The duties of the Operations Manager - SU Venues are diverse and  
/ h+ ]: h6 t& r; [* m0 A  B# Z3 c: sextensive, and are targeted at the all round smooth operation and  
7 {5 k3 E; c8 O, J8 `' l& n4 P: u' jfinancial and operational success of the Horowitz Theatre as well as  
# r# n+ Y. h- n/ A8 g( n  \the logistical organization and smooth rental of the additional  / s! v6 x( a8 O8 d3 l. Q
venues within the realm of the Students´ Union.  In the light of that  
) }; ^+ g! o: L2 y4 Q3 mbreadth and complexity, it is not possible to fully define or  
# j8 x: Z: z) M8 Z! F. Tdescribe all roles and responsibilities in a document of this kind.   
" F0 k5 M$ _, H1 G" D% lHowever, the main roles and responsibilities of the Operations

a.   To ensure, at all times, that the venues listed below meet the  ( K. Z0 z8 }. N( H
appropriate standards, requirements and needs, and contributes in a  3 C+ }8 A4 w8 W1 ~" d
positive way to the smooth operation and success of the individual  6 E+ N, P! S+ h' F0 a  r5 M
renter.* k- f9 R5 C, N8 k. \2 ?2 ?
·     Myer Horowitz Theatre

b.   This includes, but is not limited to, the following:
  R' {6 E  e) d; G1 g7 C·     To plan the capital and supply expenditures to meet the  6 d  d# c* M5 l* S4 E
production and facility requirements.8 B% _5 q- K" C2 q: {6 `+ t
·     To ensure the day-to-day compliance of the venues with existing  
0 z6 o0 ?$ }; X5 E% Y8 A- P/ Xsafety regulations and building policies.1 U. d6 _, P. @4 _) {
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
0 a2 J+ M. s" x4 V: g" j+ V- n! c) Q) W4 o& Z( w
a.   To develop and implement a marketing plan for the venues that  
7 t$ S% @3 m0 K$ j( C5 V2 ^2 H9 zfocuses upon advertising and promoting the venue to faculty,  % I% {$ z) r6 F- M& N. [+ }+ ~% w
students, and internal and external clients on an on-going basis.  
/ u; {3 e% D( ]5 T$ e0 rThis strategy will include implementing and/or delegating the following:
- R# r5 e8 g7 N2 S0 p/ B& u·     To develop and maintain promotional materials, the Horowitz  
7 S3 t2 K, C( x+ O$ O+ p  hTheatre and SU Venues home page, newspaper and other advertising; to  # [+ j( d/ ]8 Q. |
take advantage of other internal and external advertising  2 q/ L' J! a% H$ Z; ]
opportunities; and to develop press releases and other promotional    R* a; _; `# ~1 v5 h* T
literature on an ongoing basis.
1 j' z, r$ T. C& b2 f& Q4 F$ V/ Q- V* h·     To coordinate tours of the venues for potential renters.0 {) H- p5 P- u$ u  f
·     To promote upcoming events in the Horowitz Theatre through the  
8 W0 C1 I4 U" h" B/ q( T' huse of the Horowitz Theatre Home Page and the SU Events Calendar.
+ B9 J4 m- `9 a! f: u: V·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities
% u1 o1 v8 B6 C2 w& R; @! E$ ]' A$ v- ^% y
