The duties of the Operations Manager - SU Venues are diverse and
# ~) q2 \& d0 A4 Fextensive, and are targeted at the all round smooth operation and
1 i+ N. C1 v$ R5 L$ _financial and operational success of the Horowitz Theatre as well as 2 \2 K/ ^/ x3 o0 w& f
the logistical organization and smooth rental of the additional @# L* i: g& {
venues within the realm of the Students´ Union. In the light of that

describe all roles and responsibilities in a document of this kind.

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that 8 m% W, n* U9 k1 H6 r
focuses upon advertising and promoting the venue to faculty, 4 M% N* h' ?( D+ `3 S0 w1 y
students, and internal and external clients on an on-going basis.
+ [% h3 y3 H" Z( P- j% ^6 ~+ bThis strategy will include implementing and/or delegating the following:- G. z& R; a* u8 D2 k. \) S
· To develop and maintain promotional materials, the Horowitz
- L1 Z6 t! |! e) w* P `Theatre and SU Venues home page, newspaper and other advertising; to
+ i& s1 W/ m2 _2 htake advantage of other internal and external advertising ' Z6 R X% u# O
opportunities; and to develop press releases and other promotional
6 ?, A2 _' F1 \% W$ Nliterature on an ongoing basis.+ @2 t) f/ f( W5 p9 ]: u' }8 V6 S
· To coordinate tours of the venues for potential renters.
+ p0 A0 [0 V9 k% }$ ^/ Z· To promote upcoming events in the Horowitz Theatre through the

· To develop new external clients for the venues.

3. Staff and Supervisory Roles and Responsibilities
( C; N6 F" v# `, A4 @! f' H+ D, T3 A
a. To ensure, at all times, that the venues are adequately and cost-
: w1 s9 G* f I$ d7 [0 Z v. `5 geffectively staffed, and that the staff utilized by or within the - y8 E" V; S* s4 T _+ {
venues meet the appropriate standards, requirements and needs, and 3 d W" K( J' r% c4 A
contribute in a positive way to the smooth operation and success of % ?" [! l5 q* C1 ^' ~
the renter´s events. This includes, but is not necessarily limited
5 A7 e* q( N& ^0 Ito, the following:
* j( _. d; S; n7 C( d. n· To be responsible, under the direction of the Manager of Venues
/ n) C" b- c0 n$ hand Programming, for all staff issues including hiring, disciplining,
8 F1 ^9 N; S, m! {& x+ [& Eevaluating and terminating, as necessary.4 ]3 n( U1 s7 `8 ^% w G3 B
To ensure that the Horowitz Theatre is adequately supervised at g' @$ q* {; }: N& R
all times, this includes the development and implementation of such 6 i. a8 _" a- x5 U
schedules and rosters as may be necessary to ensure the effective and
+ ~) i0 \! L; dcost-effective supervision of the venues at all times during which it 0 g' ~+ L1 ]3 k* [! V
is in operation or needs to be in operation.- h8 ]2 p" u# o8 u$ M& j7 y( A
· To work with the Technical Director, when necessary, to ensure ~2 V9 J* @$ U% c# k
that an adequate and appropriate level of part-time staff exists to ; Z' j6 I& c( A- E2 y; d
facilitate the smooth operation of the venues and to ensure all
7 c* U3 ?' K+ L, q. T' ~) krenters needs are met.
2 ^4 }& i; R% q. `· To work with the Technical Director to ensure that the skills
" Y- G+ {4 o c5 s' S) ~and attitudes of all subordinate staff are appropriate in light of / ^0 y: |6 ?7 P2 p$ B
the roles they must perform. This includes providing adequate and
: C: x/ k& j6 W9 y; A; Reffective training (and re-training) in all applicable and
5 G& n' S& Z# W. t) U/ sappropriate areas, and ensuring that the Policy and Procedures manual 5 Z" d4 ?7 i$ s6 f8 ^3 J1 g
is kep up-to-date at all times.& V% D' c; ^1 |- L$ c) y
· To ensure all staff are trained in and committed to providing $ m5 ^( @/ w8 A& T% b
excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance " |2 R1 k3 a0 j+ [! Y4 b+ D+ u' M- Q$ S
and direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Programming and Venues to ensure
% B0 D+ z W0 b$ Jthat additional requests such as licensed receptions are arranged.

