the logistical organization and smooth rental of the additional

breadth and complexity, it is not possible to fully define or

a. To develop and implement a marketing plan for the venues that
4 U" R: }4 W/ G# b. Z3 vfocuses upon advertising and promoting the venue to faculty, # b% z9 u4 e" t/ @
students, and internal and external clients on an on-going basis. 2 e, x) R+ f: M( @. g
This strategy will include implementing and/or delegating the following:4 E) Z' `/ e* s! w0 h: _, L8 T' c
· To develop and maintain promotional materials, the Horowitz
; L3 P+ j. q# \0 Q/ D& ^Theatre and SU Venues home page, newspaper and other advertising; to ( h. j4 C! f, L8 ^6 ^/ {
take advantage of other internal and external advertising
6 V6 W- R1 y9 M4 V9 A( H! P* ]" b" nopportunities; and to develop press releases and other promotional + f+ j1 {$ r$ @, e9 f( T
literature on an ongoing basis.

& Z/ N) g* L7 Y% e· To promote upcoming events in the Horowitz Theatre through the
4 P7 v8 N! {# s7 Z" @: o% N% ruse of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities [% H. t# p9 C: t8 R, o( U F
" G6 W( d2 T5 F" B Ua. To ensure, at all times, that the venues are adequately and cost- . {& D% U3 X9 v( p% ~! i
effectively staffed, and that the staff utilized by or within the
+ G. r9 V; S9 G/ U8 E0 avenues meet the appropriate standards, requirements and needs, and
5 l0 l7 a. I9 g1 O" Ncontribute in a positive way to the smooth operation and success of 5 `- F/ K' G+ A4 M3 N9 c
the renter´s events. This includes, but is not necessarily limited 7 {+ X. B8 E# `# X/ X5 W
to, the following:& I( l9 G2 u" k7 W8 t1 {9 d7 |/ m
· To be responsible, under the direction of the Manager of Venues , i# Y8 \0 R( Y1 I0 I3 R# M" i
and Programming, for all staff issues including hiring, disciplining,
3 ]4 a& K. K. p$ y% {$ e) `evaluating and terminating, as necessary.
; n; f4 d4 a' ?# M8 i c _4 T# u To ensure that the Horowitz Theatre is adequately supervised at ' o; q. f& [0 l k
all times, this includes the development and implementation of such * M. f. [+ F* ]$ y% x& F
schedules and rosters as may be necessary to ensure the effective and : a. S6 v3 [+ A; i
cost-effective supervision of the venues at all times during which it
+ |6 y( z: e% j! g$ m) O8 Y. B. Ris in operation or needs to be in operation.8 B3 p. V6 b; j5 C
· To work with the Technical Director, when necessary, to ensure
3 R* O p' h) a' othat an adequate and appropriate level of part-time staff exists to ) \5 g/ }' `# c [
facilitate the smooth operation of the venues and to ensure all 5 C$ _% j) q0 I* n
renters needs are met.' g( A% g3 @$ ^: I
· To work with the Technical Director to ensure that the skills - E/ k; Z3 f4 b+ A" g$ }1 Q
and attitudes of all subordinate staff are appropriate in light of ! \# K! @1 J7 r9 J. I
the roles they must perform. This includes providing adequate and
5 p; s5 Z' y. c# @+ d9 aeffective training (and re-training) in all applicable and
. i6 `- F% D' |0 Z8 wappropriate areas, and ensuring that the Policy and Procedures manual : a! @2 r: s+ K; N" ]- V9 U
is kep up-to-date at all times.) Q' O2 L+ h+ u- [7 g9 s
· To ensure all staff are trained in and committed to providing

· To work with the Technical Director to arrange staff $ i4 V, ^4 K, t
scheduling. To handle payroll related matters, under the guidance ; I0 R* f2 ~' l. a2 d: R x
and direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Facilities and Operations to ensure
( r G* Y I& C) l [; i, mthe appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.$ t, ?9 x- t, k, M# a

4. Overall Financial Performance) G) N0 G' J$ ?9 S" @8 I4 O8 W
" X6 ?0 b; |5 m% J. S* X8 }a. To ensure, at all times, that the Financial and Administrative
% ~+ N% M$ |' ^2 _, Xsystems and processes utilized by or within the venues meet the
0 `* z* _9 \1 h' K% Oappropriate standards, requirements and needs, and contribute in a
2 d' k0 R5 g; }positive way to the smooth operation and success of the venues. This ) k* Q1 X! j, H! x$ v" C
includes, but is not necessarily limited to, the following:( j9 s% }. J- F& e: @, x
To provide input and expertise in the formulation of appropriate 6 E( |6 y7 A8 f+ m3 B/ S( k
operating budgets covering the venues to the SU´s Manager of / V* _( W A& j+ M& D5 \
Programming and Venues and to discuss and refine those budgets : _/ X8 j) H( l1 g
Manager of Programming and Venues, and Manager of Finance & + H3 N0 J, b! ]6 E& o) y8 N
Administration prior to their submission for final approval.
0 G9 }. l3 g) o8 V/ G' z2 u3 f· To manage the venues in a manner which adequately and effectively
4 m$ O L: m" ereflects the budgets approved for the venues and/or which reflects
3 K/ r- N0 D0 Y" d& Mthe best interests of the venues and the Students´ Union.
" B- Y; }: h/ B; _· To function as the key player in the submission of financial and