a.   To ensure, at all times, that the venues are adequately and cost- + \# q* w" Z; [7 ~. n
effectively staffed, and that the staff utilized by or within the  # I' ]& i# ?9 _' V8 j. ~6 Z
venues meet the appropriate standards, requirements and needs, and  0 y. c& S# f7 j, k: t+ t9 W
contribute in a positive way to the smooth operation and success of  
. n8 i- ?- }$ z9 N: g2 jthe renter´s events. This includes, but is not necessarily limited  3 o& v1 Q2 y& P! H
to, the following:% A  W& D$ K5 d+ ~
·     To be responsible, under the direction of the Manager of Venues  
+ O8 \* h: y, s/ gand Programming, for all staff issues including hiring, disciplining,  
6 I. }8 o! K9 S8 y) x2 p% h& w! N2 Tevaluating and terminating, as necessary.* j/ @9 s4 O' g
To ensure that the Horowitz Theatre is adequately supervised at  
3 l2 X) D$ w+ d* F5 c) Hall times, this includes the development and implementation of such    j" Q" a& \/ {6 }( j
schedules and rosters as may be necessary to ensure the effective and  ) B' z5 t+ \5 X* E
cost-effective supervision of the venues at all times during which it    c6 Q6 _% v5 ^$ e/ T7 w' l6 s
is in operation or needs to be in operation.+ ^- p! Y; ?0 H# j  G
·     To work with the Technical Director, when necessary, to ensure  : E" P  o7 y- ?9 [; T
that an adequate and appropriate level of part-time staff exists to  , F+ s. _. Y7 E" k4 `- y
facilitate the smooth operation of the venues and to ensure all  
6 F9 j. |6 q' s& N7 ]7 Y) Trenters needs are met.
) v9 h; Z0 b- o- e/ r: y0 `·     To work with the Technical Director to ensure that the skills  " N4 R# J1 E/ C
and attitudes of all subordinate staff are appropriate in light of  
) P+ V# Q) S9 Jthe roles they must perform. This includes providing adequate and  : O1 U; d( ^& N6 H3 c
effective training (and re-training) in all applicable and  
5 Z: o" X& A( |, Yappropriate areas, and ensuring that the Policy and Procedures manual  
& C! s1 z) G% ~- ^7 o$ J8 ?# \is kep up-to-date at all times.9 a+ A8 u* i' h; U& l& l
·     To ensure all staff are trained in and committed to providing  
* ?6 D+ R. n) Dexcellent customer service to all renters." P! n) [* \- X* f
·     To work with the Technical Director to arrange staff  : w: S6 x' n) T! _8 r- R+ W
scheduling.  To handle payroll related matters, under the guidance  
3 e9 d# V2 k; Gand direction of the Manager of Venues and Programming, concerning  
* a# A7 Y, t: Uthe staff of the venues.
9 P2 y& P1 I; C3 r0 n! Q% U. @& d·     Working with the Manager of Facilities and Operations to ensure  ; N8 o6 L2 ?1 w4 |6 N
the appropriate setup/tear down of each venue.
% t" R( L$ ^( U4 |) K·     Working with the Manager of Programming and Venues to ensure  
, r% a5 z/ L6 y0 d- Q% Kthat additional requests such as licensed receptions are arranged.+ \7 w( N. W. i& O  x% P6 q' \

