and Venues.

ROLES AND RESPONSIBILITIES
- V) e  l4 n9 Q" u- v0 b8 NThe duties of the Operations Manager - SU Venues are diverse and  ; f' D2 g8 M  ?- Q3 d. i+ z
extensive, and are targeted at the all round smooth operation and  5 A9 C5 U/ U3 d. m$ Q
financial and operational success of the Horowitz Theatre as well as  1 r. p! \( h0 ~# H' O9 B/ U
the logistical organization and smooth rental of the additional  . }1 v; B6 n4 }+ \% ^. I
venues within the realm of the Students´ Union.  In the light of that  9 h8 ?+ ^. T2 j/ l7 w: o2 i
breadth and complexity, it is not possible to fully define or  $ {" J, d0 s/ z  j; z
describe all roles and responsibilities in a document of this kind.   . ~& N) h$ j8 w0 @: o  [9 n* S
However, the main roles and responsibilities of the Operations  
( T7 r% ~; S* S3 xManager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  
3 N& V' {" [. A7 Yappropriate standards, requirements and needs, and contributes in a  8 l% w- B! Z% a# U
positive way to the smooth operation and success of the individual  4 k. ]% ~5 m6 k# s6 O% A6 X
renter.

b.   This includes, but is not limited to, the following:
& e2 V5 f0 s; B3 e$ x" T( M·     To plan the capital and supply expenditures to meet the  
6 U2 @; {* R2 H+ ~! Yproduction and facility requirements.
% p4 U: `$ V. O1 A9 y0 d  [8 j4 U·     To ensure the day-to-day compliance of the venues with existing

To ensure that the maximum potential of renters is met.+ l* L% o. K9 q" }/ p( g

2.        Marketing and Promotion# W  a' E$ u6 K
6 P$ v' z; J1 z. P+ ^( r  m
a.   To develop and implement a marketing plan for the venues that  6 T0 f+ F  J; f; t, M: E
focuses upon advertising and promoting the venue to faculty,  
. r5 e) v; Y3 B- f2 hstudents, and internal and external clients on an on-going basis.  
# G5 I4 e/ v& G+ Z4 l' k; W1 _2 wThis strategy will include implementing and/or delegating the following:
& A$ ~! Z( B: O. d·     To develop and maintain promotional materials, the Horowitz  
5 c! i0 P2 B# GTheatre and SU Venues home page, newspaper and other advertising; to  ! L  Y. s" X. Z8 N: Y+ P% S
take advantage of other internal and external advertising  
3 p2 f+ K; N& xopportunities; and to develop press releases and other promotional  
6 `3 j1 j3 U& F8 H) nliterature on an ongoing basis.; |% k7 f, V/ _. _( U& j
·     To coordinate tours of the venues for potential renters.
* i; o1 {  S) I; n7 t* ~·     To promote upcoming events in the Horowitz Theatre through the  % Q; r9 v( i4 S* P. N3 S# R3 ~
use of the Horowitz Theatre Home Page and the SU Events Calendar.
1 \! i/ ?$ l- L·     To develop new external clients for the venues.* o" y6 s" |0 k3 V! g$ I/ v- ?

