0 H& W% B* W3 M! x1 L$ R7 v
  B; ?  Z; I. E& f
3.        Staff and Supervisory Roles and Responsibilities
; w- o$ P8 \2 m$ Z: a' s- e- F4 o+ G# e9 c
a.   To ensure, at all times, that the venues are adequately and cost-
4 o: ]* ~1 Z* C: k8 @effectively staffed, and that the staff utilized by or within the  & S4 l) Z& Q& @5 m) ]6 i5 q* V
venues meet the appropriate standards, requirements and needs, and  
3 }- ^8 N( m6 w- s0 a1 L7 \contribute in a positive way to the smooth operation and success of  
  k! c4 J5 i4 |3 {) Gthe renter´s events. This includes, but is not necessarily limited  
. m5 R0 i- M4 V6 gto, the following:
! i7 x, }& g; @# w1 v1 c2 H, V2 g·     To be responsible, under the direction of the Manager of Venues  $ S' X! N% {+ M8 S+ H- A2 R
and Programming, for all staff issues including hiring, disciplining,  
- b" A! R7 s0 q+ qevaluating and terminating, as necessary.9 p5 G1 a1 v  @! C! m# _3 C
To ensure that the Horowitz Theatre is adequately supervised at  
& S. K4 a! l% K  ^% _% h. u5 J& Call times, this includes the development and implementation of such  5 ^5 Y5 m/ }+ C# Z
schedules and rosters as may be necessary to ensure the effective and  ! W) M! ^6 Y# b# e6 ]0 w
cost-effective supervision of the venues at all times during which it  
+ ~. T8 R+ K' `3 Mis in operation or needs to be in operation.
! h& ^7 [/ p/ c0 T·     To work with the Technical Director, when necessary, to ensure  * d9 j$ |' I& d. G4 u8 O# R
that an adequate and appropriate level of part-time staff exists to  + }6 |/ [4 M0 z2 C  z, a! A. \
facilitate the smooth operation of the venues and to ensure all  7 e& _! p" c; b* E0 h  X" f; J
renters needs are met./ R7 o* s9 R/ r0 }. I( c
·     To work with the Technical Director to ensure that the skills  
* r% Z2 q7 t1 eand attitudes of all subordinate staff are appropriate in light of  ) |% q2 B* Q& J. y( A
the roles they must perform. This includes providing adequate and  ( X$ G4 c4 s9 u0 ~
effective training (and re-training) in all applicable and  
# J; {# P5 G9 L0 u. Eappropriate areas, and ensuring that the Policy and Procedures manual  
4 O- {9 ^2 s. b% B/ Iis kep up-to-date at all times.) L$ w* C8 B- v
·     To ensure all staff are trained in and committed to providing  
/ x0 f4 Q7 ?  A- Kexcellent customer service to all renters.$ n8 A+ i3 Q6 `# K( @) m; ]
·     To work with the Technical Director to arrange staff  2 ~) N  H: R/ q+ y* w6 Q* H
scheduling.  To handle payroll related matters, under the guidance  
2 |+ T# Q% a* ^; `" G% band direction of the Manager of Venues and Programming, concerning  $ _0 C' J5 k. k% f
the staff of the venues.# a- b3 k0 e7 F: l! D
·     Working with the Manager of Facilities and Operations to ensure  $ t+ Y$ d8 x0 a
the appropriate setup/tear down of each venue.
8 O# o, r; ^8 v+ ]- s" Y; ~·     Working with the Manager of Programming and Venues to ensure  * H  \9 E* C/ F- @# n; s+ h
that additional requests such as licensed receptions are arranged.) `3 J& A0 f/ e

4.          Overall Financial Performance
/ E+ @% U5 Q& a1 y1 j
; A( q. v( T% T3 |7 z+ w' V" Sa. To ensure, at all times, that the Financial and Administrative  
+ ?: W/ T: ^) D! S7 Wsystems and processes utilized by or within the venues meet the  
: x4 S1 J3 F3 P$ P. s% C4 `8 A* dappropriate standards, requirements and needs, and contribute in a  
; }8 u' Q! H0 B3 a( `/ E; |6 {positive way to the smooth operation and success of the venues. This  $ D$ r4 b) ~2 |1 L$ F; i+ k. \2 a7 o
includes, but is not necessarily limited to, the following:8 e$ T0 F- A; {8 k
To provide input and expertise in the formulation of appropriate    n: V9 S+ W% W' O" ]! k
operating budgets covering the venues to the SU´s Manager of  
% ~3 s8 r  x- y1 t! AProgramming and Venues and to discuss and refine those budgets  
# y1 M6 f4 m6 q3 F* S5 v8 s( Q  KManager of Programming and Venues, and Manager of Finance &  , l3 B1 s  a; U- _
Administration prior to their submission for final approval.