4.          Overall Financial Performance9 i6 h2 a3 C1 }* o# ^, ~

a. To ensure, at all times, that the Financial and Administrative  
: y: d& E7 g* S5 W5 b$ i3 Esystems and processes utilized by or within the venues meet the  
1 w6 T( @7 b+ E9 @; G+ I  f- mappropriate standards, requirements and needs, and contribute in a  % I9 c5 \7 C- C/ j* z9 M. b9 A( i
positive way to the smooth operation and success of the venues. This  ' u4 G7 ]+ M6 L9 }$ f9 U: g6 M( Q
includes, but is not necessarily limited to, the following:
. h/ L) B2 e/ u# d To provide input and expertise in the formulation of appropriate  & |# K1 Y& P$ |: p: X5 v5 l
operating budgets covering the venues to the SU´s Manager of  1 o+ J0 c6 T! I( M
Programming and Venues and to discuss and refine those budgets  ; a: ~1 R3 ]+ @4 O& r3 t) R# [  r
Manager of Programming and Venues, and Manager of Finance &  
8 A9 ~) Q2 T, e8 X, N* P; R/ o! GAdministration prior to their submission for final approval.8 R2 e4 C; z- g3 E+ v* x8 G. }+ T
·  To manage the venues in a manner which adequately and effectively  
/ r6 d& X/ S5 Lreflects the budgets approved for the venues and/or which reflects  
* N5 e5 g3 [% w+ k; R; a/ a! ~the best interests of the venues and the Students´ Union.
6 V. b& e; \, D6 {& y7 p·  To function as the key player in the submission of financial and  
' D. t4 [% F+ _/ vadministrative documentation covering the venues to be used in the  1 w. k. e4 Y7 c1 ^% u) r$ m$ D3 f
compilation of monthly and annual financial statements, and such  
3 p7 t7 H( l' Y0 U+ \other reports as may be necessary.$ q' L8 ^( y9 p. ^0 o
·  To discuss those financial statements and other reports, together  
3 Q0 F  m. L. D: D' Xwith all financial and administrative procedures, with the SU´s  
( P( y8 g, q2 H% p; U% WManager of Programming and Venues and Manager of Finance &  1 C9 g4 ]8 H4 f* Z6 b- e
Administration with a view to determining and implementing action  . p6 y* v  W' ]2 _: j/ m
aimed at improving the financial and/or functional effectiveness of  " P  Z' ?6 s! n% X0 T
the Horowitz Theatre.8 |$ R4 }8 B: }( [
·  To ensure the existence of adequate, effective and accurate job  
5 N* t" S" D5 d4 S! q: xcosting systems to be used in connection with the determination and  . I& ~9 C; N  Z/ u
setting of appropriate prices for rental and staffing rates for  
9 n* j6 o; V; J" f; P' b4 vevents held in the Horowitz Theatre.
/ w8 z. ^0 i# ~+ H, t·  To develop accurate documentation to be used in connection with  5 i$ T) s0 V7 n1 ]7 u/ y, `9 F
the billing clients, and to forward such documentation in a timely  
  p& A# K5 j$ N1 j9 umanner to the Accounting Department.
% Z) o6 C" a+ {0 r: v  |·  To recognize, address and handle all matters relating to financial  : A& W( M( M' p" U) U3 J  T- q
and administrative procedures and systems in a manner which reflects  2 I: O! Z& a4 e/ x! e5 ~/ G% Q
the requirements of the SU´s Manager of Programming and Venues and  ( d" w1 L  ~5 }; C  f
Manager of Finance and Administration, and in a manner which  ) q! X+ n# h! l
contributes positively to the smooth operation and success of the  9 X* o4 l+ ^; X( R4 ~* Y& z
venues.