3 o, e, a4 ?6 T1 N" ^5 W3.        Staff and Supervisory Roles and Responsibilities
2 u- N* g2 ?7 p& P0 v/ z; Q  _  p
1 x- `! w/ f  d7 ~2 A. La.   To ensure, at all times, that the venues are adequately and cost-
) z* J3 g( G; _effectively staffed, and that the staff utilized by or within the  9 u" G& O1 M7 K$ ~: h) v
venues meet the appropriate standards, requirements and needs, and  2 M' Y! `4 L) Y+ p- b" Y
contribute in a positive way to the smooth operation and success of  
2 G6 m" o$ m' D, k5 Ythe renter´s events. This includes, but is not necessarily limited  
5 k  o8 l' \$ V4 [3 @2 o* lto, the following:
% m! Y- x6 ^+ a1 u5 w$ o( p% C7 }·     To be responsible, under the direction of the Manager of Venues  
3 ?( o$ `9 y7 L. zand Programming, for all staff issues including hiring, disciplining,  
1 V# {! Q1 {6 z: y- p9 q6 Q" C7 Jevaluating and terminating, as necessary.
1 `9 i$ v% j% A. P To ensure that the Horowitz Theatre is adequately supervised at  
( v; C/ q4 ^( Y1 D4 K. y+ Nall times, this includes the development and implementation of such  2 P# P! P# m: y) i+ D9 g
schedules and rosters as may be necessary to ensure the effective and  ! o) p$ \* U5 k& Y
cost-effective supervision of the venues at all times during which it  
; H; l& H: L' n# {. his in operation or needs to be in operation.
8 o5 c3 M0 W, Z' t) q' D·     To work with the Technical Director, when necessary, to ensure  
& ^* w! Q; d+ }( k+ qthat an adequate and appropriate level of part-time staff exists to  4 w" Z/ o2 [9 A5 B% i
facilitate the smooth operation of the venues and to ensure all  
" z1 C) o- k3 X' @renters needs are met.1 C* j* A9 Y$ z+ k; _: V, g
·     To work with the Technical Director to ensure that the skills  
- E) o. F( q$ X& q0 e1 Kand attitudes of all subordinate staff are appropriate in light of  6 C( f- X6 ^: a5 Y1 n$ Y0 @
the roles they must perform. This includes providing adequate and  " r; A' P& V& m, O
effective training (and re-training) in all applicable and  8 `) e8 X! b; [7 p
appropriate areas, and ensuring that the Policy and Procedures manual  # E8 J; m$ q" [4 v9 U1 d. X! h
is kep up-to-date at all times.6 ^' K* n7 d8 b* @4 I
·     To ensure all staff are trained in and committed to providing  
, K% v1 F: ~3 H+ w, Jexcellent customer service to all renters.% J# m  V4 I5 W( s- `& s) c
·     To work with the Technical Director to arrange staff  
6 u0 S  \. x8 ~  o( p6 nscheduling.  To handle payroll related matters, under the guidance  5 t; }( ], K. t5 L0 U% O0 s
and direction of the Manager of Venues and Programming, concerning  
+ ~  \  e5 i  Q% }  S$ o$ @the staff of the venues.3 b5 q0 Y9 C: w4 K+ A, O
·     Working with the Manager of Facilities and Operations to ensure  
6 L0 c! T8 @4 ?) p  y0 |the appropriate setup/tear down of each venue.
( M5 }! z; Z& q5 j9 r) Y·     Working with the Manager of Programming and Venues to ensure  
/ p' l  ?, h# x, N0 x. Nthat additional requests such as licensed receptions are arranged.7 F: d: v, n% G7 C& h2 I