8 Q1 j% Y0 |/ D& x·  To manage the venues in a manner which adequately and effectively  
  E: [7 P; ?& d% Q) Qreflects the budgets approved for the venues and/or which reflects  5 z( F: S' V. S0 q+ m5 \/ j) W$ L
the best interests of the venues and the Students´ Union.# p2 N0 [% {9 H* a% B5 {+ p
·  To function as the key player in the submission of financial and  
7 d& R2 R% d+ K3 b; Tadministrative documentation covering the venues to be used in the  
; k. K1 \9 p8 q' u. Bcompilation of monthly and annual financial statements, and such  
7 b" I  {6 ]: Q% T+ Fother reports as may be necessary.
) x( l6 s/ W" U1 x6 ?/ q! O·  To discuss those financial statements and other reports, together  / A1 ~/ X- h% J
with all financial and administrative procedures, with the SU´s  , s4 K$ R2 }1 I/ t# [; q1 u0 |
Manager of Programming and Venues and Manager of Finance &  - p- w% i' x# @
Administration with a view to determining and implementing action  
$ U6 S3 r, h$ s1 F" M7 Waimed at improving the financial and/or functional effectiveness of  * t1 \; a$ w4 ^
the Horowitz Theatre.
: H5 O: O, @7 ?, ^2 J3 J7 M·  To ensure the existence of adequate, effective and accurate job  
# ^0 s/ j, P) w, f7 ^6 xcosting systems to be used in connection with the determination and  ! k7 Q$ J6 _% Y( W9 k
setting of appropriate prices for rental and staffing rates for  
8 p3 W9 E; T2 a* H$ Z& k$ j/ q- devents held in the Horowitz Theatre.
3 [' S& t. U: x" }' t+ I" s6 b; c·  To develop accurate documentation to be used in connection with  
* b! M5 M  i, Y0 g- k- x- \the billing clients, and to forward such documentation in a timely  
' {# {1 u* R5 l7 v9 C4 ?manner to the Accounting Department.
: E9 X8 L* k" b: N4 ]·  To recognize, address and handle all matters relating to financial  5 e  l; D; g7 ?; k4 {$ Q
and administrative procedures and systems in a manner which reflects  
9 h2 B5 K. s  ~# b- m" Sthe requirements of the SU´s Manager of Programming and Venues and  
9 C' m$ P5 u4 |Manager of Finance and Administration, and in a manner which  
6 x% T8 o9 D5 n" y6 _, Scontributes positively to the smooth operation and success of the  
" q' r3 P% C1 J! {, Wvenues.

  @$ ?, K9 v$ C8 b# s/ d" s- b- a5.          Overall Roles and Responsibilities$ Q! b. [1 @& D% c
a.   To ensure, at all times, that the systems and processes used in  
' m( o+ B7 r# A* Z4 Wrenting the venues meet the appropriate standards, requirements and  
7 v$ u6 t1 k) F- ^! E% m& d+ H# {needs, and contribute to the smooth operation and success of the  
# I$ m+ r5 S) K6 Uvenues. This includes, but is not limited to, the following:' ]! r, C" J6 t0 Z1 s
& n# u* Z- ]4 X& H, i
·  To recognize, develop and set in place such rental procedures as    \# _/ K; F6 s' U" @
may be necessary to ensure the smooth operation of the venues, this  
2 c% X; h4 f; n0 `, u% |( D1 }is to include but not necessarily be limited to systems and processes  
; N) d! }* K4 O6 ]( H$ c" Rin the areas of contracts, inventory management, contract evaluation,  & J4 x1 w  z# W* r1 t- ~6 z& u- l  L
pricing, costing, equipment usage, rental/contract invoicing,  
7 s* s* A7 @( A5 _together with such other systems and procedures as may be necessary  6 [) P% s( |  E4 j, P8 A4 `$ j& y
to ensure the smooth, secure, efficient, cost-effective and  
; }. }- U3 r: o: `- [functionally-effective operation of the Horowitz Theatre.! J$ v* K9 ]- ^9 @9 }& n9 x
·  To recognize, develop and set in place such operational procedures  
, M' y  E! \0 `2 _5 u; _2 c( s0 \( pas may be necessary to ensure the smooth, efficient and cost-