4. Overall Financial Performance

systems and processes utilized by or within the venues meet the
# p# D! n, m4 I" H) \appropriate standards, requirements and needs, and contribute in a , ^( ~+ G! o# @6 k {6 [' R0 r
positive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate
# q6 u" t9 X% A; Poperating budgets covering the venues to the SU´s Manager of
, N- l2 k/ \& v: K: i) FProgramming and Venues and to discuss and refine those budgets
0 z2 D0 m/ X) ~" ^5 C$ @. TManager of Programming and Venues, and Manager of Finance &
i) |5 S& h* ]$ b8 A' W5 NAdministration prior to their submission for final approval.- O5 m V7 h! K$ {
· To manage the venues in a manner which adequately and effectively

the best interests of the venues and the Students´ Union.

administrative documentation covering the venues to be used in the ' S! T& q% ?# l8 N) n1 j
compilation of monthly and annual financial statements, and such

costing systems to be used in connection with the determination and

· To recognize, address and handle all matters relating to financial ! e, s; O1 J5 {& r; t9 A* o
and administrative procedures and systems in a manner which reflects

a. To ensure, at all times, that the systems and processes used in * z( K& a. S- _. }( @8 d! l
renting the venues meet the appropriate standards, requirements and 3 n9 P, O1 `5 r4 T
needs, and contribute to the smooth operation and success of the
/ O R9 e/ P6 z* g! Z4 x( Rvenues. This includes, but is not limited to, the following:! @3 }8 d8 g& a J/ f
" Y6 H% z- P" Z" l* ]2 m! W· To recognize, develop and set in place such rental procedures as
7 I7 Y0 o& P ^may be necessary to ensure the smooth operation of the venues, this 5 l" ]. H8 Y+ C0 Z L
is to include but not necessarily be limited to systems and processes
8 `1 _# \% h3 Q2 ?# s( Lin the areas of contracts, inventory management, contract evaluation,
/ S* ?3 d' T% R, z; s8 | @pricing, costing, equipment usage, rental/contract invoicing,
* |2 e) X6 z ~1 _' H% ~together with such other systems and procedures as may be necessary ' b& t. N' R( w* x- K6 _
to ensure the smooth, secure, efficient, cost-effective and
0 Q1 s7 ]! j& X, P* y" Y. N; {- r# vfunctionally-effective operation of the Horowitz Theatre.; |2 k! Y n" i4 w: a
· To recognize, develop and set in place such operational procedures % O3 ^0 r/ O! r
as may be necessary to ensure the smooth, efficient and cost- & L' j* k$ B7 w/ G n; w
effective operation of the venues.
/ O& E3 R8 @5 E1 D. N4 w2 y) l+ Y· To negotiate rental lease agreements (contracts) relating to 8 C3 I+ ^) `2 H& U: w' ?
dates, rates, staff and miscellaneous charges.
$ v% i. V+ f8 |) O" b2 r- w· To ensure that adequate inventory is available at all times and
8 x( C j2 `: U) l" Nthat such inventory is stored and issued in effective and secure ways.
$ i+ |- x9 t) G8 Q1 w5 u· To consult with renters as to facility issues in producing their 8 l+ L$ h( l6 _' k8 o+ W
particular event in the venues.- D* M2 z3 |' q1 B2 O! d
· To provide the venues on-site staff with such documentation and 8 l) M- H/ e' h7 J
supporting information as it may need to effectively fulfill the
5 [3 z) t5 {( N+ a' _( d; M2 jroles they are to perform to ensure the success of the renter´s event.+ ?* ^9 P" V0 x r
· To produce quotes in respect to staffing costs for a particular ( y$ o1 i- S7 b! Y' G
rental with consultation with the Technical Director.& E! m) e' n3 f+ n$ v, t6 Z
· To ensure that all queries raised with the venues whether from the
$ U" H* X8 Z9 M7 j; h. [5 ASU or renters, are promptly and effectively handled and adequately
: `: p" _7 F. n( Ranswered, and to ensure that such action as may be necessary in 7 h( y9 ]( p! U. A5 E8 }
follow-up to such queries is taken in a timely manner.. G6 w) L I$ c W5 a- n/ @
To ensure that the venues and its capabilities are adequately, . ^" @1 r4 b H& }. i5 ^, K& Q$ H
effectively and cost-effectively advertised and promoted, and that
0 W. ~: o* V) ^$ r* k* qthe cost of such endeavors does not exceed the budgetary provision
- i* f7 n. x6 e# P+ v7 @- wmade for them unless prior approval is given by the Manager of
; k: U7 x. l/ X6 ], SProgramming and Venues.
1 I Y c7 m. W+ T, ?- n· To act as an informed and knowledgeable resource in the case of 1 M7 Q8 }7 H2 S& ?. @* V) b
significant challenges and/or problems surrounding the tasks of 5 ]/ C N/ T% t; B D4 \# M3 C
marketing, administration, operations, and any such other matters as 7 d$ F, H' I/ X! n) t9 A
may provide such challenges and/or problems.. {) |& K0 A! T& ?
· To attend such meetings as may be required to support the smooth ! ?) K+ T! L# N/ Z
operation of the venues or the Students´ Union as a whole.3 p" t5 y% H5 ]/ d3 \+ |7 @. F
· To perform other job-related duties as may be required by the

Administration, and in a manner which contributes positively to the