4.          Overall Financial Performance
. N7 D6 X3 c! V9 M
6 }8 A2 Q. j+ R  i% \: o- ta. To ensure, at all times, that the Financial and Administrative  - E1 W. [1 X" x, P5 k* j/ I
systems and processes utilized by or within the venues meet the  - N$ T5 |8 f( E' q6 Q
appropriate standards, requirements and needs, and contribute in a  , G9 E# c  V$ ?; P2 g
positive way to the smooth operation and success of the venues. This  9 r& m# y' i8 q* b- p2 E
includes, but is not necessarily limited to, the following:
5 u: ]( `7 h1 i3 h To provide input and expertise in the formulation of appropriate  - z# Z7 G( b4 Y8 {- D, R
operating budgets covering the venues to the SU´s Manager of  ) ^, L. E  @. ]% ?% |. x; R% x
Programming and Venues and to discuss and refine those budgets  , \% Y; w, _- g0 d
Manager of Programming and Venues, and Manager of Finance &  
! C  X: E. Y2 p1 H2 qAdministration prior to their submission for final approval., d" T5 C) v% G/ F/ K  k
·  To manage the venues in a manner which adequately and effectively  
# V2 v5 w0 P+ T  @' t0 w- t) rreflects the budgets approved for the venues and/or which reflects  
/ I0 E1 _' }* D& N, A2 K' Vthe best interests of the venues and the Students´ Union.: C. p% H. ^6 U  V8 f' [
·  To function as the key player in the submission of financial and  . R. N' E" ^# [1 O- b
administrative documentation covering the venues to be used in the  1 w3 ?9 ?- d4 a. P* b
compilation of monthly and annual financial statements, and such  $ g% T( S. p7 ~
other reports as may be necessary.
3 A. e; w: l  ?6 h$ r& j# O·  To discuss those financial statements and other reports, together  ) }$ T$ ~  Z6 x: q  Q' n; ^
with all financial and administrative procedures, with the SU´s  
, l. ]7 a2 t5 b9 i6 w, E3 uManager of Programming and Venues and Manager of Finance &  / |' f- k! s8 @
Administration with a view to determining and implementing action  & c7 U% F% y0 ~8 L9 T" h+ _
aimed at improving the financial and/or functional effectiveness of  % }) ~' d" A# f8 k
the Horowitz Theatre.
6 x# k9 n. j8 f9 V( P1 T·  To ensure the existence of adequate, effective and accurate job  
) N' M1 K- n/ o% u: b) R9 L+ f% M) ycosting systems to be used in connection with the determination and  ) j+ c. l/ O" w1 c- `
setting of appropriate prices for rental and staffing rates for  $ o* o; `4 h. Y! Y8 C
events held in the Horowitz Theatre.: R7 }( s( h% K; j2 J4 W
·  To develop accurate documentation to be used in connection with  , [4 F# e. C& a  B& n
the billing clients, and to forward such documentation in a timely  + y6 O  S2 r; \- ]- I4 [8 N
manner to the Accounting Department.  r, C) ^2 k- p- {
·  To recognize, address and handle all matters relating to financial  
3 f0 t1 Z: \: U6 Fand administrative procedures and systems in a manner which reflects  # x+ {2 ?; Q6 h: G4 R/ w4 ?
the requirements of the SU´s Manager of Programming and Venues and  
7 |8 q3 _1 t/ P3 {: O$ k  @Manager of Finance and Administration, and in a manner which  / z! e1 {' Y6 n. U0 X% h6 o' v
contributes positively to the smooth operation and success of the  
; R6 q! ~# l: H$ Y0 p; Gvenues.: N# A  A* y& C  e7 U