8 J  I, Q/ ~. I  G$ O" M6 eeffective operation of the venues.
3 ~/ K0 |- D* a; p, {/ T) e( _·  To negotiate rental lease agreements (contracts) relating to  / ~) `* u0 Y( S# V$ i: S
dates, rates, staff and miscellaneous charges." ?- [* v: S! z+ R  ]- K7 E* G$ v/ I
·  To ensure that adequate inventory is available at all times and  6 L" t; @  W1 h, S" x; ]- ~+ f  N) J
that such inventory is stored and issued in effective and secure ways.
  ?% G7 R; l5 O9 N8 f/ {! b6 P·  To consult with renters as to facility issues in producing their  4 a, n& j1 [7 [$ \7 a
particular event in the venues.- w8 ~4 B  X, o/ V* d+ a
·  To provide the venues on-site staff with such documentation and  5 C0 G( b5 r9 J; Y" i/ P
supporting information as it may need to effectively fulfill the  
* @( f2 a9 u8 Broles they are to perform to ensure the success of the renter´s event.
: H5 P0 G3 ~5 f" D9 V·  To produce quotes in respect to staffing costs for a particular  $ u  W: i7 o2 ?: {/ x- B
rental with consultation with the Technical Director.
5 S2 m( X/ v- `: R* A& A; _·  To ensure that all queries raised with the venues whether from the  2 z( u" W2 L2 w2 ~
SU or renters, are promptly and effectively handled and adequately  . t: y+ h& T, F( f9 f# ]) m
answered, and to ensure that such action as may be necessary in  3 F: N7 E& Y2 X% N. Z
follow-up to such queries is taken in a timely manner.
/ Z( Q0 D( E6 J1 V8 z To ensure that the venues and its capabilities are adequately,  + n/ T/ y" z+ J, z8 B( x6 e
effectively and cost-effectively advertised and promoted, and that  
6 H5 \& d1 e, l) W% ~: ^+ M- ethe cost of such endeavors does not exceed the budgetary provision  + B) K7 F, }  E' G$ f) o
made for them unless prior approval is given by the Manager of  8 G& T. [( L- F1 t& @9 M
Programming and Venues.6 W  t7 g$ C+ y+ b( x6 c/ l
·  To act as an informed and knowledgeable resource in the case of  
3 U% @/ @, C* Z0 }; j; ?4 Dsignificant challenges and/or problems surrounding the tasks of  
1 C$ z1 g! W! Q# s' ~marketing, administration, operations, and any such other matters as  2 h8 q  i* t  _- h8 v$ d! v+ X+ x
may provide such challenges and/or problems.
8 G. x" e0 J9 |·  To attend such meetings as may be required to support the smooth  * y# f  ~3 S$ n5 }
operation of the venues or the Students´ Union as a whole.- k9 a$ Q/ z) J9 N
·  To perform other job-related duties as may be required by the  
- J  F4 i( x, }- T  }Manager of Programming and Venues in order to ensure the smooth and  9 ?; z# Q* t" n/ ]% F( p
secure operation of the venues.
3 j) |. x$ ~+ t' Z5 {; e' _; e·  To recognize, address and handle all matters relating to overall  6 f' D$ p4 U% b0 j  u/ A
operations in a manner which reflects the requirements of the SU´s

Administration, and in a manner which contributes positively to the  
& Q( j$ ~& D" Q% D* L2 fsmooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:/ I' m. \6 I+ B+ t
1)             Minimum two years related post secondary education, or  . [: e- u/ p: O
an acceptable combination of education and experience.

3)             Ability to create new initiatives with little or no  9 k5 ?8 h' s5 k6 o; b/ Q
supervision.