· To discuss those financial statements and other reports, together 6 M& r1 O3 Y/ T+ t8 f
with all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action

· To ensure the existence of adequate, effective and accurate job

setting of appropriate prices for rental and staffing rates for 1 s; _9 O0 E# \% B A
events held in the Horowitz Theatre.6 B1 z2 _7 B4 G+ O" }9 T, |( f
· To develop accurate documentation to be used in connection with
4 N7 }8 K h8 a: m& t; Nthe billing clients, and to forward such documentation in a timely

and administrative procedures and systems in a manner which reflects

5 g- t5 N+ J8 l4 Ba. To ensure, at all times, that the systems and processes used in
* @5 F6 r, ~3 ^* @: irenting the venues meet the appropriate standards, requirements and
* V; y0 g% e. ^& Dneeds, and contribute to the smooth operation and success of the " W: B6 [. h3 i9 ^
venues. This includes, but is not limited to, the following:9 t3 z I3 m. P. u9 j% N
( ~! R' }; r2 r9 t
· To recognize, develop and set in place such rental procedures as
2 f& f4 ~, o& c* n4 {may be necessary to ensure the smooth operation of the venues, this 5 A6 D I% y& R
is to include but not necessarily be limited to systems and processes
$ Z& ]8 W% I2 h8 S0 M: {in the areas of contracts, inventory management, contract evaluation, 8 f, g' ]9 U3 i# L
pricing, costing, equipment usage, rental/contract invoicing, 9 G- c+ |% |* H
together with such other systems and procedures as may be necessary
7 L7 Q- c* K3 xto ensure the smooth, secure, efficient, cost-effective and
" t! E0 r9 I) D- W! Q6 d2 h6 U" Efunctionally-effective operation of the Horowitz Theatre.
5 Q$ _. V% x7 G/ @· To recognize, develop and set in place such operational procedures 8 a7 o+ \, u, Y: D
as may be necessary to ensure the smooth, efficient and cost- : k1 l" p) r* t$ i
effective operation of the venues.
: s8 S* ^9 \$ X5 E1 o2 K# J/ E: }· To negotiate rental lease agreements (contracts) relating to & d, G% y/ E, W( R
dates, rates, staff and miscellaneous charges./ U9 z; d6 [$ y [# W2 Y
· To ensure that adequate inventory is available at all times and
8 M1 W3 y% J$ _9 X3 Othat such inventory is stored and issued in effective and secure ways.
$ ^, z, b9 n/ ?! |2 W, x· To consult with renters as to facility issues in producing their
5 i' `/ g9 k+ a2 S0 v6 \particular event in the venues.
3 D, X7 i4 B8 |/ y* K" ]6 d· To provide the venues on-site staff with such documentation and 6 D( t, v6 i* d: A3 r
supporting information as it may need to effectively fulfill the ( k# b" b4 F6 m
roles they are to perform to ensure the success of the renter´s event.' w) M" C7 @& G2 |9 k \$ T \
· To produce quotes in respect to staffing costs for a particular . r8 j3 I+ ?' i7 a! @8 k3 k' M
rental with consultation with the Technical Director.
2 y! p; M$ y; v, I* R· To ensure that all queries raised with the venues whether from the $ H( D) a$ D$ H6 j0 ]* x. W
SU or renters, are promptly and effectively handled and adequately + ?- X# w) _8 h3 ?4 y$ v% ~8 e
answered, and to ensure that such action as may be necessary in
6 ]5 z- [# c8 P+ [3 k o8 jfollow-up to such queries is taken in a timely manner.
& {. U8 h' G& h4 m' z To ensure that the venues and its capabilities are adequately,
& n1 w9 z) G6 _, ~3 {: Neffectively and cost-effectively advertised and promoted, and that - n! G" N3 a0 h: c
the cost of such endeavors does not exceed the budgetary provision 2 D6 ], Q/ E& ^1 f, u6 O
made for them unless prior approval is given by the Manager of + s# w& D) O$ C2 S1 s# H' C- T

· To act as an informed and knowledgeable resource in the case of
7 t0 e8 m x! G A$ \' @significant challenges and/or problems surrounding the tasks of
* M2 t# [2 B* ?& F! u) m! `( Q( `marketing, administration, operations, and any such other matters as
4 O) c: \' D+ a- P" [5 xmay provide such challenges and/or problems.