9 h1 N! ~& R# b# Q5.          Overall Roles and Responsibilities
: H, N8 I" o( _a.   To ensure, at all times, that the systems and processes used in  5 ]1 X2 Y  g: X% {
renting the venues meet the appropriate standards, requirements and  . |5 D& v5 j, _0 [1 Q2 Z
needs, and contribute to the smooth operation and success of the  + `5 Z- o3 r4 u- W$ D1 y
venues. This includes, but is not limited to, the following:
" W; k; ^( P' h" N" l$ ?' I4 R) n
·  To recognize, develop and set in place such rental procedures as  
/ T" E( [. d4 Hmay be necessary to ensure the smooth operation of the venues, this  
9 Z2 N9 W' P5 e" p2 g' v3 Xis to include but not necessarily be limited to systems and processes  ' o" w0 T* q0 [. V
in the areas of contracts, inventory management, contract evaluation,  
7 n4 i8 u6 r5 g' z: u( m1 r2 mpricing, costing, equipment usage, rental/contract invoicing,  , N3 A9 V+ J+ S/ e% ?1 c
together with such other systems and procedures as may be necessary  , Y! K" j, L4 ]7 I; {
to ensure the smooth, secure, efficient, cost-effective and  
; I) ]) O' S. K  h; O( mfunctionally-effective operation of the Horowitz Theatre.
+ j( l3 s+ p0 ^: R4 p* e2 `. C·  To recognize, develop and set in place such operational procedures  
9 d' [" r% r4 o, [! f% K  Las may be necessary to ensure the smooth, efficient and cost-
1 e  p1 K$ C( ?1 peffective operation of the venues.5 p2 V  d. }1 b1 ~' U7 B
·  To negotiate rental lease agreements (contracts) relating to  
2 F9 H* @! v' o8 f. J' xdates, rates, staff and miscellaneous charges.4 g8 l1 |% O6 E7 z& x& X
·  To ensure that adequate inventory is available at all times and  1 N2 y+ v: C% r: r- w9 Y5 z  ^. \
that such inventory is stored and issued in effective and secure ways.4 n; w/ K9 ~/ y# ?0 v* c
·  To consult with renters as to facility issues in producing their  , i9 t2 c1 A/ l
particular event in the venues.
1 }4 f1 G+ D4 F, y8 u$ ~- w3 a·  To provide the venues on-site staff with such documentation and  
" I7 i/ q; M( s: N) I  [supporting information as it may need to effectively fulfill the  9 N" H* H1 T0 j- J( `( \- ?& L
roles they are to perform to ensure the success of the renter´s event.# x) p5 Q4 I9 T5 H7 {
·  To produce quotes in respect to staffing costs for a particular  
) e5 x6 W+ }/ w' n/ y1 Arental with consultation with the Technical Director.: {( x6 V* M4 A5 ?
·  To ensure that all queries raised with the venues whether from the  
/ T! {8 B6 Q4 I2 {SU or renters, are promptly and effectively handled and adequately  + F4 {/ c  e$ t
answered, and to ensure that such action as may be necessary in  * o. O' _$ U4 `5 Y! e# x" R1 J
follow-up to such queries is taken in a timely manner.& o' t5 [/ Q' [
To ensure that the venues and its capabilities are adequately,  
+ `+ P; {$ B! S, V9 C+ |2 ~effectively and cost-effectively advertised and promoted, and that  
. J3 y) C% k8 |; d6 y# mthe cost of such endeavors does not exceed the budgetary provision  7 C" `" ]5 O" b  p/ u3 Q& s
made for them unless prior approval is given by the Manager of  
/ ]4 \5 e( R( U9 |) y  KProgramming and Venues.
2 `8 _7 v$ m' J6 T+ A$ B·  To act as an informed and knowledgeable resource in the case of  ) o2 D4 M, B9 b" K& d" [; V
significant challenges and/or problems surrounding the tasks of  3 o- ?& x- G, I" Y/ V6 @, |4 s, h
marketing, administration, operations, and any such other matters as  
2 V% s* ^0 m/ x  Qmay provide such challenges and/or problems.
* C* g5 G9 J# z·  To attend such meetings as may be required to support the smooth  
3 o( v; U. ^7 S* b9 [operation of the venues or the Students´ Union as a whole.
# D! W+ S; S' f$ j4 r1 m·  To perform other job-related duties as may be required by the  / V- C- `0 h, Q6 c, d/ R
Manager of Programming and Venues in order to ensure the smooth and  + P  G7 \* {# n: Z  u
secure operation of the venues.* i% V8 e( F' x9 d: p9 Q& x
·  To recognize, address and handle all matters relating to overall  
" [' E8 J" T; O( L) Poperations in a manner which reflects the requirements of the SU´s  ) s9 ^2 h$ a& L0 Z
Manager of Programming and Venues, and Manager of Finance and  
! D) L* H# |% [* xAdministration, and in a manner which contributes positively to the  
. I; a1 y  _% g* ?- z, q6 Psmooth operation and success of the Horowitz Theatre.

1)             Minimum two years related post secondary education, or  ' ~  C# Q3 _! Z6 {8 h) k
an acceptable combination of education and experience.% j6 W7 X' u- T+ i$ G
2)             Supervisory experience.
% @" }( g- O8 l3)             Ability to create new initiatives with little or no  7 [' b+ b/ V4 u# V

4)             High level of creativity