  ]1 M0 F' l3 u5 r5.          Overall Roles and Responsibilities
3 m+ F3 N1 S; }+ z* A: |a.   To ensure, at all times, that the systems and processes used in  ( ~1 S+ f8 w0 v8 J
renting the venues meet the appropriate standards, requirements and  + i% F! X; H  H+ r
needs, and contribute to the smooth operation and success of the  
: O. p  i# \: J* Zvenues. This includes, but is not limited to, the following:
: z. N4 c# |8 e. S1 u4 |
: H1 q, o9 |6 q7 _1 s7 r·  To recognize, develop and set in place such rental procedures as  6 w* l$ H: U) U0 N+ j$ q
may be necessary to ensure the smooth operation of the venues, this  
( P- y' }( K7 u' j8 |is to include but not necessarily be limited to systems and processes  
1 D' v- C1 K& c: I0 H, z. [in the areas of contracts, inventory management, contract evaluation,  6 g1 N' [6 a6 \& Q4 z) ^  j$ Q8 u7 }1 h
pricing, costing, equipment usage, rental/contract invoicing,  % }5 p/ u' u  U2 ]; ]5 ^
together with such other systems and procedures as may be necessary  
9 Y2 }1 N$ D9 L- n2 f( z$ qto ensure the smooth, secure, efficient, cost-effective and  2 o5 J$ |) r* h( W
functionally-effective operation of the Horowitz Theatre.
" L9 F2 D. A* }6 P/ {·  To recognize, develop and set in place such operational procedures  % ^) b# f1 H" F8 @! e' ?  O. g4 S7 L
as may be necessary to ensure the smooth, efficient and cost-   R4 b/ @- O0 J3 `- z* p
effective operation of the venues.
$ }6 c1 z3 \! I3 }* d9 t& I7 |·  To negotiate rental lease agreements (contracts) relating to  ! t2 r2 F7 d+ ]& ^& {/ [
dates, rates, staff and miscellaneous charges.+ v0 O0 I3 N' o) W
·  To ensure that adequate inventory is available at all times and  
% g! d2 W. n& j, e  y  W1 W1 G2 ~that such inventory is stored and issued in effective and secure ways.  j( _4 D; n# q
·  To consult with renters as to facility issues in producing their    r- f6 T! W8 a: n7 W, r
particular event in the venues.  x5 y( W; J8 C) Q. y
·  To provide the venues on-site staff with such documentation and  
/ j! v' |6 j7 t( |supporting information as it may need to effectively fulfill the  
4 f2 ~! Y( Q0 m2 m) ?1 i# croles they are to perform to ensure the success of the renter´s event.
, R1 T; \- {8 m8 T3 d8 v" H·  To produce quotes in respect to staffing costs for a particular  ( ?. N+ W2 V  o3 M. z+ H
rental with consultation with the Technical Director.
  N) c3 d5 I* H  o  u& |·  To ensure that all queries raised with the venues whether from the  4 c4 i$ B0 v4 C. }" T
SU or renters, are promptly and effectively handled and adequately  # [2 p. V. V( c3 D/ ^
answered, and to ensure that such action as may be necessary in  2 h/ {& p0 d5 l# q
follow-up to such queries is taken in a timely manner.3 r( \3 w( J* T% {  {
To ensure that the venues and its capabilities are adequately,  4 y! s8 d$ O9 Z/ q
effectively and cost-effectively advertised and promoted, and that  $ h* z$ {+ J$ K3 S
the cost of such endeavors does not exceed the budgetary provision  
) O/ }' |* F- Q  |made for them unless prior approval is given by the Manager of  
$ D0 T* [2 p) U2 A0 hProgramming and Venues.* R/ `( G' L" |% ]
·  To act as an informed and knowledgeable resource in the case of  
3 s& E. ?9 v# Osignificant challenges and/or problems surrounding the tasks of  : e0 x# y2 L7 w# |6 g9 H% r3 J
marketing, administration, operations, and any such other matters as  
( m0 M" {% M# Amay provide such challenges and/or problems.
% Q+ K. o9 p4 {. O! e+ S- ~·  To attend such meetings as may be required to support the smooth  
0 ^' o# @  t0 k  A4 Coperation of the venues or the Students´ Union as a whole.
, b) i! N. |3 E. @·  To perform other job-related duties as may be required by the  3 B9 Z* v3 H4 V9 k) x
Manager of Programming and Venues in order to ensure the smooth and

·  To recognize, address and handle all matters relating to overall  9 a' A" z( \6 r6 t# @
operations in a manner which reflects the requirements of the SU´s  " `8 E  w- Y. U9 h1 Z
Manager of Programming and Venues, and Manager of Finance and  ! Y. W  [8 T1 F& P. r1 ]7 H! Q1 t
Administration, and in a manner which contributes positively to the  $ q  R; V" f. ?* `  r8 ]
smooth operation and success of the Horowitz Theatre.

' f8 E! z7 e9 X' [1)             Minimum two years related post secondary education, or  7 H0 t. f2 @7 }
an acceptable combination of education and experience.- X0 `1 V4 V. k
2)             Supervisory experience.
' _. e" B( }+ l! M# n* O- u) r3 y3)             Ability to create new initiatives with little or no  
: {) t, u( P, ]/ b2 Psupervision.* R" z) G2 o9 T# b  A& {- e! L! [
